Many of our classes are A-G and require students to have their final exams proctored. For the complete list of which courses require proctoring, please check here.
Credit Recovery (CR) students are allowed to take exams as soon as they are finished with the course. They can either schedule to take it with you or at the weekly proctoring. Weekly proctoring is only offered to CR students. If a course does not require proctoring, the exam for CR students only can be opened as soon as the student is finished with the course.
Traditional track students will take all of their final exams at the end of the semester during final exam week. No finals can be taken early without administrative approval.
They can come to an Adobe classroom (CR can do proctoring weekly and traditional will do proctoring during finals week) and have their exam proctored via webcam. If they do not have a webcam, we will send a webcam to them at no cost. In the HR welcome letter, there is a survey for them to complete about which proctoring option they would like to select. If they need a webcam, there is a tab on the "Proctoring Sheet" for you to enter the information of any student who requests a webcam. Our guidance tech, Danielle, will get the webcam sent to them and report the tracking information on the proctoring sheet.
This option should not be advertised and is only for special cases!!! They can obtain an outside proctor who is at least 18 years of age, not related to them, and able to be physically present when they take the exam. There is form, "Outside Proctor", that they need to fill out, sign, and return to you. Once you have the form on file and it has been placed in the "Signed Affidavit" folder, they will be able to take their final exam with their chosen proctor (CR can take during the semester and traditional will take during finals week). Ask them for a specific day and time when they will be physically sitting with their proctor to take the exam. Open the exam at that time, and indicate on the proctoring sheet the date it was opened and your initials.
There is a proctoring sheet with all students and their courses listed. This is part of our official records, so it is very important that you are careful with any editing. Please do not filter anything on the sheet unless you are creating a temporary filter since all teachers are using the same sheet. Only classes that need to be proctored on are on the list. The sheet is located in the TRF under "final exams & grades".
CR students will be signing-up for finals during the semester as they finish classes. When they have completely finished a class, find his/her name on the "HR List" and copy and paste it to the "F19" tab. Make sure to delete it from the HR list once you have pasted it on the F19 tab. Then, email the content teacher letting them know the student needs approval to take the exam. You will then schedule a time for the student to take the exam. When a student takes an exam, the proctor will initial and date when the exam was taken. Once the student has completed the exam, please check that it was submitted and then fill in the background color gray to indicate this exam is completely finished.
We will go over traditional student proctor towards the end of the semester, but they will also be going on this sheet.
Since CR students will be taking final exams as they finish courses, we offer weekly proctoring. Typically the proctoring is offered on Thursdays at 4pm and Fridays at 10am in our proctoring room. Remember, only CR students are allowed to take final exams during the semester. All traditional track students must wait until the end of the semester.
There will be a sign-up schedule sent out at a later date, but teachers will be signing up for 1 evening shift and 1 morning shift to proctor.
We want to encourage students to do their best in their courses and take their time completing assignment so most of our final exam proctoring will take place the last week of semester. We usually proctor about 100 CR student exams prior to finals week, but still the majority of final exams are proctoring during the last week. The proctoring room will be open from 9am to 7pm, Monday-Friday to accommodate as many students as possible.
During finals week, all teachers will be required to work 1-3 shifts that are 2-3 hours in length. The number of shifts will depend on whether you are full time or part time. A survey will be sent out in a few weeks for you to identify your availability during that week so that a schedule can be made. Please be as flexible as possible with your schedule since we have a lot of students to proctor during that week.
We will be sending out more directions about final exam settings and proctoring at a later date.
Students who opt for webcam proctoring will be proctored in an Adobe room. The Adobe rooms have the capability of having up to 100 participants on webcam at one time so this is an efficient way to proctor a lot of students at one time. We have a designated proctoring room set up to handle this number of students, and you will be named-hosts of this room: http://calpac.online/ProctoringRoom
Checking for ID
Unlocking the final exam under "edit options"
Setting retakes to 1 so the exam cannot be retaken
Checking it has been submitted
Initialing and dating when it was taken for our official records
Please read the directions and watch the video below so you know what to expect when you go to the proctoring room and during final's week. If you have any problems during proctoring, please contact Nancy McKenna at 714-230-5222 or nmckenna@cal-pacs.org
