MERGER OF THE ALUMNI AND ENDOWMENT FUND CENTER
Upon the designation of the new director and the reassignment of the new staff members to what was recently called the Alumni and Career Center (ACC), the team evaluated the Work and Financial Plan (WFP) of the office and found the need to revamp its Programs, Activities, and Projects (PAPs) along with its corresponding budgetary allocation.
After further assessment and upon the recommendation of the Chancellor, it was decided that the goals of ACC and the Endowment Fund Management Office (EFMO) are aligned as concurred in Office Order No. 2022-001-OC or the Special Project for Strengthening Alumni Relations and Boosting Endowment Campaign of Institute. This resulted in the proposal of the office to merge the Alumni and Endowment Fund Center and reinstate the Career
Center to the Student Services cluster. The said merger was approved by the Board of Regents through BOR Resolution No. 330-331, Series of 2022.
BUDGET PROPOSAL
The team submitted a Tier 2 Budget Proposal amounting to P571,000 which was duly approved by the Fiscal Advisory Board and the Board of Regents. This fund was used to procure equipment for the center’s upcoming projects and the travel expenses for the Alumni Chapter Visits.
VMG l ANNUAL WORK PROGRAM l ROADMAP
In order to have a more inclusive plan for the future of the AEFC, the center conducted its
first Strategic Planning Activity along with the alumni focal persons of the seven colleges. As
a result, the following Vision, Mission, Goals, Annual Work Program, and Roadmap
were drafted and were duly noted by the Board of Regents during the last BOR Meeting of
the year 2022:
ENHANCED TRACING INSTRUMENT
The alumni tracing is one of the major mandates of the office in compliance with the requirements from the Department of Budget and Management (DBM). Prior to the composition of the new team, there was no standardized instrument to conduct the tracing which resulted in an erroneous result of 20% employability rate of the graduates being traced.
The team deployed a more systematic means to conduct the tracing and involved the colleges in the process for the triangulation of the data. This was done through Memorandum Order No. 00166-2022 and Special Order No. 01669-2022.
BENCHMARKING ACTIVITIES
The center conducted 3 benchmarking activities to explore the best practices of other universities with respect to their alumni relations, career center, and the management of their endowment fund.
