International Student Checklist
Our onboarding process is done entirely virtually, through email.
There are no in-person appointments available. However, Career Success can schedule a zoom meeting if you are having trouble with any parts of the process.
Step 1) RSVP for the online onboarding process.
Fill out the RSVP form linked in your hiring announcement email.
Identify an Authorized Representative (AR) such as a friend, family member, or roommate to complete Section 2 of the I-9 form for you. You will list their name and email address on your RSVP form.
**You will get a link to this in an email from HIRES@ucsc.edu**
Career Success will activate section 2 of your I-9 for your AR once you have completed section 1 of your I-9 using the link in STEP 2 below (During Business Hours).
Your AR will receive an email at the email address provided with a link to complete section 2 of your I-9.
The Student Employment Team at Career Success operates Monday through Friday, 8a-5p.
Please note that your AR (Authorized Representative) cannot be your supervisor or yourself
Step 2) Complete Section 1 of I-9 Form
**You will get a link to this in an email from HIRES@ucsc.edu**
If you believe you may already have a current I-9 on file from a previous campus job, please email StudentEmployment@ucsc.edu to confirm before creating a new one.
Step 3) Complete Section 2 of I-9 Form with Authorized Representative
Once you RSVP, we will activate section 2 for your listed authorized Representative. The link to activate Section 2 will be sent to the Authorized Representative.
Your authorized representative will complete section 2 for you after witnessing your original identity documents.
Instructions for your Authorized Representative when completing section 2 of your I-9:
Your AR will witness your original identification documents in person
Please make sure that you have original forms of identification:
one document from List A OR one document from List B AND one document from List C to give to your Authorized representative to input into section 2 of your I-9
Please see approved documents: https://www.uscis.gov/i-9-central/form-i-9-acceptable-documents
When your AR is filling out section 2 electronically, they must follow these steps:
Enter the entire document number.
Accurately report the issued and expiration dates (if applicable).
Electronically sign THEIR name, not yours.
Please be sure your AR does NOT check the receipt boxes. Receipts are not accepted. All documents must be verified in their original form.
Step 4) Once your I-9 is complete, Career Success will send you a payroll packet via DocuSign to your UCSC email address.
Please complete the DocuSign as soon as possible to ensure no delays in receiving your blue card.
Please note that your employee ID is your Student ID number and your Department is Dining Services.
Step 5) Receiving Virtual Blue Card
Once The I-9 and Payroll Packet have been completed a virtual “Blue Card” will be sent via email to the Supervisor/Student/Timekeeper. This will be confirmation that you have completed the onboarding process and are approved to start working.
Speak with DiningHiring@ucsc.edu to confirm your start date.
Do NOT work prior to completing the full onboarding process. If you have not received a “blue card” you are not approved to begin working.
