Introduction to Xero Payroll
Xero Payroll integrates directly with your accounts, and makes it easy to pay your employees
Here are some of the activities which you'll need to complete to help us run your Xero Payroll:
Check and approve Timesheets
View employee timesheets by going to Payroll > Timesheets and selecting 'submitted', 'unsubmitted' or any of the other options shown.
Click the timesheet you'd like to review. Then select 'Approve' or 'Decline'.
If necessary, you can add a missing timesheet or edit an incorrect timesheet before approving.
Update an employee's details
Keep your employee's details up to date. Go to Payroll > Employees and select the relevant employee.
On the '' tab you can update their:
Name
Gender
Address
Email address
Job title
Phone numbers
Emergency contact
On the 'Employment details' tab, you can 'Change salary and wages'.
We'll complete the 'End employment' process.
Tax codes are automatically updated in Xero once you've appointed us as your agent. (We'll ask HMRC to post you an agent authorisation code. Please pass this to us as soon as you receive it).
Approve or reject time off requests
Types of request
Time off requests can be used to manage statutory leave (sick, maternity, paternity, shared, adoption) and holidays and any other time off you allow (ask us to set this up for you).
Approve / reject a request
Go to Payroll > Time Off
Click the request you want to approve
Check the hours to ensure they're correct for the number of days a week the employee works
You can also edit time off requests, and add them on behalf of your employees.
Pay tax and National Insurance
Go to Payroll > Taxes & Filings to see your P32. This is shows a summary for the tax year.
You must pay the latest "Amount Due" by 22nd of the next tax month. Find out how to pay at gov.uk.
There's no monthly direct debit option, so set a reminder in your diary to pay every month. Remember to allow time for your payment to clear.
It's important to include the 13-character accounts office reference number as the payment reference. Ask us if you're not sure what it is.
