The information below details the certified, tenured summative evaluation cycles for the next 6 years. Note that an updated certified staff list for your school may be found on MUNIS/ERP or PowerSchool-Perform. However, if you are aware of any obvious changes in your contractual status list that are not listed, please notify Human Resources immediately.
Copies of the certified evaluation plan and contractual status forms have been placed on the downloadable webpage, located at https://www.fcps.net/staff/human-resources/human-resources.
Please contact the Human Resources Director of Teacher and Leader Effectiveness @ 859.422.0464 if you have any questions about the certified evaluation process.
Refer to the chart below as you begin your formative data collection and conferencing, or if you wish to see how a name change has affected a teacher’s assessment cycle:
New Evaluation Cycle
2024-2025: F - M 2028-2029: F - J
2025-2026: N - T (adjusted for this year only) 2029-2030: K - O
2026-2027: U - Z 2030-2031: P - T
2027-2028: A - E 2031-2032: U - Z
NOTE:
Administrators always have the option of evaluating certified staff out of cycle. Please document in writing.
If a teacher transfers to another school, the principal who has the teacher’s performance records shall transfer them to the receiving principal/new evaluator. (A teacher’s complete performance record is always to be on file with his/her evaluator.)
It is important that you take the time to check your personnel files and forward folders and documents as appropriate. Conversely, if you have received a teacher in transfer from another district school and have not received their evaluation records, please check in PowerSchool Perform or call their previous supervisor and ask that those records be sent to you.
If you have evaluation records for anyone who is no longer employed by Fayette County Public Schools, these files should be retained at the school until such time as they can be destroyed (5 years after separation of service).
Tenured employees receive a summative evaluation every three years. These summative ratings should include evidence and ratings from the past three years.
All evaluation documents from Frontline have been moved to PowerSchool. To find the documents:
Log into PowerSchool
Search employee's name (in My Staff)
Choose Folder (next to View)
Choose Attachments (at the top of screen)
Four categories of certified personnel shall receive a final summative evaluation during the school year:
All non-tenured certified staff, years 0 – 4, including all part time and/or retired certified staff
Tenured staff, with last names beginning with the alphabetical letters indicated in the summative evaluation cycles detailed below
School counselors with Guidance & Counseling Certificates (not school social worker certification)
All Certified Administrators (Chiefs of Schools, Associate Directors, Principals, Associate Principals, Administrative Deans, PGES Coaches - Admin, Coordinators)
All certified personnel must have a professional growth plan on file and it shall be reviewed annually. Teachers on continuing contracts shall, by state regulations, receive a final summative assessment within three (3) years of the date of their last evaluation.
The due dates for all final summative evaluations listed below:
March 31 - Any certified/classified employee non-renewed for CAUSE
April 15 - All non-tenured teachers (0 - through year 4) and all classified employees
May 15 - All tenured certified teachers whose last name falls in the current year’s Summative Evaluation Cycle (as designated above)
June 15 - Chiefs of Schools, Principals, Associate Principals, Associate Directors, Coordinators, Counselors, Child Guidance Specialists, Administrative Deans and PGES Coaches - Admin
If a certified employee is hired late or mid-year, the Documentation Sheet for Adjusted Evaluation Timelines should be used to document the changes to the evaluation timeline.
The fall late hire evaluation cycle must include the full evaluation process - PGP, two observations and a summative evaluation.
If the employee is a mid-year hire or time does not permit two observations due to leave, the employee can agree to one observation that should be documented and signed on the Documentation Sheet for Adjusted Evaluation Timelines.
This signed document should be uploaded as an artifact in Perform and kept in the school level files for 5 years.
Be sure to check your staff list for those who may have had a recent name change.
Anyone whose surname has changed to one beginning with the letters of the Summative Evaluation Cycle year indicated in the list above shall be evaluated that year, regardless of whether or not he/she received a summative evaluation the previous year.
