That a withdrawn motion should not be recorded in the minutes?
That a “reading committee” can be appointed to read and approve the minutes on behalf of the membership?
That the secretary’s report must include all parliamentary action occurring at the meeting?
That a secretary does not have the right to interpret reports or add adjectives in praise or condemnation of actions stated or taken?
That a chapter member who missed the last meeting may first turn to that meeting’s minutes to find out what happened?
Secretary Fast Start
A special incentive will be given to those secretaries/newsletter editors who accomplish this Fast
Start by August 15th
. Completed forms can be emailed to the above email address.
➢ Send a letter of introduction telling me about yourself and including your theme and logo
for the year.
➢ Send me your goals and a short statement on how you plan to achieve each of them.
➢ Submit a copy of the minutes that you recorded at one of your state meetings. (If no
meeting is held before August 15th, let me know which meeting minutes you will be
submitting.
➢ Communicate with your local chapter secretaries. Let them know that I would like to
receive a copy of their minutes any time during the year. Please provide a copy of the
email or letter that you sent out to local secretaries.
➢ If you also serve as your state Newsletter Editor, please let me know so I can add you to
my list of newsletter contacts. (If someone else in your state is the newsletter editor,
please send me her/his name and contact information.)

The Sister States Program was established in the 1986-1987 year with a larger state being matched up with a smaller state. The purpose of this program is to encourage fellowship and support among our state organizations. To participate, you may want to exchange newsletters, offer state theme kits at conventions, exchange membership ideas, help with membership events or activities (if you are close enough) and support each other throughout the year. The State Presidents or contact should feel free to participate at any level and can delegate responsibility to a staff member, usually the secretary. You will find this a wonderful opportunity to learn more about the organization, your fellow states and chapters and new projects, as well as membership and social ideas. Have fun!
