1. Employees are encouraged to return the WFH assets in a presentable manner with complete accessories provided to them (e.g. Headsets, mouse, keyboards, cables, etc.).
a. Employees shall prepare the asset/s and must be ready for pick-up once the schedule is provided to them.
b. It is required for the employee to tag the equipment of the following details:
i. Employee number
ii. Complete name
iii. Account or Campaign (this is important for tracking purpose)
iv. Site
v. Serial Numbers
vi. Address
2. Should there be any damages, employees are required to inform their immediate superior immediately.
3. Upon return of the equipment, the employee must be given a conforme/log-sheet or transmittal documents that the items were returned.
1. Administrative Services c/o Katrina Digo and Dante Polintan (for Metro Manila), Receptionist (ILO and DGT) shall setup a Zoning Schedule for the pick-up the assets.
a. All campaigns that were setup to do WFH in an area will be scheduled for pick-up. Meaning regardless of the campaign, if the employees are in one area, they will be scheduled for pickup.
b. It is important that employees will tag the units with their details as mentioned from the guidelines above to track the equipment properly.
i. Employee may use paper and scotch tape or masking tape to tag the equipment with their details.
2. One shuttle service can only accommodate 10-15 units of desktops at a time. This is to ensure that there will be no damages while the equipment is in route. DIARS personnel will be ready to assist as well via Job Order Request Form per trip.
1. Workplace Engineering team will assign a room at each site that will serve as a venue for validating the assets.
2. Workplace Engineering will assign helpers or personnel to help placing the assets carefully in the identified rooms.
a. Workplace shall be given a copy or list of assets for validation.
b. Job Order Request Form likewise shall be accomplished and shall be approved by the Site Manager and Senior Manager for Engineering.
3. Workplace Engineering will assign a helper or personnel during the pick-up schedules to assist in carrying the assets via Job Order Request Form.
4. Workplace Engineering, upon receiving of the items, shall counter check the assets physically: the data from the log-sheet/transmittal versus the actual assets delivered.
a. Workplace shall likewise check if there are missing items from what was declared by the employees upon arrival of the assets.
b. Endorsement form/log-sheet of daily accomplishment (physical check and sanitation) will be endorsed to the IT personnel assigned.
1. IT shall validate all IT peripherals and accessories considering the following:
a. Correct Serial Numbers assigned per employee
b. Test if Working
c. Any damaged accessories
d. Correct model or make of the assets assigned.
2. IT shall assign at least two to three (2-3) personnel per site to validate and help expedite the validation of assigned assets.
3. Asset Management team will check these on all sites. Asset member per site will be assigned (at least 1 per city).
a. The team will generate a report on the details of the validation.
4. (Recommended) IT shall implement their maintenance prior to deployment of the asset.
5. Timeline of re-deployment will depend on the numbers, requirements and status of the hardware/PCs (estimate is 20-25 PCs minimum per day with 2-3 dedicated IT personnel).
1. IT will process maintenance for each equipment per site on a "First In, First Out" basis. (Refer to process for Return Equipment # 1 and 2)
2. IT needs to setup and turn ON each unit to test if all peripherals are working properly.
3. If the unit is an agent desktop, IT will perform reformat/re-image immediately.
