The best way to get your data out of Schoology is to first save then into a portfolio, and then exporting that portfolio as a ZIP file. Schoology Portfolio is your personal collection of materials from Schoology that you can keep in an organised manner, share with other Schoology users, and to take with you when you leave AISJ.
To get to your Schoology Portfolio, log onto Schoology (http://aisj-jhb.schoology.com), click on your image, and choose Your Profile:
Now, under your image on the left, you see a link to Portfolios. Click on the link:
The Portfolio on Schoology allows you to save Assignment Submissions, Files, Links and Pages that you have on Schoology, and then keep them.
Once you have created a portfolio - or several portfolios - of your work, you can select the three dots next to a Portfolio and choose Export to ZIP:
This will download the Portfolio onto your computer in a compressed (zipped) file format.
To read the full Schoology Support Documentation on how to use Portfolios, including downloading them, please follow this link.
How to backup Google site to your drive:
Open a web browser that's logged in to your AISJ Google account and go to https://sites.google.com.
Open the Site you want to backup
Select the three dots next to Publish
Select the Option Make a Copy
And, Change the folder to My Drive
Choose whether you're copying the entire site or selected page(s).
Click OK and the site will be copied to your drive.
3. No Transfer to another Google account.
How to use Google Transfere- Transfer to Another Google Account
Open a web browser that's logged in to your AISJ Google account and go to takeout.google.com/transfer.
Enter the email address of the Google Account you want to transfer your data to.
Verify that email address by using the code Google sends to the address.
4. Select whether you want to transfer your Drive or Gmail data, or both.
(You cannot specify specific folders, it must be everything in your Drive. So, you can clean up your Drive before transferring, if needed.)
5. Click on Start Transfer.
And that's all there is to using Google Takeout. Enjoy that takeout!
Google Takeout presents you with two options: you can either backup and download all your data onto your computer, or you can transfer files from your AISJ Google Account to another Google Account you have setup (preferably another Google school account).
NOTE: If you are using Google Takeout to transfer your Google data to another Google Account, you need to be mindful about the amount of data you are transferring; while your AISJ Google Account has unlimited storage, a personal Google Account has a limit of 15GB. That is why it's preferable to transfer it to another Google school account (as storage on Google EDU accounts is generally unlimited).
How to use Google Takeout - Download Your Data
Open a web browser that's logged in to your AISJ Google account and go to takeout.google.com.
Once there, click Deselect All, scroll through the list, and check the data you'd like to export.
After selecting the data to be exported, scroll to the bottom of the page and click Next.
In the resulting window, choose the Destination, Frequency, the File type & size, and then click Create Export.
You will receive an email notifying you that an attempt to create an archive of your data has been requested. Eventually, you'll see an email arrive indicating your Google Takeout archive is complete and ready to download.
Click the link above for instruction on how to download a .zip archive of a Seesaw journal, including images, videos, audio recordings, and text notes or captions. Remember, please use a computer and a Chrome or Firefox browser only, as the .zip file will not download on a mobile or tablet device.
It is possible to export the contents of your courses out of Schoology when you leave AISJ. If you are moving to a school that uses Schoology (or Canvas or Moodle) as their learning management system, you will be able to export your courses as .imscc (Information Management System Common Cartridge) files, and simply import them back into the system with all contents intact.
However, if you don’t have access to Schoology or another compatible system in your next destination, you can still export all of your course content out of Schoology, where it will all save into one folder which you can then save to a physical drive or store up in cloud storage. The navigation of this folder to get to all of your content admittedly is not the easiest, but you will not lose any of the content that you have created.
Please follow the steps below to export your course content for a single course. You will have to follow these steps for each of the courses you wish to export.
You will start with saving the Materials from your Course into Resources, and then exporting the data out of Schoology from Resources.
1. In the Materials page of your course, click on Options > Save Course to Resources:
2. Select Home for Collection. Folder can be left empty at this point, so you can just click on Submit:
Schoology courses can be quite large in size, so you will get a notification telling you that the transfer of the course into Resources has started.
There is nothing you have to do about this at this point.
