We want everyone (attendees, guests, staff, and vendors) to have a good time in a safe, respectful environment.
These guidelines are here to help with that.
If at any time you feel unsafe or uncomfortable, please reach out to any staff or security member.
You are not alone, and your voice matters.
Before You Arrive > Preparation Tips
Plan your travel & lodging.
If staying at a hotel, know where your hotel is relative to the venue.
Save the address and contact info.
If you’re unfamiliar with the area, research safe routes, public transportation, or shuttle availability.
Keep essentials on hand.
Bring things like a portable charger, water bottle, comfortable shoes, snacks, a map of the venue, and anything else you need to stay comfortable.
Observe costume and prop policies ahead of time.
If you’re bringing large or complex props, check our props guidelines in advance so you arrive ready for prop-check or peace-bonding.
During the Convention > Staying Safe & Comfortable
Know your layout & exits.
Locate emergency exits, first-aid stations, restrooms, information desks.
This helps in case you need help fast.
Use the buddy system / meet-up spots.
It’s easier (and safer) to have someone with you.
If someone in your party splits off, arrange a meeting point and check in occasionally.
Listen to your body.
Conventions can be long and sensory-heavy.
If you feel tired, overwhelmed, hot, hungry, or dehydrated, take breaks.
Step out to a quiet area, eat a snack, drink water, rest.
Respect boundaries & consent.
Cosplay does not mean consent.
Always ask before taking photos.
Don’t touch someone’s costume or props without permission.
Respect other people’s personal space.
Stay aware of your surroundings & valuables.
Keep bags closed and in sight.
Avoid leaving drink unattended.
Be cautious about personal information (hotel, itinerary) shared openly with people you don’t know well.
Report concerns quickly.
If you see something unsafe such as crowding, harassment, someone in distress, alert a staff member or security.
Use the incident report form, or find a staff person directly.
Special Situations & Health Considerations
Sensory & mental health
If you are sensitive to light, sound, or crowds (or if large gatherings are overwhelming), consider bringing earplugs, noise-cancelling headphones, sunglasses, etc.
Identify quiet or low-stimulus zones.
Illness & hygiene
Wash hands frequently.
Carry hand sanitizer.
If you're unwell, limit close contact with others.
If there are official health protocols (e.g. mask requirements, vaccinations), please follow them.
Weather & environment
Be prepared for indoor climate (air conditioning, heat) and outdoor conditions (rain, sun, etc.).
Wear layers, use sunscreen, stay hydrated, and protect yourself in hot or cold settings.
Venue Rules & Safety Policies
Compliance with staff & venue policies.
Follow all signage and instructions from security, staff, and venue personnel.
These are in place for everyone’s safety.
No prohibited items.
Items like open flame, illegal substances, or any prohibited weaponry are not allowed.
Check our props guidelines for specific prohibited items.
Restricted zones & emergency protocols.
Some areas (e.g. backstage, technical areas, equipment rooms) are off-limits to attendees unless specified.
In emergencies, always follow evacuation or other safety protocols as instructed.
If You Feel Unsafe
Find a staff member or security immediately.
If possible, move to a public or well-lit area.
Use our Incident Report Form. We take every report seriously and handle with care and confidentiality.
If it’s an emergency, call onsite emergency services or 911, if outside help is required.
