Copy last month's sign-up spreadsheet and create a new one
Change the title to show next date and delete "copy of..."
Delete old entries
Check that sharing settings are set to "Anyone on the internet with this link can edit".
Send email to all volunteers inviting them to put themselves down on the spreadsheet:
Open a new incognito browser (to avoid confusion if you have your own Google account)
Open Google Mail
Login as info@salisburyrepaircafe.org (see Confidential Information PDF for password)
Open Volunteer with us spreadsheet in a new incognito browser tab
Copy email addresses from column D (don't copy header in the first line)
Back to Google Mail: compose new email, paste addresses into BCC field only (to preserve privacy)
Suggested subject: "Next Repair Cafe - please sign up"
Suggested body text: "Next Café Saturday [dd/mm] 10AM-2PM. Please sign up here: [paste spreadsheet link]. Volunteer numbers determine how many booking slots we can offer."
Send a reminder email to all volunteers (see instructions above)
Remind volunteers that the number of repair bookings slots we make available depends on the number of volunteers signed up
Discuss with the Fabric Team how many zip bookings they can cope with, based on current volunteer numbers
Consult the volunteer availability spreadsheet for the next Cafe and calculate the maximum number of repairs (approx 1 repair per volunteer per 30 mins)
Copy last month's Booking schedule spreadsheet and create a new one
Change the title to show next date, and delete "Copy of..."
Populate booking slots
Manage / Services
Click on eye symbol in first line (Salisbury Repair Cafe) so that it's crossed through
Settings / Company opening hours / Special days schedule
Select day of next RC
Is working day? = Yes
Adjust times to 9.30am - 12.30
Click Done
Manage / Service providers
Select first Service provider
Service provider schedule: select day of next RC
Is working day? = Yes
Click Done
Click Save & Close
Repeat for all Service providers
Check all Service providers are visible (eye symbol not crossed through)
Manage / Services
Click on first service under Salisbury Repair Cafe
Service schedule: select day of next RC
Show advanced settings
Is working day? = Yes
Manipulate 5-minute booking slots as per Booking schedule spreadsheet
NOTE: general repairs are set to accept 2 visitors per 5-minute slot, all other repairs just one visitor (this can be changed at Manage / Service providers / Service provider's details / How many clients can be served at the same time?)
Click Done
Click Save & Close
Repeat for all Services
Check those Services offered on the day of the RC are visible (eye symbol not crossed through), and those services not available are not visible
Click on eye symbol in first line (Salisbury Repair Cafe) so that it's not crossed through
Goto the public booking platform and verify that times offered correspond to the Booking schedule spreadsheet
Make one or two dummy bookings; delete when finished
Settings / Design settings / Home page
First line "Now taking bookings for Saturday xx yy zzzz"
Click "Apply settings to your website"
Home/website editing link
Update box that says "booking now closed", to "Now taking bookings for..."
Add "Book Now!" button using insert button and the following link: https://salrepcaf.simplybook.it/v2/#book
Let the Promotion Team know the booking system is live.

Sort records by ervice
Select “100 records per page” at the bottom left
Let the Promotion Team know which disciplines are under-booked so they can promote
Print sufficient quantities of the following forms, allowing for a few spares:
NOTE: the system is set to accept bookings 8 hours before the appointment time

Sort records by Date ascending
Select “100 records per page” at the bottom left
Export / Option “Select columns to export”
Select: Time, Service, Name, Phone, Intake forms
Export to Excel
Upload Excel spreadsheet
Open spreadsheet, top two rows, delete irrelevant columns, adjust column widths, print onto pink A4 paper
