MY ATTENDANCE

The timings for teaching staff indicated as per campus are as follows 

2. Is it mandatory to adhere to the shift timing?

Teachers must strictly adhere to the login and logout timing, as indicated in the policy. Teachers must arrive on time and make sure to be ready for assembly on the ground before the first bell.

3. I am a part time teacher. Should I follow attendance guidelines?

Attendance guidelines are applicable to all teaching staff, whether employed with the Institution, part time teachers can mark attendance according to the schedule assigned.

4. What are the working days in a week?

Days of work are from Monday - Saturday, with Saturday’s being a half day working except for second Saturdays in any given month.

5. I am already docking-in the Biometrics, Should I sign the Attendance registers too?

Teachers are required to sign in to the attendance registers as maintained by the school, on a daily basis for statutory purposes in addition to docking in via the Biometric system.

6. I missed docking, what should I do?

Teachers who have missed to swipe in through Biometrics must justify the reason for attendance irregularity in GreytHR (Attendance Regularisation) by requesting for the attendance regularization limited to 3 times per month. This will be subject to approval by your Head of School. Any staff member exceeding 3 late comings or early goings or a combination of both on working days in a month will be treated as a half-day leave lapse. Incase of insufficient leave balance, it will be treated as half day loss of pay.

7. What is Attendance regularization?

Attendance Regularization is an option given to all employees to raise a request and rectify their incorrect attendance entries.Using attendance regularization, employees can raise a request via the HRMS - Greythr and enter the correct attendance entry along with the reason for requesting regularization. 

Only three (3) attendance regularizations are allowed per month for all employees. Any attendance regularization request raised by an employee will go to his/her, Reporting Manager for approval. The Employee is responsible for raising an attendance regularization request within 3 days of missed swipes and getting it approved before the payroll cut-off date.

8. When can I raise attendance regularization  request?

Employee has forgotten to record their  in or out swipes via the Biometric device Employee is on official duty/visit approved in advance by their respective managers. Employees are unable to record their swipe-in/swipe-out or both due any  issues such as “Fingerprint  or  Facial recognition issues  at the Biometric access point. Please immediately inform HOS in case of any such  issues. Late coming or early leaving which is not more than 2.5 hours within the stipulated working hours.

9. I seem to have swiped multiple times today. How does it determine my attendance

The first log in and last logout via the access point will be considered for determining attendance.

10. What is the timing considered for half day?

For the purpose of attendance calculation, when the teacher avails time off either in the first half of the day (8:00 am - 12:30 pm) or the second half of the day (12:30 pm - 15:45 pm), this will be considered as a half-day leave.

11. How is Saturday treated if I avail leave?

Leave availed on a Saturday will be considered as one day leave.

12. What is a late punch in attendance?

For the purpose of attendance calculation, late coming is when the teacher logs in five (5) minutes post the stipulated login in time.

14. What is the payroll cut-off date for attendance?

HR extract a report on 25th EOD  and payroll will be processed from 1st to last day of the month. Attendance will be reviewed in the next payroll from 26th - last date of the month and recovery( if any) will be done accordingly. (i.e. LOP will be done for absentees who get paid till 30th).

15. I still have doubts with regard to Attendance. Who can help?

The teacher can raise the ticket using the link given here Internal Ticketing System. The issue will be addressed within 48 hours or email to hr@ekyaschools.com.

MY LEAVE

1. What is the cycle considered for my leaves?

The leave calendar for teacher is May to April

2. I am on probation, will I get Summer break? 

Teachers on probation are eligible for paid leaves as indicated above in the leaves calendar except for the summer break pay. They will be eligible for summer break pay post confirmation of the one (1) year probation period.

3. When are the leaves credited to my account? 

All leaves are credited from June 2023- March 2024. No leaves will be granted during the month of May.

4. What are the maximum leaves I can take?

Teachers availing Casual/Sick Leave for more than 3 days are required to upload the doctor's note before payroll processing for that month.

5. Can I combine my other leave with sick leave?

Two different categories of leave cannot be clubbed together.

6. How is the holiday treated if it falls in between by leaves?

If a Declared Holiday observed by the Institution occurs during the teachers' approved leave period, then the Declared Holiday will be counted as a Leave. If a Sunday falls in the teachers leave period, it will be counted as leave. It will not be treated as a regular Sunday.

