FAQ: Miscellaneous

What if I have dietary restrictions?

We will request dietary restriction information on the registration form. If you believe that does not address your concerns, please contact us at uo.cuwip2018@gmail.com and we will work to accommodate you.

What should I wear to the conference?

The conference has no dress code, and we encourage students to dress professionally but to be comfortable. Remember that an important part of this event is networking! You may wish to look at photos of previous conferences to see what students typically wear. Note that the weather in Eugene tends to be rainy in January, so we suggest bringing rain gear (a raincoat, rainboots, umbrella, etc). We will walk a short distance to and from the banquet dinner on Saturday and move between buildings, so we recommend bringing comfortable shoes and warm clothes. Make sure to check the weather forecast before arriving and plan accordingly.

Will there be resources available for attendees with disabilities?

The University of Oregon is committed to providing access and reasonable accommodation in its services, programs, activities, education and employment of individuals with disabilities. Requests for this publication in an accessible format and/or disability-related accommodations for this event, including sign language interpreters, should be made to the Local Organizing Committee at uo.cuwip2018@gmail.com. We ask that requests for accommodation please be made by January 1, 2018. We will facilitate this process by requesting information on disability status on the registration form.

A campus map of accessibility can be found here. Only trained service animals, not emotional support pets, are typically allowed in campus buildings but the organizers will interface with the University for you if necessary, provided we are contacted and given proper information regarding your situation.

What are the guidelines for posters?

Please see our Presentation Guidelines for more information.

Can I connect with those going to the conference before arriving?

Yes! We have set up a Facebook page. This is a good place to meet other attendees and organizers before arriving on campus and arranging carpools.

I have anxiety, depression, etc, and I am worried about attending this conference. What should I do?

Please contact us at uo.cuwip2018@gmail.com if you are comfortable so we are aware. We will encourage you to try your best during the networking opportunities, but if you need to be paired up with someone you know (either in rooming or meals), please let us know so we can try to accommodate you. We hope that you will be able to comfortably attend the conference and get something from it, but we understand that everyone needs to go at their own pace.

What if I need child care?

Please contact us at uo.cuwip2018@gmail.com to discuss your needs.

What if I need a moment alone?

We know that conferences are busy and can be overwhelming. If you need a moment to yourself, the Willow Room in the EMU is reserved as a quiet space that any attendee can use to rest or decompress.

These conferences are supported in part by the National Science Foundation (PHY-1622510) and by the Department of Energy Office of Science (DE-SC0011076). Further details are available on the APS conference website.
