The information below outlines the certified, tenured summative evaluation cycles for the next six years.
An updated certified staff list for your school is available in ERP (MUNIS) or PowerSchool - Perform. If you notice any discrepancies in contractual status, please notify Human Resources immediately.

Refer to the chart below as you begin formative data collection and conferencing, or to verify how a name change may have impacted a teacher’s evaluation cycle.
Summative Evaluation Cycle:
2024-2025: F - M 2028-2029: F - J
2025-2026: N - T 2029-2030: K - O
2026-2027: U - Z 2030-2031: P - T
2027-2028: A - E 2031-2032: U - Z
Note:
Administrators may evaluate certified staff outside of the established cycle at any time. This decision must be documented in writing.
When a teacher transfers to another school, the principal who holds the teacher’s performance records must forward the complete evaluation file to the receiving principal/new evaluator. A teacher’s full performance record must always be maintained by the current evaluator.
Please review your personnel files carefully and forward all required folders and documents in a timely manner. If you receive a transferring teacher and have not received their evaluation records, first check PowerSchool - Perform. If records are not available, contact the teacher’s previous supervisor and request that they be sent.
If you have evaluation records for individuals no longer employed by Fayette County Public Schools, retain those files at the school for five years following separation of service, then destroy them in accordance with records retention guidelines.
Tenured employees receive a summative evaluation every five years. These summative ratings should include evidence and ratings from the past five years.

Choose Folder (next to View).
Choose Attachments (at the top of screen).
Four categories of certified personnel shall receive a final summative evaluation during the school year:
All non-tenured certified staff, years 0 – 4, including all part time and/or retired certified staff.
Tenured staff, with last names beginning with the alphabetical letters indicated in the summative evaluation cycles detailed below.
School counselors with Guidance & Counseling Certificates (not school social worker certification).
All Certified Administrators (Chiefs of Schools, Associate Directors, Principals, Associate Principals, Administrative Deans, PGES Coaches - Admin, Coordinators).
All certified personnel must have a professional growth plan on file and it shall be reviewed annually. Teachers on continuing contracts shall, by state regulations, receive a final summative assessment within five (5) years of the date of their last evaluation.
The due dates for all final summative evaluations listed below:
March 31: Any certified/classified employee non-renewed for CAUSE.
April 15: All non-tenured teachers (0 through year 4) and all classified employees.
May 15: All tenured certified teachers whose last name falls in the current year’s Summative Evaluation Cycle (as designated above).
June 15: Chiefs of Schools, Principals, Associate Principals, Associate Directors, Coordinators, Counselors, Child Guidance Specialists, Administrative Deans and PGES Coaches - Admin.
If a certified employee is hired late or mid-year, the Documentation Sheet for Adjusted Evaluation Timelines should be used to document the changes to the evaluation timeline.
The fall late hire evaluation cycle must include the full evaluation process - PGP, two observations, and a summative evaluation.
If the employee is a mid-year hire or time does not permit two observations due to leave, the employee can agree to one observation that should be documented and signed on the Documentation Sheet for Adjusted Evaluation Timelines.
This signed document should be uploaded as an artifact in PowerSchool - Perform and kept in the school level files for 5 years.
Review your staff list carefully for any recent name changes.
If a teacher’s new surname begins with the letters assigned to the summative evaluation cycle year listed above, the teacher must be evaluated in that year—even if a summative evaluation was completed the previous year.
