This document is going to change a LOT, but it is your first glance at what the show process will probably look like. You need to schedule time for each and every page, scene and song to be blocked, worked, and run, as well as every element of the show progression.
It may help you to have a document where you can block off your progress for each scene, song, and page––yellow for blocked, green for worked, etc.
You will plan out each step with the director. They will tell you the order they want things to happen in, and it is your responsibility to make it work in the time constraints and arrange everything efficiently. Conflicts also need to be considered from the master conflict calendar.
The cast should always have access to an updated rehearsal calendar––even just a skeleton of it to know when they're called. THIS IS SUPER IMPORTANT FOR PARENTS!
The schedule will be in either a SCHEDULE or CALENDAR format depending on what you prefer. Both kinds of examples can be found below. The schedule should include:
Heading
Date
Day of the week
Week #
Time for each block
Type of rehearsal
Agenda (what will be worked on)
Who is Called
Location
You can also include conflicts.
Look on the page labeled "Show Progression" to see every single item that needs to be scheduled on the rehearsal calendar. That includes all elements of build and what needs to be worked in rehearsal. It's important to review that list so you can make sure everything is included.
Build goes on the production calendar, while scenes & songs go on the rehearsal calendar. Both calendars should include important dates like Load In, Cue to Cue, Performances, Dress Rehearsals, etc. when everyone will be called or the stage will not be available.
