The next part of our SIS training is on logging communications. This is one of the most important tasks you will do in the SIS as it keeps track of all the outreach and contact you have with a student and their family.
ALL CONTACTS NEED TO BE LOGGED PROMPTLY! Administrators, counselors and other teachers rely on these contacts to see what support the student has already received.
Contacts need to be detailed and include who, what was discussed and type of contact made. Every number and email address should be tried during outreach phone calls.
There are several options to log your contacts.
Use any of the student search methods we have discussed.
After you search for your student, hover over the student name and select Add Contact.
Review the student contact information under the student information drop down next to the contact box.
Fill in the contact information after making contact:
Date
Beginning Time
Contact Method
Successfully Made Contact?
Notes - description of what was discussed.
Save Contact
***If you add the contact link to your Contact Sheet you can quickly make a contact.
EXAMPLES:
Weekly Homeroom Meeting. Met with student and discussed progress and grades in all classes. Set a plan to complete 3 assignments in each class each day. Also set up math tutoring.
Attendance Phone Call. Talked with student and parent about excessive absences and school attendance policy. Student promised to improve.
Emailed student and parent course progress report with current grades. Reminded student about tutoring options.
Texted with student about questions in language arts class. Explained assignment to student.
Go to the Teacher tab and select "Contact Manager" twice.
Click on the Contact Now link next to the student name to log a new communication.
To view previous communications click Show Contacts.
To log the same communication for all content students click the "SEL" box and then "Create Contacts for Selected Students" at the bottom
Fill in the Contact Information the same as above.
Save Contact.
***You can use the contact manager to quickly pull contact links for your contact sheet by hovering over student names.
Go to the Teacher tab and select "Contact Manager" twice.
Select your course from the HQT Class list. Now you will be able to see all students enrolled in that course.
Click on the Contact Now link next to the student name to log a new communication.
To view previous communications click Show Contacts.

Homeroom Duty
Before students can start school they and their parent need to sign the master agreement. As we mentioned under teacher responsibilities, it is the homeroom teacher's job to hold a Master Agreement meeting with all new students and parents in order to get the Master Agreement signed. The steps below will walk you through how to generate, send, and check the Master Agreement.
NOTE: Both the student and parent must attend the master agreement before any signing can take place. It is best practice to hold the parent and student in your meeting room until you have confirmed that they signed correctly.
You will need to use this email template and meeting slides in preparation for your Master Agreement meetings.
Homeroom Duty
Our attendance coordinator uploads student work from the learning management system into the SIS. This information will show on the PLS/Student Roster view. Follow the steps below to review it.
Keep in mind that there may be a 24-48 hour delay in attendance showing up depending on when the information is uploaded. You can check attendance in the LMS as needed too.
Attendance is split up among learning periods. Each learning period is roughly 20 school days. Ideally students should keep up with their assignment calendars/lesson plans and complete all assignments assigned for the day. However, students fall behind which ultimately impacts attendance. It is important to closely monitor attendance for your homeroom kids and contact students/parents immediately if absences occur.
Live session attendance is manually added at the end of a learning period by the attendance coordinator. At the end of the learning period after all LMS and live session attendance has been added you should go through the student's learning log (see next section) and help students fill in any offline school type activities they might have done in their log. This will help reclaim missed days. Logs can be updated until the end of the attendance reporting period (P1 & P2).
Go to the Teachers tab and choose PLS/Student Roster.
Update the Staff Student Roster box so that the date displaying is for the entire semester/school year, your name is listed as the teacher (should be default) and that the course is homeroom (should be default). Click Update if changes were made. Then choose one of the two options below:
Scroll down to the students and look at the Student Activity section. You should see green boxes with white papers in them. Click on a white paper to review what the student did for that day. Any red boxes indicate that the student was marked absent that day.
Go to the box under the Staff Student Roster and click the green check mark under the Att. column for the current learning period. Again, look for green checks to confirm attendance.
Please note that you may not be able to use this option if attendance has already been claimed.
When the time comes, you will be asked to come back and follow the directions on the left to sign AWRs and attendance forms for all of your homeroom students. This is part of our process to claim ADA (attendance) for students.
DO NOT DO THIS UNTIL YOU HAVE RECEIVED AN EMAIL FROM LAURA HOPKINS INSTRUCTING YOU TO SIGN.
Steps to Sign AWRs
1. Login to one of your scopes. Select “Teachers” at the top, and then select “PLS/Student Roster” from the list.
2. Once you have the roster open, change the date range to “entire school year”. You can also select “Track C: Fall Semester”. Make sure your name is displayed on the “students for” section. Finally, hit “update” at the bottom.
3. After it updates, select the little pen under AWR for the first LP you need to to sign.
4. Make the appropriate selections below:
5. Sign your name, type it for step 2, and enter a date within a few days of the end of the LP in step 3. Once you have signed for all students on this screen, hit “submit” at the bottom.
6. Repeat steps 3-5 for any other LPs for which you need to sign.
7. Complete this process for all students on your caseload across all scopes.
Steps to Sign Attendance Forms
1. Follow steps 1-2 above. Then, select “View” under “Attendance Forms”
2. Scroll down, and select “Print Form”. The yellow box will then appear, and you will select “archive” and then “automatic”. This will open a page very similar to what you saw when signing AWR.
3. Like above, sign, type your name, and date within a few days of the end of the LP. There is only 1 signature box on this screen. Hit “submit” at the bottom. Complete this for each LP for which you are signing.
Homeroom Duty
The student Learning Log is a written record of all school work a student completes. The Learning Log is also the place where students will record their daily PE activity, complete their reading log, and add in any offline school activity not completed in their LMS. It is best to help students update their log in either a group or individual session. For younger students it is also helpful to have students dictate to you what they did and you can enter the information in their log.
Below are the steps to access and review student learning logs. Students access their logs from their CalPac Student Portal. It is called the Activities Log in the Student Portal.
Go to the PLS/Student Roster in the SIS the same way you did above.
View Learning Logs for individual homeroom students. Scroll below the Staff Student Roster box to your student roster, click the blue drop down arrow under Mig?, select Reports, and click the LL icon next to the LP you are checking for that student.
Use any of the methods we discussed above to get to your homeroom list of students in the SIS. Click on the student you want to view to open up their Student Dashboard. Once on the dashboard page click Learning Logs from the icon list under the student's name.
Once you have the learning log open you can view and edit the information in the logs.
Important Note: Only blank days after all information has been uploaded need information added to them. Do not have students add to date lines that have information from their courses added to them already. The Attendance Coordinator will send an email out when all information has been added.
Steps:
Edit the activity log by changing log type to Write In - Learning Log, selecting the correct LP range, and select Review Log.
Scroll to the dates that need information and type in what the student did.
Hit Save Changes when done to update records. You should see a green check box popup window when done.
**You can repeat the same steps to open the Fitness Log or Reading Log by changing log type to those choices.
LOGS ARE ONLY TO BE EDITED WHEN YOU ARE MEETING WITH THE STUDENT AND THEY ARE GIVING YOU THE INFORMATION!!!
