Mentor Sessions Code of Conduct

BY SIGNING UP TO MEET WITH A MENTOR AND PARTICIPATE IN OUR PROGRAM, YOU ACCEPT THE RESPONSIBILITY OF ADHERING TO OUR CODE OF CONDUCT AND ENGAGEMENT GUIDELINES BELOW

LRW expects all meeting and program participants to be considerate and respectful of all other participants of LRW meetings and programs, and to behave in a way that creates a safe and welcoming environment.

Unacceptable behavior includes:

  • Harassing, intimidating, or discriminatory behavior in any form.

  • Engaging in marketing or promotional activities.

Violations of the Code of Conduct will result in immediate removal from the program and cancellation of scheduled sessions. If you experience any incidents of unacceptable behavior, please contact us at events@railwaywomen.org.

Integrity

Mentors will accurately and honestly represent their relevant professional qualifications, professional body to which they belong, experience, training, certifications and accreditations to Mentees and sponsor (LRW).

In communication with any party, Mentors will accurately and honestly represent the value they provide as a mentor.

Mentors will act within applicable law and not in any way encourage, assist or collude with conduct which is dishonest, unlawful, unprofessional or discriminatory.

Confidentiality

When working with Mentees, Mentors will maintain the strictest level of confidentiality with all Mentees information unless release of information is required by law.

Mentors will have a clear agreement with clients and sponsors about the conditions under which confidentiality will not be maintained (e.g. illegal activity, danger to self or others) and gain agreement to that limit of confidentiality where possible unless the release of information is required by law.

Mentors and Mentees agree to not make video or audio recordings of meetings, whether virtual or in-person.

All information shared during the mentoring relationship is confidential, with the exception of:

  • Knowledge of improper conduct

  • Conduct that violates LRW policies, code of conduct, and code of ethics

Conflict of Interest

Participants will not exploit or seek to gain any inappropriate financial or non-financial advantage from the relationship.

Participants will be aware of the potential for conflicts of interest arising through the working relationship and address them quickly and effectively in order to ensure that there is no detriment to the Mentees, Mentors, or sponsor (LRW).

Participants will disclose any conflict openly with the one another and agree to withdraw from the relationship and end a session if a conflict arises which cannot be managed effectively.

Commitment

As mentoring partners, it is important that you have a shared understanding of the commitment you are both making to your mentoring relationship.

A successful mentorship relationship will require you to:

  • Abide by LRW Mentor Sessions Code of Conduct as (see above) and Meetings Code of Conduct (see below);

  • Commit to the time windows scheduled;

  • Respect the confidential nature of all information discussed during mentoring meetings; and

  • Recognize that this mentoring relationship is focused on building positive relationships and sharing information to the best of your abilities.

LRW MEETINGS CODE OF CONDUCT

LRW is committed to providing a safe and welcoming meeting space for all participants and will not tolerate any form of discrimination or harassment. Unacceptable behavior includes but is not limited to these various definitions:

  • Harassment, intimidation, or discrimination in any form.

  • Disruption of presentations during sessions.

Presentations, postings, and messages should not contain promotional materials, special offers, job offers, product announcements, or solicitation for services.

Everything discussed during the meeting is considered confidential and should not be shared with anyone outside of the meeting. Participants should not copy or take screenshots of Q&A or any chat room activity that takes place in the virtual space without LRW leadership permission. Participants must not directly or indirectly solicit meeting participants for the purchase of any product or service unless specifically requested by the participant.

LRW reserves the right to take any action deemed necessary and appropriate, including immediate removal from the meeting without warning or refund, in response to any incident of unacceptable behavior. LRW reserves the right to prohibit attendance at any future meeting, virtually or in person, for anyone found to have violated this Code of Conduct.