7. Will my leave lapse, if I don’t use it?

The leaves will accumulate next month if they are not availed. Apart from summer break, all unused leaves will lapse only on 31st March.

8. What is the Leave Approval Process ?

To ensure proper academic continuity teachers are required to apply for their planned leaves on the greythr portal as well as intimate the Head of School at least Two (2) weeks in advance before availing the leave and must get the same approved. In case of an emergency/ exigency, the staff must inform Head of School before 7 am on the same day of availing such leave and apply on the greythr portal as soon as they resume work.

9. How do I apply for leave?

All teachers can apply for leave adopting the following process:

Check leave balance on by logging into the greythr portal and Submit an online leave application to their Manager and obtain approval.

10. What is Leave without pay?

Leave without pay is a condition where a teacher has exhausted his/her accumulated leave balance and would want to avail additional leaves. Leave without Pay is normally permitted only in exceptional circumstances which is the sole discretion of the institution.

11. What is Compensatory Leave ?

Teachers can avail a compensatory off in lieu of working on a weekly off or a holiday as declared by the institution, this will exclude days like bandh, strike etc. Compensatory leave needs to be earned first and utilized thereafter. The compensatory leave thus earned will have to be used within 30 days from the day for which comp off has been granted or that particular financial year post which it shall lapse.

12. What is Bereavement leave?

Bereavement leave is a benefit designed to give moral support to any teaching staff in case of the death of an immediate family member. The teacher may avail up to 2 days of bereavement leave (valid for reasons concerning immediate family). For better understanding, the term immediate family can be defined to include parents, parent-in-laws, siblings, spouse, children and grandparents).

13. What is Marriage Leave ?

Confirmed teaching staff getting married are entitled to avail up to a maximum of 2 weeks of leave out of which 5 days are paid leaves and rest are unpaid.

14. What is Unauthorized Leave ?

Any teacher who absents themselves from work without prior approval of the Head of School or without posting any application on the system as contemplated under this Policy shall be subject to disciplinary action. Such leaves will be considered as a loss of pay

15. What is Paternity Leave?

Paternity Leave refers to a facility extended to a male employee allowing them to take paid time off on the condition that his spouse has delivered a child, for purposes of enabling him to effectively lend support to his wife in her period in the nursing of the newly-born child. 

Every married male employee shall be entitled to a Paternity Leave of Three (3) calendar days with full pay for two live births.  For the purpose of this leave, delivery shall include childbirth, any miscarriage and legal adoption. The employee should ensure that while availing the leave, the delivery date should be part of the Paternity Leave. The employee is also required to produce the necessary proof (copy of a doctor’s certificate) to avail the same.

EXIT

1. How do I express my interest to resign from the position?

An employee before expressing a interest to resign from the duties must have a verbal conversation with the respective Head of School (HOS). He or she can tender the resignation via email addressing to the reporting manager and marking HR in CC.

2. What is the Exit policy for Teaching staff?

As per the signed contract agreement it is mandatory for the teaching staff to complete the service till the end of the academic year. The resignation in the mid of the academic year will not be accepted.

3. What is Mid Year resignation and why is it not accepted?

A wish to tender the resignation post any day of the joining is considered as Mid year resignation such resignations are not accepted by the management considering the fact that teaching staff are connected to the Students and it is very difficult for the student to get used to the new staff in the mid of the year.

4. How many months should I serve the notice period?

Teaching staff - No notice period . Instead 2 month penalty payout of the salary to be paid to get relieved from the duties.

5. On what grounds the termination of employment will take place?

We as an institution seamlessly work towards the growth of employees and we always believe in retention and not termination. The decision to terminate is taken with the utmost care after a thorough investigation of the case. However, the termination takes place on the below-given scenarios

i. When an employee breaks the code of conduct or commits gross misconduct at workplace

ii. Employee's performance, behaviour, attitude and workplace ethics

iii. Employee's attendance and leaves (long leaves with or without permission)

6. Can a teaching staff serve two month's notice period instead of paying 2 month's salary ?

Teaching staff do not have a notice period option and they will have to serve till the last working day decided by the Head of school. Before the exit the staff has to clear the 2 months penalty for resigning in the mid of the year

7. When can a Teaching staff express interest to resign in order to be relieved without paying a penalty?

Every year in the month of December 1st week the email from HR is sent to all the campuses asking for teaching and non teaching staff to express their interest to resign for the next academic year. The staff has to mail the HOS and HR on their intent to resign before 5th January. However, the staff has to serve till the end of the academic year.

