Re-scheduling of Annual General Body Meeting - 2021
and Election for the Managing Committee
As per our notice dated 14th Aug ’21, regarding AGM and Election to the Managing Committee, the list of valid nominations was published on 6th Sept '21. On the same date, Dr Meena Som (on behalf of Mr R S Rao) inquired about the reasons for not considering Mr R S Rao's nomination, in the Kanchanjunga Whatsapp Group. Dr Meena Som (on behalf of Mr R S Rao) mentioned that she had sent across Mr R S Rao’s nomination on 28th Aug'21, from her e-mail ID. On a comprehensive search of the stipulated mail ID's inbox, Mr R S Rao's nomination was not found.
On 7th Sept '21, Dr Meena Som (on behalf of Mr R S Rao) re-iterated that the mail with Mr R S Rao’s nomination was sent on 28th Aug '21 and offered to re-send that mail. Dr Meena (on behalf of Mr R S Rao) also suo moto re-sent the e-mail on 7th Sept '21, to the undersigned. The re-sent mail was found to have been originally sent on 22nd Aug '21, instead of 28th Aug ’21 as was claimed on 6th and 7th Sep ’21. On a comprehensive search, no such mail dated 22nd Aug ’21, was found in the stipulated mail id's inbox. As per our notice dated 14th Aug’21, no additional nominations can be added to the published list in such a case. Other members have also made unverified insinuations, which is most unfortunate.
Given the concern raised by Dr Meena Som (on behalf of Mr R S Rao) and others, it’s in the fitness of things to make the elections process even more transparent and above board by re-scheduling it.
Notice is hereby given that the Annual General Body Meeting for the year 2021 will be rescheduled to 26th September 2021 (Sunday) at 6.00 PM., in on line (Video- Conference) mode due to Covid19 Conditions. All the Members are requested to attend. The Agenda of the Meeting is given below:
· Presentation of the Accounts for the FY- 2020-21.
· Inspection of the Accounts can be done on 25th September 2021. The Cash book and Ledgers will be available for inspection from 4:30 PM till 5:30 PM.
· Presentation of the Budget for the FY- 2021-22 (from 1st April 2021 till 31st March 2022).
· Election of the new Members to the Managing committee
The Apartment owners may submit their self-nominations through email to kanchanjungaelections@gmail.com, addressed to the President, from their voting e- mail IDs informed to and available with KVIPEAOA, as per the schedule below:
· Last date to receive the self-nomination is 18-Sep-2021, 5.00PM.
· The nominations will be scrutinized as per provisions of the By-Laws by 20-Sep- 2021.
· The list of valid nominations for the Managing Committee will be published at our portal and WhatsApp group site on 21-Sep-2021.
· The contestants can withdraw their nomination up to 23-Sep-2021, 12 noon.
· The Final list of Contestants will be published at 5PM on 23-Sep-2021.
All other terms and conditions remain unchanged.

Notice To All the Members of

Annual General Body Meeting- 2021 and Election for the Managing Committee
As already notified vide notice dated 14/08/2021, the AGM will be conducted on online mode using the “Google Meet” platform. Any member / owner can participate in the meeting from anywhere in the world using his Gmail ID, as provided to KVIPEAOA. The email IDs provided to and available with KVIPEAOA are attached herewith. The members / owners may examine the attached list and inform Dr Rajesh Ku Padhy (1/18) Mob. No.9437132296 (through WhatsApp), whether any change / modification is required in the Email IDs available with the KVIPEAOA by 04/09/2021 positively.
It has been noted that some members have provided Email IDs other than Gmail IDs. These members are again requested to share their Gmail IDs for participating in the AGM and Election to Managing Committee by 04/09/2021 failing which they may not be able to participate in the AGM and Election to Managing Committee.
Similarly, Election will be done through Google Form and votes can be cast from anywhere in the world.
Regarding Election, members may please note the following:-
1. The Google Form will be active for only specific time, i.e. 30 minutes from the opening of voting and after the expiration of specified time the voting cannot be done.
2. The members need to cast vote from his / her own email account informed to and available with KVIPEAOA.
3. One member can fill the Google Form only once to cast his / her vote, so kindly fill the form properly and check all the details before submitting the form.
4. The proxy voting will not be allowed as this is an online process and all can participate in the voting process from anywhere in the world.
5. The voting sheet will be displayed to all the members of the society who are active in the meeting.

Notice is hereby given that the Annual General Body Meeting for the year 2021 will be held on 12th September 2021 (Sunday) at 6.00 PM., in on line (Video-Conference) mode due to Covid19 Conditions. All the Members are requested to attend.

· The list of valid nominations for the Managing Committee will be published at our portal and WhatsApp group site on 06-Sep-2021.
· The contestants can withdraw their nomination up to 08-Sep-2021, 12 noon.
· The Final list of Contestants will be published at 5PM on 08-Sep-2021.
The Managing Committee shall comprise of 15 members, 5 from each block. Kindly note the following points:
1. The self-nominee must NOT be a defaulter and must have cleared all the outstanding dues if any till August 2021, by 31 August 2021.
2. Members are requested to attend the meeting on line (V-C) mode. Any voting if required will be done via online mode only.
3. Members seeking re-election should have attended at least 50% of the Managing Committee Meetings held in the preceding year.
4. Proposals for the amendments to the Association`s By-Laws, if any, must be sent to the President / Secretary so as to reach him by 04-Sep-2021. The proposal must contain the existing clause, the amended clause and the rationale for the amendment
Please note that the VC (Virtual/Video Conference) shall take place via “Google Meet” and polling/voting will be done thro’ “Google Forms”. Members not having a Google mail ID should have one or use someone else’s.
Our member Dr Rajesh K Padhy (1/18), Mobile No. 94371 32296, has kindly consented to provide and manage the necessary software / system requirements. He shall send the appropriate links to emails of the members and/or WhatsApp numbers through the group of the Members right in time.
NB: There will be restricted time duration for voting, so the poll must be completed within the given time limit.
