New Beavers
For new Beavers joining from the 1st Harpenden Waiting List:
The Waiting List Coordinator sends a welcome email with this New Joiner Information and transfer their personal details in OSM to the Beaver Colony OSM.
The Beaver Colony Section Leader accepts the incoming member on OSM
Go to 'Members, Personal Details' and click View on the new member to see the details of the new member.
Underneath 'Communicate' in the navigator please click 'Send Email'. Add into the Subject box "Welcome to Online Scout Manager at 1st Harpenden". Under the Subject box click "Special Content / Mail Merge" and select the option "Invite to the Parent Portal", click the ADD button, this will add standard text into the body of the email. Update the text as appropriate and send the email, this will ask the new member to update their personal details, add vital health information, and provide consents for photographs etc.
Repeat steps 1 to 3 for any other new Beavers joining from the 1st Harpenden Waiting List.
Clicks ‘Members’ in OSM, then ‘Census Aggregator’, place a tick against all names which appear, then click 'SEND PARENT PORTAL EMAIL'. This sends an email to all recent colony members from OSM asking them to complete details for the annual Scout HQ census.

New Beavers, Cubs or Scouts joining from outside the Group
For Young People joining 1st Harpenden either from the District Waiting List or directly into the group (but not via the 1st Harpenden Waiting List):
The Section Leader sends a welcome email with this New Joiner Information.
The Section Leader adds details of the new member into OSM.
New Young Leaders
For new Young Leaders helping at 1st Harpenden they will not 'join' the Group because they will join Scouting as part of the Young Leaders Scheme, so a New Joiner Form is not required.
New Adult Volunteers
For new adult volunteers the Group Administrator will usually receive a new joiner form from the volunteer and add details of the volunteer into the Leaders OSM database, but if a Section Leader has the permission of the volunteer they can add the volunteer's details into OSM.

Section Leaders should renew their own OSM sections by sending a PDF of the renewal invoice to our Treasurer.
