The Office of the University Registrar takes pride in being the responsible office for the issuance and verification of academic records of the University’s students and graduates.
The Office of the University Registrar serves its three main clients: the students, the alumni or graduates, and the University’s faculty members.
The Mid Academic Year Graduation on February 26, 2022 was administered by the OUR. On April 6, 2022, the OUR facilitated the Campus University Council face to face Meeting attended by 349 council members. On April 8, 2022, the acting university registrar attended the CHED face-to-face meeting of registrars at the Multi-purpose Hall, Building 3 of Capitol University, Corrales Extension, Corner Osmena Sts., Cagayan de Oro City.
The OUR attended the University Curriculum Committee's regularly scheduled weekly meeting, the System Curriculum Committee's meeting, and the System University Council meeting on May 13, 2022 in MSU-Marawi, where the list of candidates for graduation were recommended for BOR approval.
On May 5 and 6, 2022, the ISO external auditor evaluated the OUR. The OUR monitored the unregistered students, generated list of courses for enrolment, and submitted the 2022–2023 academic calendar to CHED.
On June 27, 2022, University Chancellor, Prof. Alizedney M. Ditucalan, in the exigency of service, issued Special Order No. 01145 – IIT Series of 2022 to Mr. Ricardo C. Enguito, Registrar III, designated as the University Registrar, to perform the general functions defined in the University Charter and the Code of Governance of the MSU System.
The OUR conducted a Turnover of Leadership Ceremony and Ribbon Cutting on June 29, 2022, participated in by University officials, Deans, Responsibility Center Heads of the semi-academic offices, and other invited guests with Special Order No. 206 – IIT Series of 2022. The new Office of the University Registrar is located next to the Administration Building at the left side of the Food Trade Building fronting the Integrated Developmental School of the University.
Under the new management, the Office of the University Registrar continues the calculation and imposition of penalties on faculty for late submission of grades (for the academic years covered: 2018 to 2022). The letter to collect was noted by the Vice Chancellor for Academic Affairs sent through the deans of respective colleges. In addition, the Chief Administration Officer of the University’s Human Resource Management Division requires them to submit the authority to deduct penalties from the concerned faculty.
The OUR fund asked for the new office tinting, LED Screen TV, and the three-unit computer was approved by the Fiscal Advisory Board.
The OUR submitted to CHED the University facilities on June 15, 2022, in compliance, pursuant to the provision of Republic Act No. 7722, otherwise known as the “Higher Education Act of 1994” and in line with implementation of CHED Memorandum Order No. 40 s. 2008, “Manual of Regulations for Private Higher Education of 2008”, the Commission enjoins all Higher Education Institutions (HEIs) to provide the data on the number of classrooms and laboratories in their respective institutions.
The OUR proposed to purchase with the technical support of Center for Information and Communication Technology (CICT) of the University, the installation of touch screen interactive kiosk machines (2 units) that will be used by the Office of the University Registrar to enhance customer service and streamline procedures, the budget was approved by the Fiscal Advisory Board.
The Organizational Structure and proposed Staffing Pattern of the Office of the University Registrar was approved by the Board of Regents on September 8, 2022, endorsed to the Department of Budget Management for the creation of New Plantilla Positions.
The OUR spearheaded the conduct of commencement ceremonies for the 2,074 candidates for graduation on July 27, 2022, and handled the special commencement ceremonies for those who graduated virtually during the COVID-19 Pandemic, allowing them to take part in one of the most memorable traditional graduations on November 27, 2022, where 900 graduates were present.
The total enrollees for second semester, AY 2021-2022 reaches 10,998; in the first semester, AY 2022-2023, the total enrollees rose to 12,233.
The OUR, in accordance with Regional Memorandum No. 123, Series of 2022, about the collection of data on higher education for the academic year 2022–2023 (AY 2022–2023), submitted the Form B to CHED before the deadline on November 29, 2022, through the university's CICT.
The OUR provided the agenda and facilitated the Campus University Council Meeting on October 24, 2022 at the University Gymnasium for the 749 candidates for graduation, endorsed and approved during the 43rd System University Council on December 2, 2022 at International Convention Center, Mindanao State University, Marawi City. The list of candidates for graduation were recommended and duly approved by the Board of Regents. The Midyear Commencement Ceremonies will be on March 2, 2022.
