Embedded programs are largely managed by individual academic units. There may be additional considerations or timelines required by your College or Campus that you will need to consider. Program development can take well over a year and those considering developing a new embedded program should refer to the recommended Program Development Checklist, prior to registering the program with Education Abroad.
Some of our processes and timelines have changed to help better manage embedded programs and support student recruitment. Please note that the following deadlines are earlier than previous years in order to better match the Penn State Registrar calendar, to allow for more extensive review and preparation, and to provide travelers more time to complete their pre-departure requirements.
Embedded courses should follow the Education Abroad program registration deadlines listed below in order to ensure that planning remains on track, students have sufficient time to prepare, and Penn State Global can review itineraries and rosters in detail.
For embedded courses with travel during fall semester (August 25 - December 21):
August 15 – Phase 1 program registration items due, such as general and academic information, onsite partner details, contingency plans, financial considerations, and two approvals; one from your academic leadership and one from your financial office
September 15 – Phase 2 items due such as final roster, detailed itinerary, signed contract, program leader requirements, and emergency contact information
For embedded courses with travel during winter break (December 22 - January 11):
Please note, any travel after fall commencement (and before spring commencement) is considered spring term. Students must be enrolled in the credit related to the program travel in the spring term, regardless if the embedded course is in the fall term.

For embedded courses with travel during spring semester, except winter break (January 12 - May 10):
October 10 – Phase 1 program registration items due, such as general and academic information, onsite partner details, contingency plans, financial considerations, and two approvals; one from your academic leadership and one from your financial office
December 10 – Phase 2 items due such as final roster, detailed itinerary, signed contract, program leader requirements, and emergency contact information
For embedded courses with travel during Maymester or summer terms (May 11 - August 15):
January 15 - Phase 1 program registration items due, such as general and academic information, onsite partner details, contingency plans, financial considerations, and two approvals; one from your academic leadership and one from your financial office
March 1 – Phase 2 items due such as final roster, detailed itinerary, signed contract, program leader requirements, and emergency
