Invoice Payment Updates
What's changing:
As of today, agents in Texas have the ability to elect to pay an invoice via commission deduction directly from the Pay Invoice page on the Compass platform (see attached screenshot).
Previously, agents either needed to wait for Compass to automatically flag an invoice for deduction 45 days post-due date, or they needed to manually reach out to their CS to request payment via commission deduction prior to that trigger date.
Why:
This change will allow agents to pay their invoices sooner should they have a commission event before the 45-day post-due date trigger. This change also offers a more seamless customer experience that aligns with agents' experiences in all other markets.
What doesn't change:
Agents will still receive new invoice emails and monthly invoice balance reminders as long as an invoice remains open.
Agents can still access the Pay Invoice page directly from their invoice email or the Financial Reports dashboard in Business Tracker.
If an agent takes no action with an invoice, Compass will continue to automatically flag the invoice for deduction if it remains unpaid 45 days after its due date.
Agents can continue to pay unpaid invoices by credit card if the invoice has already been flagged for deduction.
If agents request due date extensions or request to defer eligible deductions to a later commission, they should continue to connect with their SM. If SMs wish to do so, they may request collection adjustments via the ICER form.

View, Print or Download an Electronic Copy of Your 2022 Tax Statement(s) in ADP
Login to ADP via OneLogin. Navigate to Myself, then under Pay, click on Pay & Tax Statements. Then, on the right side under Tax Statements you will be able to view your 2022 W2.
A hard copy will be mailed to you and postmarked by January 31, 2023.

1095-C Form
Compass provides you with a Form 1095-C as part of our reporting requirements under the Affordable Care Act (ACA). The 1095-C contains important information about medical coverage offered to you and your dependents by Compass.
A hard copy will be mailed to you and postmarked by January 31, 2023.
To request a correction or reprint of your 1095-C, please contact pc@compass.com. For questions, please reach out via the P&C Help Center.

Form 1099-B: You will only have a Form 1099-B if you sold Compass stock through Shareworks in 2022. If applicable, your 2022 Form 1099-B will be posted online in Shareworks and/or mailed to you in the second half of February, depending on your delivery preferences.
Form 3921: If you exercised incentive stock options (ISOs) in 2022, you will receive an email from e-file Magic about IRS Form 3921 by the end of January. A Form 3921 is an information statement for you to use when preparing your tax returns for the year in which you sell the shares. Your Form 3921 will also be mailed to you, if applicable.
Form 3922: If you purchased stock through the ESPP in 2022, you will receive an email from e-file Magic about IRS Form 3922 by the end of January. A Form 3922 is an information statement for you to use when preparing your tax returns for the year in which there were transferred shares under an ESPP. Your Form 3922 will also be mailed to you, if applicable.

Original Compass Search Sunsetting
November 9th, the Old Compass search will be sunsetting/turned off. If you receive an email with the subject line “Transitioning To New Compass Search November 9th, 2022” that means that your agent on that email has used the Old Compass Search in the last 30 days for either a sale or a rental.

Marketing Budgets Expiring This Year - Extended
We are allowing agents to extend their unused Marketing Dollars into 2023! USE THIS IN YOUR RENEWAL CONVERSATIONS!! No approval or extension is needed. This continues into 2023 for all unused marketing dollars - all can be extended through the end of 2023.
This is a huge benefit to our agents, and in a world where we're pulling back marketing budgets, allowing them to roll unused dollars into next year should help in renewal conversations.
Marketing@ Zendesk Updates
Beginning next week (exact day TBA), all Marketing Tier 1, 2 and 3 marketing@ email requests will be routed to agentexperience@. Tier 4 requests will remain with marketing. For customers without an assigned tier, their request will be automatically routed to agentexperience@.
What if I receive a request that is out of scope?
Please refer to the Intake and Routing Training and start a private thread with the appropriate assignee.
What if there is no tier associated with an agent?
Customers who don’t have a tier assigned will automatically route to agentexperience@. If you need to add the tiering, please work with your regional RML / DOO for tiering and approval.
How does SFDC have this information?
Over the past few months our national team has been aggregating Marketing (GCI) Tier information in SFDC, which is feeding into your agent rosters in Tableau and will soon feed into Zendesk.

