When a sponsor decides to fund a proposal they issue an Award Notice. This notice may be called different things, Notice of Award, Grant, Contract, Subaward, Research Agreement, and it represents a binding agreement upon acceptance. Award notifications can be received in a variety of ways from our sponsors. Typically the Office of Research and Sponsored Projects (ORSP) receives notifications directly from the sponsor. ORSP reviews, documents and executes each award received and creates an Award Record in eRPM. The Award Record summarizes the award information and is released when all appropriate signatures are obtained and compliance issues, if any, are resolved.
For many projects, the eResearch (eRPM) system generated award notification emails are the first indication to Principal Investigators and research administrators that an award is forthcoming. These notifications provide status information about the pending award.
Below are two of the most common notifications received regarding a pending award:
ACTION MAY BE REQUIRED: PAF to be Awarded - This notification, which include the PAF ID and PI’s name in the subject line, is generated when ORSP initiates Award Processing. Recipients are advised to address any outstanding compliance issues to avoid delays in finalization of the award. The notification includes a hyperlink to the Proposal Approval Form (PAF) as well as the title of the project to allow easy identification and access.

Award Activation Notice / Project Award Notice - This notification is sent once the award is finalized and available for use in the Financial and HR systems. The notification contains project related information including the UM Award ID (AWD) number, project/grant number(s) (PGN) and shortcode(s) for the project, as well as hyperlinks to the PAF, Award Record and sponsor Award Documents.

Disclosure and PEERRS information is available on the Contacts tab of the PAF. Other compliance status information, such as UCUA and IRB approval status, can be viewed by displaying the PAF Summary or viewing the Research Activity PAF Worksheet.
Departments and investigators are not authorized to sign award documents on behalf of the university. If an award notification is received by an investigator or the unit, the notification is submitted, via eResearch Proposal Management (eRPM), to ORSP using the 'Project Team Request Action' Activity function on the Proposal Approval Form (PAF) with a request to process the award.
