Onboarding form - An onboarding form will be sent to you by your partner success manager. Please complete it to help us gain a better understanding of your objectives at Collision. Once your company details have been submitted, your company profile will be featured on the Collision website and – when it’s launched closer to the event – the mobile app.
Please note, failure to complete and submit this form will result in delays in promoting your online presence at Collision and may result in exclusion from any additional contracted marketing perks.

Assign your allocated tickets to all attendees by this date to ensure they don’t miss out on our newsletter highlighting features or information on the event. Once you have a ticket assigned, download the Collision mobile app from the App Store or Google Play store to access your ticket.

Our templates are made using Adobe Illustrator. The template is not accessible without this software. To make the most of your stand artwork, we recommend that a designer proficient in Adobe Illustrator work on it.
Each provided stand artwork template contains two artboards – one for each wall of the stand. It is highly recommended that your final artwork does not feature imagery, graphics or text that intersects across the walls. Due to printing alignment and processes, we cannot guarantee that these graphics would align perfectly.
Your individual company QR code will be provided to you by your partner success manager.If you choose to use the QR code provided by Collision, it must be placed in the allocated area highlighted in the template in order to meet accessibility requirements. If the QR code is placed incorrectly, it will be moved to the allocated position by Collision designers.

Stand dimensions and fit out
2m x 2m stand (6’7” x 6’7”) supplied by exhibition organizer.
Your 2mx2m exhibition package contains:
One pod table and two high stools
12 amp duplex outlet connection
A single 7mbps internet enabled network cable
Any additional requirements must be ordered from the Collision partner store by May 31. If you cannot find what you are looking for, please contact your Partner Success Manager.
Stand height
The image below shows the different stand heights and the height of the overhead signage on the exhibition floor.
All 2m x 2m (6’7’’ x 6’7’’) and 4m x 2m (13’1’’ x 6’7’’) stands are 2.438m/8’0” high.
Collision’s own branded overhead signage will hang in the 3m/9’10” – 4m/13’1’’ height range.
Any partner overhead signage that is approved will hang at 4m/13’1’’ or above.
The 3m/9’10” – 4m/13’1’’ range is strictly reserved for Collision’s overhead signage.
Screens and AV
All screens must be hired from the Collision partner store with the appropriate mounting. No outside contractors are permitted to mount any items to Collision walls.
Partners may bring computer monitors, provided they are not mounted to a wall or on a floor stand.

