What was improved, briefly

This project improved the Colorado Department of Transportation (CDOT) payroll system, to make it easier for CDOT employee to review their history of pay. This improved reporting reduces the number of calls to the Payroll Unit from CDOT employees. It also reduces the amount of time by 50% that the Payroll Unit spends to research payroll questions, which allows the Payroll Unit to provide answers more quickly.

Background

This project enhanced the “Payroll Retro Report” in CDOT main computer system, which is known as “SAP”.  In the past, employees were often confused about various items on their paychecks and would contact the Payroll Unit for clarification. The reporting for payroll was complicated, which made it difficult for the Payroll Unit to research and answer these questions.

CDOT partnered with the Governor’s Office of Information Technology (OIT) on a project to tackle this issue. The project addressed this complex system and the “waste of waiting” that it produced. Payroll system interfaces were streamlined by this Project, and paychecks were improved to make it easier for employees to read and understand them.

The main benefit of this change was for the CDOT employee: various payroll changes are now listed separately on the employees’ paychecks, which makes it easier for employees to review and validate their pay. Additionally, the Payroll Unit receives fewer calls from employees, since paychecks are now easier to read.

Additionally, for the Payroll Unit, the reporting about Payroll is much better, and the Unit can research various questions about payments in about half the time that it took prior to the change – improving efficiency by 50%.  This allows the Payroll Unit to better serve CDOT employees in a more timely manner for any questions they might have.
