Checking for Rights
Copy and paste the username/email address into Alma. Their profile will tell you their:
Status (undergraduate, staff, external 10)
Course / Job title
Loans / Loan History / Returns / Requests
Fines / Fees
Contact Information
Find the user on Alma and check their status and course code.
Staff and Research Postgraduates (course codes ending in r) should be sent to Research and Open Scholarship: https://www.sussex.ac.uk/library/research/support
Undergradutes and Taught Postgraduates (course codes ending in t) should be sent to Library Training (User Experience): https://www.sussex.ac.uk/library/using-the-library/training
ODL students (course codes ending in dl or odl) should be sent to the ODL team: studyonlinelibrarian@sussex.ac.uk
Online Distance Learning students (course codes ending in dl or odl) should be sent to the ODL team: studyonlinelibrarian@sussex.ac.uk
Due to the short nature of their modules it's really important that enquiries are handled/passed on as soon as possible
ODL courses have intakes throughout the year so it's important that you are aware of this years dates if working on Olark:

Hopefully ODL students will make it known to you within the chat, but make sure you have looked them up on Alma to be able to pass the enquiry on to the right place.
Staff & Students
All staff, faculty and students should have access to online resources
If any of the above cannot access a particular resource you should send them a pdf in the olark chat or via email.
Remember to pass the transcript on to Content Delivery explaining the issue.
Research Associates
Research associates do not get access to online resources.
Please be advised that Research Associates only have access to in-person library resources, and not on-line journals etc.
Research Associates are considered to be associates of the University rather than employed staff (or students). So unfortunately we are not able to offer University services beyond a Sussex email address and in-person library access, and certain IT services.
Do not send any PDFs of online resources to these members.
If they think they should have access they will need to get in touch with their school who will be able to have this changed on the system.
Affiliate & External Members
Affiliate and External Members do not get access to online resources.

Emailing a Transcript to the user
The User may wish to have the transcript of the chat for their records or in order to access the links again in the future.
From the Olark dashboard, select the transcript you wish to send and open it.
Click the 'Options' button and select 'Email'
The User's email will auto-filled, just press send.
Emailing a Transcript - inside the Library
It is sometimes necessary to send a transcript on to a Library Team to support with an issue. It is important to add some context so please don't send directly to the team but send to yourself first and then forward on with context.
From the Olark dashboard, select the transcript you wish to send and open it.
Click the 'Options' button and select 'Email'
Change the email address to your own Sussex Email and press send.
Download the attachment from your emails once received
Create a new email to the relevant team: 'Olark Query - [description of the issue]
You must include the name and email of the user in the email as this is hidden in the transcript.
Use this template in your email:
Hi [name],
User Contact details: (this can be copied from top of chat) name: [student name]
email: [student email address]
Summary of issue:
[Short description of problem.]
Please can you get back in touch with them to help resolve the issue.
Best wishes,
[Name]
Students unable to access Reading Lists
Message template to send to users who cannot access their reading lists.
Students who cannot access readinglists may not have completed, or only recently completed, registration. Alma auto-updates overnight so we advise users to wait 24 hours before trying to access reading lists.
If you get an enquiry about not being able to access reading lists and the error is 'User Unknown' this is likely to be a registration issue.
Use the ;register shortcut to send information and a link to register properly online.
If the user has registered and waited please pass on enquiries to the reading list team: readinglists.lib@sussex.ac.uk for further support.
If the user is an ODL student and they think they have already registered and waited then please pass them on to the ODL team: studyonlinelibrarian@sussex.ac.uk for further support.
Sample Email:
Dear XXXXX,
Thank you for letting us know you are having problems accessing the module reading list.
Please to log on to Sussex Direct to complete registration by clicking the Register button on the orange banner and work through the steps. See below.
Please check you have completed all steps, including entering personal details and uploading a photo ID. Once you have uploaded the photo etc. it will need to be approved and then you will be fully registered and can access all the resources etc. which can take up to 48hrs.
If you are a postgraduate student enrolled on one of the 'Study Online' courses and you have already completed registration and allowed 48 hours but are not seeing the reading list, please contact Studyonlinelibrarian@sussex.ac.uk for further support.

Often this can be a problem with their browser or blocked by cookies.
We recommend that you use Chrome, as Safari and Microsoft Edge can cause problems.
Go through Library Search to access everything, as this will eliminate authentication problems.
We recommend you try clearing cache and cookies or using an incognito window - a shortcut to do this is Ctlr+Shift+Del (Windows).
Any instances that can't be fixed using the methods above should be reported to Library Digital Content: library.digitalcontent@sussex.ac.uk
We need to check that you’ve redeemed your Etextbook correctly.
When you’re on the Canvas site, click on the Etextbook Bookshelf link in the left hand menu.
You will be prompted to register and create an account if it is your first time logging in – use your Sussex log in details for this.
If you still have problems, there may be an issue with your browser or your cookies.

BSMS students and staff have access to the University of Brighton and University of Sussex Library resources. If your BSMS username and password does not work for this link https://direct.sussex.ac.uk/ please apply for a Sussex password to enable access to online library resources and more.
Email using your BSMS email account to itservicedesk@sussex.ac.uk citing your BSMS username and stating that you require a password to access online resources.
The IT team will email back with instructions on how to get the password.
When you have the password, you can easily change it to your existing BSMS password.

If the user is still in the UK they can make use of our Freepost service.
They should address the envelope as 'Freepost University of Sussex Library'
They won't need to pay for postage.
Returns from abroad will need to be addressed and paid in full.
