Quiz for a Cause (QFAC) is our charity arm. Interested charities may contact us via our website to set one up.
There are conditions for setting up an event, including:
It must be during one of our regularly scheduled quizzes
The charity must qualify for certain tax exemptions
We have been very proud to raise money for all manner of charities and non-for-profit organizations over the years
Stefani Thomas helms this and can be reached at stefani@geekswhodrink.com.
When an organization begins the process of setting up a QFAC event, they are asked to do and expect the following:
Commit to bringing at least 25 people to the event (so, you should hopefully expect a team count bump for the evening).
Provide literature about their organization- often helps convince more players to donate.
Provide a staff/group member to collect entry fees and distribute the winnings. That person should arrive no less than 30 minutes prior to the quiz start time.
Players do not have to pay if they don't want to. They can still play; they just can't win any cash prizes.
The Quiz content is the normal material for that evening - it cannot be altered or changed.
**IF THE ORGANIZATION FLAKES/NO SHOWS/ HAS NO REP ON SITE FOR THE NIGHT OF THE EVENT, PLEASE JUST INFORM REGULAR QUIZ ATTENDEES THAT THE FUNDRAISING HAS BEEN POSTPONED, AND DO NOT TAKE ANY CASH CONTRIBUTIONS. **
Once the details are hashed out, you will receive an email, notifying you of the event, and asking you to confirm receipt of that notification. This usually happens about 4-6 weeks prior to the event's scheduled date. You'll receive a follow-up email a week or two prior to the event, to introduce you directly to the contact who should be on-hand during the event.
When preparing for a QFAC at your venue, here are some things to expect:
Check out the webpage first!
Oh, yeah, you should promote the event at your quiz! Plan to announce that the event is happening at the quizzes leading up to it. Your level of enthusiasm, as with all things, will translate to the quizzers. At minimum, be sure to plug the QFAC the week before the scheduled night so that attendees can bring cash to donate.
Speaking of cash, the individual or organization will be asking for a cash donation - typically $5-10 per person to participate.
Players do not have to pay to play, but if they do, there is an additional (potential) cash prize for them to win.
That prize money comes directly from the proceeds taken in by the needy group.
If a team pays to play and wins first place, they get $5 back for each team that donated (example, you have 7 teams pay to play, 1st place could potentially walk away with a $35 cash prize on TOP of the regular prize given out at your venue). That is ENTIRE teams paying to play, not individuals.
If first place is a team who did NOT pay to play- move on to the top placing team who DID pay to play, or, well, the charity keeps the money anyways, so no harm no foul. It really isn’t all that complicated.
Tracking teams who pay to play may involve you and is most easily done by having a representative from the charity organization working with you as you announce quiz kicking off- they can circle the room, take money, and track or label a team in some way that acknowledges a donation was received.
Allow (in fact, strongly encourage) that someone from the group get on the mic when you make your first announcement about quiz starting shortly, or when you go over rules.
Also encourage them to jump on mic during your scoring breaks to give updates on funds collected, and to continue to ask people to donate. - If a team wants to throw in a donation after five rounds, there should be no reason that they shouldn’t.
Finally, the winning team can often be persuaded to leave the cash prize for the needy cause instead, and just keep their normal 1st place winnings. It is theirs by rights of course, and they shouldn’t feel (too) guilty if they opt to keep it, but if they feel so inclined to leave it for the children or the puppies or whatever- that’s great too.
The organization will handle collection and distribution of the cash- it is best to leave that in their hands!
We also encourage the event organizers to make a Facebook event and share it with us. This is then passed along to the QM (as it happens), and if you're willing to do some social media sharing, that's awesome. Of course, we will never require anyone to post anything to their personal (Facebook, for example) pages outright.
