Purpose of SOP
The purpose of this SOP is to provide guidance on how to use the groups on Juvonno to monitor patient engagement & guide invoicing.
Juvonno Patient Group Definitions
No Group
This is an automatic Juvonno setting for those not allocated a group - it should not contain any patients as all patients should have an allocated group.
Discharged
This group should be used for patients who have not engaged with services in more than 3 months despite at least 2 attempts to chase. These patients will not have completed 12 sessions or been formally graduated by a therapist/referred out to other services during the process.
Graduated
This group should be used for patients who have been formally graduated by a therapist or coordinator after completion of sessions (normally 12 sessions but can be less if fewer sessions are required). Patients should have completed their objectives for treatment.
Group Therapy
This group should be used for those undertaking the group sessions. Once they have finished the 6 weeks of sessions, they should be moved into the graduated group and if they were allocated group therapy but did not attend more than 2 sessions, they should be moved to be discharged.
Hybrid
This group should be used for those who are allocated a hybrid of 1:1 and iCBT. We do not currently offer this approach so no patients should be in this group.
iCBT
This group should be used for patients who are only receiving iCBT treatment. Anyone who is stepped up to therapy should be transferred out of this group and anyone using both iCBT and therapy should remain in the therapy group.
Lost Sheep
This group should not currently be used.
Parent Contact
This group should be used for patients who are in fact parents rather than CYP created to manage communications. It should not be used for CYP engaging in treatment but for whom their contact number is a parent. These can be flagged using the warnings function on their patient profile.
Pt Requested End of Services
This group should be used for patients who have begun treatment (began one or more iCBT modules or 1 or more therapy appointment) and communicated that they would not like to continue.
Referred to External Services
This group should be used for patients who are not being treated by The Sandbox, who have been referred to external services. Any patient who has been referred but continues to use our service should remain in either the therapy or iCBT groups and a note added to their patient profile in the notes section.
Sandbox
This group should be used for patients triaged to The Sandbox website.
Test
This group should be used for all internal and external test accounts including commissioners. Any commissioners should have a warning note on their profile to let people know they are commissioners. This group should also include any admin or meeting accounts.
Therapy
This group should be used for the following patient types:
Patient who has been offered therapy within the last 3 months but has not yet engaged
Patients who are currently undertaking therapy but has not yet completed their 12 available sessions but has not had a gap of more than 3 months since their last appointment
Patients who are currently engaging and who have not yet been discharged or graduated
Triage
This group should be used for patients that have not yet been triaged. A patient should never spend more than 7 days in this category.