Note: The new Paid Logo Offering will be rolling out to markets in a phased approach, with a specific timeline designated by your RMD. Temporarily (until the new process rolls out in your region), if an agent asks about a logo an AE/MA can sit down with the agent to view logo options available for them in the gallery.

Setting Up New Agent Accounts via OTP Code:
What is the new OTP Code?
In the past the OBS or AEM team would access new agent accounts by linking their device to the OneLogin attached to that account when logging in to a Compass Google account. Now, instead of being prompted to scan the OneLogin QR code to access a new account, staff (or the customer if setting up themselves) will access the accounts via a temporary OTP code. You will need both the temp email password and the OTP code to access the new agent account.
How does it work?
Once an agent has been set to “Provisioned” in SF, a temporary OTP code will be generated and available for use 24 hours after.
An 8 digit code will be sent to the onbooarding@compass.com in Zendesk - please note it is not automatically assigned so you will need to watch for it. The email will have the subject line “OTP Code for X MARKET Area [Agent]”.
If you are an AEM, please search ZD using the agent name
Assign the ticket to yourself.
Once you have the code, along with the temp password sent to you from Compass Support, you can then start the new agent account set up.
The temporary OTP code expires after 48 hours once it has been sent out. If you do not access the agent account within that timeframe or the code you were given is not working, please call Compass Support at 833.426.6727.

National Onboarding Process:
Principal agent submits New Team Member Form (NOTE: Disclaimer of New Team Member Fee at the top)
If fee applies for market team member is joining - National Onboarding sends email to principal (with SM cc’ed) to remind them of the fee (hopefully their sales manager already told them) and gives them 2 business days to cancel the onboarding process if they change their mind based on new fee (we will stop the process even if after 2 days). No response is consent to the fee.

Key Notes:
This fee does not apply to anyone already at Compass who is switching teams, changing roles, or supporting multiple teams (such as existing 3PTCs). Referral Directors are also exempt.

This fee applies to net new team members onboarding through regional AEMs as well
Invoicing can only be sent to the Principal at this time - if they want to pass on to the team member to pay, they can send the team member the link to the invoice they receive via email for team member to pay or find other ways outside of Compass invoicing to recoup fee
All waived fees must have written approval from RVP via email to david.gerber@compass.com prior to onboarding to ensure the invoice is waived (quarterly report on waived fee totals will be shared with LT and RVPs)

OBS UTM Holiday Update
Starting Monday, November 7th, the National Onboarding Team’s Unlicensed Team Member onboarding process will be revised to the following to increase available bandwidth for peak onboarding volume during the holidays:
Part 1: Self-Led Account Login
All UTMs will be sent their login credentials along with instructions to access their accounts following the self guided website.
Part 2: Welcome Session
In the same email as the log-in credentials and instructions, they will be sent a link to sign up for a “Welcome Session” conducted by the National Onboarding Team.
There will be multiple 1-hour welcome sessions offered each week consisting of multiple components including:
Demonstration of logging into Gmail
Outline of OneLogin applications and their use
Compass Tools demo (outlining specific tools/features a UTM might use such as Marketing Center, Business Tracker, Account Impersonation and CRM)
15-min dedicated to questions or tech support
National Onboarding Process Overview Training
Collecting Credit Cards During Day 1 Onboarding
ACTION: All AEMs/AECs review the AE Training Deck as a refresher of this process and ensure each new agent you onboard adds a credit card to their Compass Wallet on day 1.
UTM Paperwork Update
All required legal acknowledgments for UTMs/3PTCs are now either included in the ICA or in Enboarder. Beginning Monday, October 31 we are no longer required to send ANY paperwork to UTMs/3PTCs.

