SAINT Director is an internet-based software system that provides real-time data on students and automates a number of critical tasks, including the disbursement and auto-posting processes.
When a student’s tentative budget is released in SAINT Director and academic records are received, a corresponding Disbursement record is automatically created. The disbursement record indicates the types of Title IV funds awarded as well as anticipated disbursement dates. The anticipated disbursement is placed on hold by SAINT Director until the Compliance Specialist reviews and clears the file. Once the file has been cleared, SAINT Director will automatically release the hold and generate a Confirmed Financial Notification and a Confirmed Budget. The SAINT Director system will also automatically schedule the necessary disbursements.
As scheduled disbursement dates arrive, the student’s enrollment data within SAINT Director—provided via either an academic extract transmitted from the college’s Student Information System (SIS) or updated in SAINT Director through the Demographics module—is used to determine the amount of each disbursement by funding source. SAINT Director will evaluate the enrollment data to determine if the active, withdrawn, or graduated student is eligible for disbursement.
The adjacent information will examine the workflow utilized for the Disbursements Process. It also outlines the criteria needed to start the disbursement of funding.
The reports associated with the disbursement process will allow a user to identify students that are eligible for disbursements, identify missing criteria for disbursements, and monitor anticipated cashflow, and review the TIV Checks Register.
Disbursement reports user guides can be accessed on the Report Server website (Button to the Left).
The below spreadsheet is the authorization spreadsheet needed for a school representative to complete and email to HCM1CashMonitoring@globalfas.com advising Global that all students on the spreadsheet/check register have been posted to Accounts Receivable and that credit balances (if any) have been resolved.
The body of the email should include the following statement:
"This email is confirmation that all students on the check registers dated XX/XX/20XX (insert date or dates of checks), have successfully been posted to the students AR. The students with credit balances for whom funds are being authorized to draw have been paid."
