One of the fantastic features of Gmail is the ability to operate your email almost completely with keyboard shortcuts. For example, if you are reading a message, you can simply press r on the keyboard to reply to the sender, or a to reply all recipients. There is a great number of different keyboard shortcuts, and once you learn the ones that are useful to you, managing your email will become much more efficient.
1. First, you have to enable keyboard shortcuts in Gmail. To do this, click on Settings (the gear icon) and then See all settings:
2. Now, scroll down until you see the setting for Keyboard shortcuts. Select Keyboard shortcuts on:
3. Scroll all the way to the bottom of the page, and click on Save Changes to save the settings:
Once the keyboard shortcuts are enabled, you can use them in Gmail, throughout the email application. Below is a table of the most common shortcuts, but you can view all of them by pressing ⇧ + ? in Gmail itself.
If you wish to have a nice "M" shortcut to Gmail in your MacBook Dock, read the super-easy steps below from mailflow. The site has other very handy Gmail tips, as well, so it's worth checking it out: https://www.getmailflow.com/blog
You may want to set up Gmail so that you can access it even when you don't have an active Internet connection. Naturally, you won't be able to send or receive new messages, but you can read messages that have already arrived, and compose draft messages that will be sent the next time you are online with Gmail.
NOTE: Since this option downloads your existing messages to your computer, you need to enable offline access when you are online, and then wait for Gmail to download all the messages before you have access to them.
To set up Gmail for offline access, start by clicking on Settings > See all settings:
Next, click on the Offline tab, and tick the box next to Enable offline mail:
Once you have enabled offline mail, some more options become available. You can choose how far back messages will be downloaded, and whether message attachments are also downloaded for offline access. Both of these options take up storage space on your laptop, but you should have plenty of space available on your MacBook Pro.
Set the sync settings to 30 days and Download attachments:
Don't forget to save the changes!
For full offline access to be available, you have to wait for Gmail to download the messages onto your computer. The round arrows turning indicate that the sync is still happening, so you will have to wait for them to change to the tick that says "Ready for offline" before you have full offline access:
If you wish to use a photo you have taken as your theme picture, you must first upload it to Google Photos, and then you can select it. Watch the video below to see how to do this.
If you are a power user of CC/BCC in new messages or replies, then it can be annoying that Gmail hides the CC and BCC fields by default, insisting on extra clicks each email. BE GONE! This Chrome extension will display CC & BCC fields, as the default, for new messages, replies and forwards.
As an added bonus, it automatically opens a "pop-out window" when composing replies and forwards!
While it is not feasible for us to create and maintain email contact groups for all your classes, you can create contact groups - or labels as they are called - for Gmail in Google Contacts. Please note that these groups do not automatically update if there are changes in your classes, so you will have to manage them. Watch this short video to see how to create labels for your classes.
