Leave of Absence (LOA)
General Reminders
A student may apply for a Leave of Absence (LOA) under the following circumstances:
You do not intend to enroll for the upcoming semester; or
You are currently enrolled but intend to withdraw from all your subjects for the rest of the semester.
A student may go on LOA for one semester or for one academic year.
The leave may be extended for a maximum of one additional year (Revised UP Code: Art. 401).
Semesters on LOA are not counted toward the Maximum Residency Rule (MRR).
However, a student may be allowed an accumulated maximum of 4 semesters of LOA only.
Taking an LOA does not sever your ties with the University.

Filing for LOA
Apply through CRS. Click on the Application for LOA in the side menu.
Write a formal appeal letter explaining your reason(s) for taking a leave of absence and specifying the intended duration.

Submit your letter for endorsements:
Email your letter to the IndD Program Coordinator (indesign.upd@up.edu.ph) to acknowledge your pending LOA application and to request initial review and endorsement.
Once endorsed, forward the same file to the Chairperson of the Department of Visual Communication: dvc.upd@up.edu.ph.
After securing all signatures, send the endorsed letter to your Registration Adviser, the IndD Program Coordinator, and the College Secretary at cfacollegesecretary.upd@up.edu.ph.
Complete your application by paying the LOA fee. This must be done before the deadline as shown in the CRS system.
This process may take some time, so it is encouraged that you follow up regularly to ensure that all requirements are settled before the LOA deadline.

Appeal Letter for LOA
As an Industrial Design major, you must write an appeal letter addressed to the Chairperson of the Department of Visual Communication at dvc.upd@up.edu.ph.
Formatting Guidelines
Use this template.
Replace all placeholder text in (parentheses) with the appropriate information.
Be sure to remove the parentheses unless they are part of the final sentence.
The purpose of the appeal — Leave of Absence — must be underlined.
Keep your letter to one page, including all endorsement signature lines.
Avoid placing signatures on a separate or otherwise blank page, as signatories may be hesitant to sign.
Save your file using this filename format:
(Reason for Appeal) – (Surname) (StudentNumber).pdf
e.g., LOA – Dela Cruz 202112345.pdf
Ensure your letter is neat, respectful, and concise, and that it includes all required information.
Important Notes
After your LOA period ends, you must formally request and apply for readmission. It is best to do this ahead of the registration period to avoid enrollment delays.
If you initially go on LOA for one semester and later decide to extend it, you must file an LOA extension via CRS. Failing to do so may result in being tagged as AWOL (Absent Without Leave).
A student who leaves the university without an approved LOA will be considered AWOL and will reduce or lose registration privileges (Revised UP Code: Art. 403).
If you withdraw after three-fourths (¾) of the total prescribed hours for a subject have already elapsed and your class standing is below 3.00, your instructor may assign a grade of 5.00 (Revised UP Code: Art. 402).
No LOA may be granted within the last 2 weeks before the last day of classes. However, if your inability to continue attending classes was due to health-related or similarly justifiable reasons, the absence during this period may be considered excused. In such cases, you must present a valid excuse slip to all affected faculty members.