Given that we are a public company and agents can purchase stock on the open market, we are discontinuing the Agent Equity Program. Assisting our agents in their enrollment efforts has historically been a large time commitment for our teams at the end of year, so we know this will come as a relief to many of you who have been SPOAs or assisted in previous years.
We will not proactively share this news with customers, but please feel free to use your discretion to reach out to any customers you want to

Reminder - Salesforce is now the ‘single source of truth’ for agent tiering and MA assignments! Automation is now fully-live so new agents will automatically be assigned a Tier based on regional thresholds and automated emails will be sent to regional stakeholders for dedicated MA assignment.*
The Process to Follow Today:
RML/MMs + assigned AE will receive an automated email when a new Tier 4 customer/team has joined Compass
RML/MM reply-all to the email with dedicated MA assignment
The AE assigned to this agent adds the dedicated MA assignment to the “Marketing Advisor” field located in the “Accounts” area in Salesforce

In the "This Week's FYIs / All Updates" page there is a spot at the top that notifies you who is OOO for the week and who their partners on Zendesk are for your reference throughout the week.
Starting Jan. 30, 2023, you will no longer be able to create real estate sales and rental listings using your Facebook business page. In addition, all existing listings created from Facebook business pages will be deleted.
Create Marketplace listings from your personal profile: You can create Marketplace listings for vehicles, home sales and home rentals from your personal profile. You will also still be allowed to turn listings into ads or boosted posts.

Zillow
Agents are able to manually post Lease listings for free on Zillow, but they are not able to sync from the MLS to Zillow without a contract.

Google Takeout
As a final reminder, when a customer communicates their plan to leave Compass, follow these step-by-step instructions to help them export their data using Google Takeout, as Backupify is no longer available. If an agent requests their data after leaving Compass, you will need to create a Zendesk ticket to grant the agent temporary access to their Google account in order to export their data. For more information, check out this FAQ.
Payroll Moving to Workday
We’re excited to announce that in January 2023, Compass Payroll will move from ADP to Workday, a big milestone on our journey to simplify our people systems and processes. As part of this change, there will be a “freeze period” in ADP from November 19, 2022 through January 3, 2023. This is required to ensure we have an accurate migration of data from the ADP system to the Workday system in advance of the transition date. As part of this change, there will also be a freeze in Workday from December 16 through December 18, 2022.
As part of the freeze in ADP:
You will not be able to make any changes to your city, state or federal tax elections.
You will not be able to make changes to your direct deposit account(s).
You will be able to log into ADP to view your current and past pay stubs.
You will be able to access previous tax forms.
Action Recommended: Please login to ADP by end of day on November 18, 2022 to make any changes that you require before the end of the year.
Cloud App
As part of Compass’ ongoing effort to review expenses and retain only business-critical services, we are reviewing our CloudApp subscription and don’t yet know if we will continue the subscription.
Action Required: Please download any videos (instructions here) that you currently have stored on CloudApp in the event we do not renew so that you do not lose access to your videos.
Should we not renew, you will be able to obtain a free CloudApp account with slightly more limited functionality - details here. You can also use the QuickTime screen recorder that is already built into your computer.
Broker Bay
BrokerBay will replace ShowingTime as our preferred scheduling service.
The cost for the new service is included in your MetroTex dues. So, no extra cost!
BrokerBay is NOT owned by another brokerage but is owned by Supra (ShowingTime is owned by Zillow).
We are signed up to go live with BrokerBay on 11/15. This means starting 11/15, all listings that utilize a showing service to schedule appointments will be through BrokerBay.
Start now by registering on BrokerBay, followed by getting your listings updated with showing instructions, in advance of our 11/15 launch.
Here is what you need to do - there are 3 steps.
BrokerBay is the new showing and appointment management system within NTREIS that will replace ShowingTime. Our brokerage is scheduled to launch live on November 15th! There are a few steps that you must complete prior to our launch.
Step 1. Please click on the BrokerBay app icon located in NTREIS to create your user account. After logging on, click the BrokerBay icon (as shown below).

Step 3. Finally please update all of your current listings in BrokerBay with updated showing instructions. This can be done by following the instructions in this video (Click Here)