In order to have your screen mounted, please submit your screen render template through this form by June 1. Your screen render should detail where you want your screen to be positioned on your stand, including exact dimensions of the screen, which wall you would like the screen mounted on, and exact measurements from the edge of the screen to the wall boundaries. Please see an example below.
Suggested maximum screen size for 2m x 2m stand: up to 55”.
Height
Stands are a fixed height of 2.438m (8’ 0”). No above-stand banners are permitted as part of this package.
Stand orientation
Please refer to the site plan for your stand orientation, and indicate the left and right walls artwork. Collision branding will appear on end caps.
Carpet
Grey carpet will be provided for all provided build booths.If you want to purchase a different colour for your stand you can do so on our partner store.
Cleaning
Provided build stands are cleaned pre-event. Custom cleaning packages are available to purchase from the Collision partner store.
Depth
The depth dimensions of your stands are determined by your contractual agreement. All activations should remain within the dimensions of the allocated space.
Access to your booth is possible from the opening morning – Tuesday, June 27 from 7.30am. Please note you will need your Partner ticket to get access at 7.30am. If you require earlier access, please contact your Partner Success Manager. The conference floor will open for General Attendees from 8.30am on Tuesday, June 27. Monday, June 26 is pre-registration and Opening Night only.
You must not start breaking your booth down until 6.30pm on Thursday, June 29 (or until the venue is clear of all attendees).
All items without exception must be clear of the venue by 10.00pm on Thursday, June 29.
Personal protective equipment (PPE) is mandatory in all areas of the venue for anyone present as of 7PM on Thursday, June 29. PPE includes CSA approved steel toed shoes, high-visibility vests, and CSA approved hard hats.
Please ensure appropriate arrangements are made for trash, boxes, fixtures of items to be shipped. Any items not removed from the venue will be deemed as rubbish and the associated cost of removal will be assigned to the exhibitor.
All relevant partner information, such as tickets, registration times and show schedule, network requirements, shipping guidelines, social media assets, media cheat sheet and filming guidelines and event policies, can be found in the General information section.
The Collision partner store allows our event partners to hire all the products and services required for their event activation.
The Collision partner store will open on April 10 and will close on May 31. Please book all of your required products and services before this date, as we can’t guarantee that late requests will be facilitated.
Your Partner Success Manager can set you up with an account for the store. Please contact your Partner Success Manager if you require items not displayed on the store.
To ensure the delivery of goods and services on site, store management requests that all orders are paid in advance of May 31.
Please note: There will be no onsite orders available at Collision.
Shipping
If you are planning on shipping directly to the venue, please contact your Partner Success Manager to arrange an introduction with our shipping partner, GES as soon as possible.
Please take into consideration the high volume of inbound emails received by our logistics partner at peak times. We strongly recommend contacting them at your earliest opportunity and allowing sufficient time for shipments and storage requirements to be coordinated and processed.
All partner shipments to the advanced warehouse should be confirmed and paid for with GES by June 2.
Storage
GES, Collision’s official storage Partner, will be handling all orders for onsite storage services directly with the partner.
If you require storage of merchandise, empty cases or containers during the event, please let your partner success manager know and they will facilitate an introduction with GES.

Collision is committed to advancing the UNSDG’s. As such there will be zero tolerance for any single use plastic being onsite. Collision would appreciate your support in this regard to ensure the event is as sustainable as possible.
Please also note that the venue has a zero waste policy. Please dispose of your waste responsibly by purchasing a waste disposal package OR dispose of waste through your own waste disposal system. If you choose to purchase a waste disposal package through us, please ensure that any waste that builds up on your stand is separated clearly and left for collection at the end of each day.
All exhibitors must also abide by Collision’s anti-harassment policy.
Please click here for waste disposal guidelines and a list of waste materials that are recyclable. Partners and contractors must be responsible for disposing of build materials and waste generated during the stand build and post-build phases. Abandoned materials that fill or partly fill an open top skip will be charged out to the persons responsible at a starting rate of $2500.

No oils, combustibles, or any liquids other than water may be poured in the Enercare Centre drainage or sewer systems. No tools, machines, or other items may be emptied, washed, or rinsed in Enercare Centre restrooms. Any exhibitor using soil, humus, or other landscaping materials must provide a covering between the Enercare Centre flooring and the exhibit, to prevent damage to finished floor and to ensure safety. Enercare Centre personnel will inspect all such exhibits.
Unfortunately, we will be unable to accept changes to artwork after May 12, 2023. After your artwork has been reviewed and approved by our design team, we send it to print and it cannot be changed after this. We will be unable to send any artwork for printing after the May 12 deadline.
All activations must remain within the dimensions of your allocated space.

Your Partner Success Manager will confirm your attendee-facing booth number in an email approximately one month prior to the event.
Due to operational parameters, partners are not permitted to bring their own screens, mounts or stands. All screens – and their appropriate mountings – must be hired from the Collision partner store.
Standard grey carpet will be provided for all provided build booths. For more colour options, please check the Collision partner store.

Single Use Plastic : If you are bringing any merchandise or SWAG to the event, please remember Collision have a zero-tolerance stance against single-use plastic on-site. This includes flyers, sweet wrappers and plastic bottles. We have examples of recommended swag can be found here
Pop-up banners are not permitted at Collision
Hotspots or rogue networks of any kind are completely prohibited and against our T&Cs. EG: Portable Hotspots, MiFi Devices, iOT Beacons which provide WiFi capabilities
