You can create an expense report directly from an approved travel request (which pre-populates the details) or add the expenses manually from within an unsubmitted report (existing or new) or from your listing of available expenses.
You can create your expense report using your available expenses in one of three ways:
Creating a Report from an Approved Travel Request
Adding Available Expenses from within an Open Report
Moving Available Expenses to an Expense Report
Method 1: Creating a Report from an Approved Travel Request
Access Requests: From the left navigation menu, select Requests.
Select the Approved Trip: Click on the approved tile corresponding to the trip you want to source into the expense report.
Initiate the Report: Once the request is open, click Create Expense Report. This will automatically pull over the header settings and travel details from your approved request.
Method 2: Adding Available Expenses from within an Open Report
If you are already inside an open, unsubmitted expense report, you can pull in your available charges (such as Travel Credit Card or Ghost Card transactions):
Open the Expense Menu: From your open expense report, click the Add Expense button.
View Available Expenses: Select the Select from Available Expenses tab to see your unused transactions.
Select Transactions: Check the boxes next to each corporate card transaction you want to add to the report.
Add to Report: Click the Add to Report button to move the chosen transactions into your current report.
Verify Expense Types: Review the assigned Expense Type classifications for the imported items (such as Uber rides, catering, or gas) and update them if necessary by editing the line item.
Method 3: Moving Available Expenses to an Expense Report
View Available Expenses: Go to the Available Expenses section of your Concur home page or go to the Expense page to see your unused transactions.
Select Transactions: Check the boxes next to each card transaction or out-of-pocket expense or receipt you want to add to the report.
Add to Report: Click and hold the Move button to move the chosen transactions into an existing report, or select New Report to create a report.
Verify Expense Types: Review the assigned Expense Type classifications for the imported items (such as Uber rides, catering, or gas) and update them if necessary by editing the line item.
Undoing an Expense Move
If you mistakenly add any card transactions to a report, open that report, select the expenses, then click and hold the Move button to move them back to Available Expenses, or to another report that you select. Note that doing so will also undo any allocations or itemizations you’ve made on these expenses.