8. Why is there a policy of a two month penalty?

We need a commitment from the staff to adhere to the contract agreed upon at the commencement of the employment. This also compensates for  the absence of manpower for the duration the position is vacant.

MY SALARY

1. When is my salary credited?

Salary is credited  on the 5th of every month

2. What is the mode of payment?

The salary is transferred to the employees bank account. We have a salary account in three banks for  different entities. If an employees doesnt hold the account in that particular bank, The employee is expected to open one and the process has to be completed within a month of joining.

3. What is the attendance cycle considered for Payroll?

The normal attendance cycle will  be 26th of last month to 25th of current month.

4. I joined on the 7th of this month. How many days will I be paid in the coming payroll?

You will be paid from 7th to end of the month considering your attendance from 7th to 25th and with an assumption that you are present for the remaining days in the month. The attendance from 26th will be reviewed in the following payroll cycle.


5. What are the deductions in my salary?

The employee will  be eligible for Provident fund (PF) account if the Basic + DA is less than 15000 and Employee State Insurance. ESI if the gross salary is less than 21000. There will be a deduction of 12% on Basic + DA as employee contribution towards PF. 0.75% of gross salary is deducted towards ESI.

6. Which bank should I open my Salary bank account with?

GENERAL QUERIES

1. Is B.Ed Compulsory ? What if I do not have a B. Ed degree?

In India, all teachers must be certified and possess a BEd. degree to teach in schools. The HR team at Ekya School can help teachers navigate the process of securing teaching credentials. We would encourage you to reach out to the HR team for more queries on the same.

2. How many classes will I be handling?

This may vary and is contingent on many factors.  Please request for a copy of your timetable for more clarity.

3. What grades will I be handling? Which all subjects will I be teaching?

The reason why we do content test is to understand the knowledge and skills of the candidates and guage their capacity as per their respective subjects based on which grades are allocated the selected teachers.

4. How many students in a class?

An average of 30. It also depends from campus to campus

5. Is there school cafeteria facility for teachers? 

There is no cafeteria facility however tea/coffee is available for the teachers through an external vendor

6. What will be my Income tax? 

Income tax is solely based on your  gross earnings. The taxable income and tax on it will be calculated based on the regime chosen by the employee and the exemptions allowed under it.

7. Why probation period for 1 year? 

Educators undergo a one-year probationary period to allow for a comprehensive evaluation of their performance. This timeframe aligns with the academic year cycle, ensuring ample opportunity for assessment and timely support to aid in their success within their role.

8. Why do teachers need to submit their original?  

As part of our onboarding policy, we all are expected to submit one of our original document. We provide an acknowledgement against the submission of the document and take full responsility of safety of the document.

9. Is there any dress code?  

Yes, there is, please refer to the staff dress code policy for better reference. This can be found under the Educator Essentials tab.

10. Why no Summer break pay for 1st year?  

Since the first year is an entire probation year, there is no break pay until you receive your letter of onfirmation  in May (following  academic year) post your return.

11. When is the increment cycle?

Annual Salary appraisal is  based on a predefined performance review system which will be done Monthly/ quarterly / mid year / annual.

12. What's the salary revision percentage?

Salary revision percentages are contingent upon the organization's growth trajectory, serving as a reflection of its overall progress and development. 

13. What is my scope of growth as a teacher?

Growth for educators could indeed take various forms, including both lateral (expanding expertise within the same domain) and vertical (advancing into higher levels of responsibility or leadership). This approach can foster a culture of excellence and ensure that educators are equipped with the knowledge and skills necessary to meet the evolving needs of students and the institution.

14. Do I get School Transportation?

We are exploring the possibility but currently  we are unable to provide transportation.

15. Apart from salary what all benefits we get?   

We at Ekya Schools invest in professional development for all our teaching staff. PD sessions are planned for the entire year and this wiill be in the form of online courses that you can choose from to on campus sessions.

16. Are there any benefits for my child's education if I am employed with the CMR University?

The concession is applicable only to the ward of the teaching staff if the child is studying in the same branch. Not applicable if the child is studying in a different branch.

17. Do I get a preference to choose a subject?

When a candidate expresses an interest in multiple subjects, they are put through content tests for those subjects. The responses are evaluated to guage which subject the candidate is more stronger at and accordingly the subjects are allocated. It also depends on the vacancies and availability
