Please review the Hurricane Procedures
Before, During and After
August 2023
If the emergency is related to a storm:
1. Tie down or otherwise secure all materials that could be moved by high winds and/or water - Garbage Cans, and other outside materials.
2. Remove debris from the site to a place of proper disposal or otherwise secure all debris and trash.
3. Protect any areas of a Facility where wind driven rain could possibly cause damage to finished surfaces or installed equipment.
4. With winds reaching a speed greater than 20 mph, lower boom on any crane on site or remove from the site. Secure any temporary electric service or other utility connections.
5. Secure any scaffolding or temporary support structures that would not be able to withstand hurricane force winds.
6. Secure or remove from the site any roofing materials or other building materials stored on the roofs. Every effort shall be made to make all Facilities as watertight as possible. Use sandbags where needed.
7. Secure any enclosed trailers that are located at any school to an anchored structure.
8. Make sure all school district vans, trucks, equipment, and chainsaws are fueled, tested, and ready before the storm. Be sure response vehicles are equipped and ready in case needed.
9. Inspect inventory on vehicles to make sure the proper PPE items are on hand and available.
10. Make sure generators at all the shelters are operational and fueled.
11. Contact Fire, JCI/Simplex, and Security about power outages.
12. Review PV (Solar) panel disconnect protocol.
13. Have Re-Entry Permits on hand in case of evacuation.
14. Check retention pond levels.
15. Make sure Mr. Brown or Mr. Cox contact AD’s to take down banners, move equipment, etc. at the school level.
16. All equipment needs to be inside an INSURED building to be covered under insurance (Building has contents coverage).
17. Any water on floor needs to be noted on a work order, especially if already cleaned up.
18. Keep track of receipts, photos, mileage, etc. and mark as Hurricane (NAME).
19. Custodial/Building Services/Maintenance/Facilities keep a record of time for prep and a record of time for clean-up.
20. Charge hand-held radios.
21. Need email to approve overtime.
22. Bobbi will create work orders as needed for preparation and clean-up; Please add a note in the “Action Taken” area as to what was done at each school and where, ie. Sandbags at front and back entrance, boarded windows all windows, etc.
23. Create a list of responders.
24. Use Gmail accounts if HCS Outlook email goes down, ( for instance:kstockholm@g.horrycountyschools.net).
25. Have Communications be department-specific for reporting to work (i.e., Building Services, Maintenance).
26. After the storm has passed and it is safe to travel to the school, inspect the school. Open a work order for the damage found, identifying the rooms and areas affected. For instance, one work order for power outage and list all rooms affected. It is not necessary to open a work order for each room separately.
