Sending invoices

Sending invoices is easy in Xero.

  1. Create a new invoice. You can do this from several places. From the header, click + and Invoice.

  2. Add customer name and due date. Complete 'To' and check there is a suitable Due Date and Branding.

  3. Add any attachments. Click the document icon to add a related file (such as a report or timesheet) (click the cog and 'Include with Invoice' if appropriate).

  4. Add items to be invoiced. If you've previously invoiced similar items, click 'Add last items'. Pick from the item list if you have set up an inventory. Alternatively complete the fields shown. You must include Description, Account and Tax Rate.

  5. Save and email. Save, Save and submit for approval or approve the invoice. Click 'Email' once approved to send.

You can also copy from a quote or previous invoice, or create an invoice using the iOS or Android mobile app.

Repeating invoices

If you invoice customers on a regular basis (e.g. monthly or quarterly), create repeating invoices. Set them to automatically send if they pay the same fee each time, or create drafts if the invoice amounts vary.

Invoice reminders

Check you have switched on invoice reminders. Customise the frequency and timing of automatic emails, and tailor the template email wording to suit your brand. This saves valuable time 'chasing' outstanding invoices.
