Welcome, Instructors, to Team UCSD
We are thrilled to have you on our Team UCSD this summer! Thank you for taking the time out of your summers to dedicate towards providing a fun, engaging, and educational experience for our students. The primary reason our students choose to enroll in our programs is for the academic component, to explore their curiosity of a particular field of study - your specific field of expertise. What's more, our students seek US out, not the other way around, so they're already coming to program with a thirst to learn and participate. We thank you in advance for your up-front prep work, and for your soon-to-be contributions to making this a great and successful summer experience for them!
In this Instructor Portal, you will find a variety of information and resources to help you navigate the time leading-up to the start of the program, as well as after. Please take special note of the HR Onboarding Paperwork, Online Trainings, and other important due dates so that we have a smooth transition to the start of the program. Summer will be here before we know it. Complete the following Mandated Reporter Training (free video training) and upload your Certificate of Completion to the link above by June 16th, 2024. If you are already considered a Mandated Reporter due to another professional capacity or you've already completed the training, please upload documentation showing proof.
The California Department of Justice (DOJ) requires all adults working with minors (in both paid and non-paid capacities) to have fingerprinting performed prior to their employment start. Please note that these fingerprints will be used to check the criminal history records of the FBI and California DOJ. CA DOJ refers to this system as Live Scan, and it is in essence an electronic fingerprint system. If you have questions about this process please visit the CA DOJ website.
If you've done this in the past for a prior organization, Summer Springboard does not have access to this information so we are asking that you get fingerprinted again:
Complete this LiveScan Form. You only need to complete the "Applicant Information" section. Stop after you sign and date.
Go to one of the locations on this list. There are many locations throughout California.
Applicants must present valid photo identification to the Live Scan Operator. Expired identification cards will not be accepted.
State and government fees for Live Scan will be billed directly to Summer Springboard. Summer Springboard will reimburse additional out of pocket expenses up to $25 for additional fees charged by your location of choice. You must keep you receipts and submit at the end of the summer program (reimbursement details and process to be posted at the program start).
If you worked with us in the past and completed a background check in 2023, you will not need to complete another this year.
Ordinarily, class begins at 9am and concludes at Noon. For the first day ONLY of each session, class will begin at 10am. That first hour of the first day of each session will be dedicated for you all to meet, touch base with the Assistant Campus Director or Mentor that will be assigned to your class, and get situated in your classroom to prepare for the new class of students. Any other details that we feel you need before the program starts will be sent via email. The students will come to class at 10am on this day only. During this first hour while the instructors are setting-up, the students have orientation and ice-breaker activities.
Depending on the course, our classes are either held in Meeting Room-type spaces in North Torrey Pines Living and Learning Neighborhood (UCSD's Sixth College), or in Asante Hall. All come equipped with A/V. You will be notified of your specific classroom assignment, as well as detailed arrival and parking instructions, by Thomas Schubert ahead of time, but as we get closer to the start of the program.
Instructors will park in the nearest visitor parking lot closest to the classroom they are assigned. Parking costs are covered by Summer Springboard. Specific arrival and parking instructions, along with parking lot suggestions, will be communicated about two weeks prior to the program starting.
We will equip your classroom with a projector and a screen for you to utilize if needed. You will need to use your own laptop since the classrooms do not contain these. Students will come with their own laptop and most likely a smartphone.
For course supplies, please make a copy ("File", then in the dropdown "Make a Copy") of this supplies form. If you need supplies for your course, please have this back to thomas@terraeducation.com by no later than Sunday 6/16.
For things like copies and printing for the start of the program, you can either request through your Program Director or coordinate that yourself and request for reimbursement later (to be honest, the latter of the two being the easier option pre-program if you have the means). If you want to go through your Program Director, just include the respective document title as a line item on the supplies form and exactly how you want it printed (i.e. how many copies, in color v black-and-white, single v. double-sided, stapling if needed, portrait v. horizontal, and/or any other specifications), and include the document in PDF form attached to the email you send back to thomas@terraeducation.com with the supplies form.
If you purchase your own supplies without pre-approval Summer Springboard will be unable to provide reimbursement.
8. Curriculum/Session Content
In advance of the program, the course curriculum and all supporting documents will be shared with you via Dropbox or a Google Drive folder.
We highly recommend you also download any materials to your computer or flash drive/USB stick to mitigate any unforeseen technology glitches that may occur. We also recommend that you have a backup plan (virtual guest speaker, short one-day assignment) for one day for some unforeseen reason you are not able to teach for one of the days.
9. Invoices and Reimbursements
Pre-approved reimbursable expenses include:

All other expenses must be pre-approved by email by the campus Program Director, Thomas Schubert (thomas@terraeducation.com)
At the end of the summer, you'll submit an invoice for your teaching stipends and other approved reimbursable expenses using this invoice template. Please make a copy of that and save for yourself.
