Scheduling your Proctored Canvas Quizzes/Exams
Scheduling through the CASA/CCS system
The following methods are available for scheduling testing proctoring at the Center for Academic Support and Assessment (CASA) Testing Centers through CCS:
The scheduler in CCS is designed to create schedules for exams. The scheduling process typically takes place one to two weeks in advance, depending on the specific semester or academic term. During this timeframe, the scheduler is configured to generate a schedule for upcoming exams. For the scheduler to function effectively, it requires the exam placeholder shell within the CANVAS system. The exam placeholder shell serves as a template or framework where the scheduler can populate the necessary information for each exam, such as the date, time, duration, location, and other relevant details. By having this placeholder shell available in CANVAS, the scheduler can seamlessly integrate with the system and automatically create the exam schedules based on predefined rules or parameters. The student will have one to two weeks to be informed and register for their exam through the CCS student portal:
- For Exams Created and Hosted in Canvas:
Contact the CASA administrators (Minh Nguyen or Samantha Stark. ) to establish the proctoring arrangements. Provide them with the necessary information about the exams, such as the date, time, and required instructions or materials. Note: You should send the test schedule to Minh Nguyen before the semester starts. Make sure you emphasize that your tests have no content in CCS.
Create a Graded Quiz in Canvas and determine the specific details (It is strongly recommended to do this at the beginning of the semester): The quiz/tests in CCS depend on the quiz/tests you create in Canvas. Canvas settings (number of attempts, due dates, etc.) are transferred to CCS automatically. Therefore, you must create the quiz/test in Canvas as an essential step for each quiz/test. There is a cache for efficiency, so allow 60 minutes for the transfer.
Quiz Instructions: (e.g., This is a proctored exam to be taken at CASA Testing centers on September 30 ),
Quiz type: Graded Quiz
The assignment group, it belongs to (e.g., Proctored Exams)
Duration: Time limit
Due date, Availability date, and time range
Restrictions: the IP address CASA provides, and any special instructions or requirements.
Add the questions, and points per question, and publish the Graded Quiz.
Deploy the Respondus Lockdown Browser (LDB). Notice that if you have students taking their test in the UH Dart center, you must add the DART center IP filters for the location restriction to access the exam. Note: You must confirm the IP filters with CASA or DART center manager.
Deliver Exam Content to CASA: Provide CASA with the materials they need to administer the exam. This can include digital files, physical copies, or any other required resources.
- For Exams Previously Created in CASA Courseware (current CCS):
- Through the CCS platform
Contact the CASA administrators (Minh Nguyen or Samantha Stark. ) to establish the proctoring arrangements. Provide them with the necessary information about the exams, such as the date, time, and required instructions or materials. Note: You should send the test schedule to Minh Nguyen before the semester starts. If you used the formal CASA courseware and your exam content will be delivered through CCS, make sure you upload the content of your test in the CCS on time.
Create a Graded Quiz shell/placeholder in Canvas and determine the specific details (It is strongly recommended to do this at the beginning of the semester):
Quiz Instructions: (e.g., This is a proctored exam to be taken at CASA Testing centers on September 30 )
Quiz type: Graded Quiz
The assignment group, it belongs to (e.g., Online Quizzes)
Duration: Time limit
Due date, Availability date, and time range
Add one test question to set the point value for the Graded Quiz.
Save and publish the Graded Quiz.
Install content for Quizzes/Tests in CCS by following the instructions in Step 4 of this handbook.
Log in to CCS and navigate to Section B.
Use item B2 to install the content from either CCS archive (option 1), or upload a zipped file (option 2), or the CASA archive (option 3).
Make sure you have uploaded the right content by checking through item B3.
Release the exam as a proctored assignment using item B4.
Your exam is ready to be taken during the scheduled period.
- For Exams Created and Hosted in Cengage Webassign Proctored through CASA
If your exam content is not stored within the CCS or CANVAS platform, but you require CASA testing centers for proctoring services, then the Graded Quiz shell/Placeholder will serve as a framework or placeholder for your exam details and instructions.
Access the Graded Quiz shell/Placeholder in CANVAS.
Click on the exam title or editing option to enter the exam editor.
Depending on the type of exam, you may have different options to add content, such as multiple-choice questions, essay questions, file attachments, etc.
Add the IP address provided by the CASA administrators.
Save the changes as you add content to ensure it's preserved.
Make sure you let CASA know how the exam content will be delivered.
