If you are in a current, active phase from Phase 12 or earlier, you received an email between August 9th-11th that included a PDF with your cohort information. Please read the first page of that PDF to learn what cohort you are in for LETRS.
If you are a new registrant in Phase 13, you will receive an email that will include a PDF with your cohort information. Please read the first page of that PDF to learn what cohort you are in for LETRS.
You will also receive an earlier email with the dates and times of your sessions.
***The first session will include your Zoom link in the Google Calendar description.***
The first time a participant visits Swoogo, they will need to create an account. Please use your school email address (i.e. maggie.higgins@aps.edu) to create your account. Your password may be whatever is easiest for you to remember.
After an account is created, participants should click on their Cohort name and register for all of the sessions listed with their cohort. Then, click on "Continue" to go to the confirmation page. Once you have reached the confirmation page, you are registered and all set to receive your Zoom links.
Within a week of your session, Swoogo will send you an email with a reminder to login and pick-up your Zoom link from the website. You will need to login to Swoogo and click on your Zoom link to access your live session.
***The Swoogo website does slow down significantly if multiple people log into the website at one time. We highly recommend that participants login into Swoogo at least 15-30 minutes prior to their session to get the Zoom link.***
More guidance can be found in the linked Google Document here.
Google Calendar is the application APS uses to share handouts and (if applicable) Google Meet links to participants in district-facilitated cohorts. Participants in cohorts NM9, NM10, NM11, NM12, NM13, NM14, NM15, and NM16 will not need to register in Swoogo for their links. Instead Google Calendar will send out all of your session information to you.
***Your Google Meet link will always be in the Google Calendar invite.***
Participants in district-facilitated sessions will not register for their sessions beforehand. Instead, they will receive a Google Calendar invite that will have the handouts and (if applicable) Google Meet links prior to their session. This Google Calendar invite will be set with reminders 1 week before, 1 day before, and 30 minutes before the session takes place.
***If your district-facilitated cohort takes place in-person - Cohort NM13, Cohort NM15, and NM16 - then your location will be located in the Google Calendar invite description.***
Email letrs@aps.edu. We can help you locate your cohort.
Please see the calendar that aligns with your phase and cohort. If you do not know your phase and cohort, please email letrs@aps.edu.

Always check your Spam folder first! It is there, please make sure to mark the sender as "Not Spam." Here is a Google Document with images as to what the Swoogo emails may look like.
If the email is not there, please email letrs@aps.edu so that we can get your link for you and then problem-solve as to why you did not get your email in the first place.
***Please do not wait until right before a session to let us know that you did not receive your email. We cannot guarantee that someone will be available right before your session to get your link for you.***
Go to your Google Calendar application and click on the invite. It should be listed in the actual invite itself.
If there is no link at all, please email letrs@aps.edu immediately.
***Please do not wait until right before a session to let us know that you did not receive your email. We cannot guarantee that someone will be available right before your session to get your link for you.***
Open your Google Calendar application and look in the description section. The description section will list the building and the room number or name.
If you do not know where the building is located, please email letrs@aps.edu.
Please visit our make-up session website and review the available options we have here in APS.