3. Once the course materials have been transferred to Resources, you can go and view and export them. Click on Resources (and Personal > Home if you are not automatically taken there):
4. Click on the small down arrow next to My Resources and choose Export:
5. Keep Collection as Home, as this is where your course was saved, but click on the Folder drop-down menu to select the course you want to Export:
You will have to export each of your courses separately to keep their folder structure and to allow you to easily import them back into Schoology, if you have access to it.
6. Click on Export to start the export process for this course:
You will get the same notification telling you that the transfer of the course into Resources has started:
This transfer may take a little while, but Schoology will send you an email once it has been completed.
7. For the next step, you can simply click on the link in the email which takes you to the Transfer History page on Schoology:
You can get to this same page by clicking on the down arrow in the top right corner, choosing Settings, and then going to the Transfer History tab:
The latest transfer at the top of the list should be the course you just exported, named Home-[name of the course]-[name of the section].imscc.
8. To download the exported course onto your computer, click on the gear icon, and then choose Download:
Depending on the size of the course, and the amount of different materials uploaded there, the downloading of a course can last anywhere from a few seconds to 15 minutes. Watch the download indicator at the left bottom of Chrome to see when it has completed:
9. Locate the Home-[name of the course]-[name of the section].imscc -file in Finder, inside your Downloads folder:
This IMSCC file is the one you will need if you can use Schoology again after leaving AISJ. So, you should back up this file onto an external hard drive, or onto your personal cloud storage. When you have access to Schoology, you can go to the Resources area, and Import the IMSCC file into Schoology.
If you do not have access to Schoology (or Canvas or Moodle), you can still access the contents of this file, and open the Materials you have exported from Schoology.
1. You should keep a copy of the original IMSCC file, in case you can use it later, so first make a copy of it by right-clicking (two-finger tapping) on it, and choosing Duplicate:
You will now have two copies of the same file in your Downloads folder, with one of them having the word ‘copy’ at the end of the file name:
2. To be able to view the contents of the file, you need to change it from an IMSCC file to a ZIP file. To do this, right-click (two-finger tap) on the file, and choose Rename:
3. Replace the end of the file name from the period onwards (.imscc copy) with .zip:
4. You will be asked if you are sure you want to change the extension of the file to .zip. Click on Add:
You will now have a zipped (compressed) file in your Downloads folder, which you will be able to “unzip” (unpack) and view its contents.
5. To unzip the folder, simply double-click on it:
The ZIP folder will be uncompressed and will appear as a regular folder in your Downloads folder:
The new uncompressed folder has a file called imsmanifest.xml in it, which is the index file that tells you what content is sitting in which folder:
6. To open this file, right click (two-finger tap) on it, and choose Open With > Google Chrome:
The contents of this document may all seem very confusing at first, but once you figure out how to read it, it makes sense. In the example, the content for the Schoology Page called ‘Plant Heroes Invasive Species Advanced Activity Book’ sits in the folder called ccres0000014:
So, each identifierref in the document names the folder that each content with the title below can be found in.
7. To open the ‘Plant Heroes Invasive Species Advanced Activity Book’ Page, navigate to the ccres0000014 folder and open the document with the same name:
The Schoology Page that is in that folder opens fully in your web browser:
The full exported folder for the course also has a separate subfolder called resources, which contains all documents that have been attached to Assessments and Assignments:
As you can see, all of your data and materials you have created are available even if you don’t have access to Schoology after leaving AISJ.
The easiest way to take all of your AISJ OneDrive documents with you is to upload them to your personal Google Drive.
1. Go to the OneDrive folder on your MacBook Pro, and select all the documents you want to keep. This can include any kinds of documents, as well as folders.
2. Drag and drop the files into Google Drive open in a Chrome window:
3. Once the documents have uploaded into Google Drive (the time this takes varies hugely, based on how many documents you are uploading), you can open the files in Google Drive by right-clicking on a file, and then choosing Open with > Google Docs, Open with > Google Sheets or Open with > Google Slides:
4. You can also simply drag and drop all your OneDrive files onto an external hard drive or a USB drive plugged into your MacBook Pro. Select all the files and folders you want to copy onto the drive, and drag and drop them:
