There are several different types of events that you may handle, but all events will have similar questions that need to be asked to a PI.
The primary questions that need to be asked, no matter the type of event, are as follows.
Is the event in-person, virtual, or hybrid?
What is the budget for this event/what funds are available?
What are the proposed event dates?
Have you been able to check for any conflicts? within department? Within Rice? Within Houston? (Rodeo, OTC, Sport event, medical center event)
What are staff support expectations?
How hands-on or hands-off would you like to be in the process of planning your event? Do you expect to work collaboratively or hand most things off?
Will there be another department/institute/center involved?
If this is a joint event, which entity will be the primary?
How long would you like the event to run?
What are your top event must haves?
What are your top event must NOT haves?
Have you been involved with planning the style of event you're requesting?
If you have been a part of this style of event, what did you like and/or dislike about the previous experience?
Have you been to other events similar to this one that you loved or hated? What about them did you love or hate and why?
