For office access badges:
Find a new card in the white box in the top drawer of the white filing cabinet below the desk. .
Enter new agent/employee info on the next empty line and card number into this Access Cards and Access Report Tracker Spreadsheet.
Our office address is 5025 W Park Blvd Suite 300 Plano, TX and our region is DFW.
After you enter their info in the spreadsheet, it normally takes 24 hours to activate the card. Give a retractable clip (in the black mesh, bottom right drawer) to the agent or employee and label it with the label maker next to the box(in filing cabinet) and put it in the bottom right drawer of the black mesh organizer.
Log the access number on badge and agent info here in the Plano Access Badge Info.
Check mail around 4pm everyday. Our normal letter carrier, Greg will bring large packages into the office, all other mail will be delivered to the box. Daily delivery times may vary as USPS sends out subs to cover our route periodically. Mail keys are in the top drawer of the white filing cabinet under the front desk. Our mailbox is located behind the office in the parking lot where you will also see a FedEX and UPS drop box. We are mailbox #4. Please grab any outgoing mail from the wire basket in the copier area and mail daily.
Agent mailboxes are on the back wall to the left of the breakroom in the office. If an agent has a desk/office space, I will hand deliver it to their respective office area. If they do not have an office, you can use the agent mailbox area. If you are unsure of what group someone is in, here's our DFW roster.
If you receive mail for the Frisco office, you can place it on the top of the black plastic organizer on the front desk. If anything arrives for agents at another office, you can place it in the bottom tray of the black organizer and send them out weekly/bimonthly via UPS.
If you receive a package for an agent please send them an email or you can text them through Dialpad. If anything arrives for Tonja Schult, you can place it in her office.
You will receive mail for prior tenants. I have a red “Return to Sender” stamp in the 2nd drawer of the white filing cabinet. If they still put it back in our mail box, you can throw it away.
Morning Duties:
Turn on all lights in the front. Most of the lights are in the reception area on the wall labeled by area.
Turn on all office lights in the agent office area. There are two sets on the wall to the left when you walk in.
Turn on lights in the kitchen break room and turn on the coffee machine.
Refill anything that seems low - creamers, sugars, cups, chips, snacks. (All extras are going to be in the kitchen cabinets or in Tom Landry in the cabinets under the TV)
Be sure conference rooms and supply rooms are clean and standardized.
During these walkthroughs make note of anything (supply or food) that needs to be replenished.
Make sure Cloudcover music is playing on the TV in Tom Landry and on the computer/bluetooth speaker in the office bullpen area.
Closing Duties:
Check in with agents and employees that are in the office and see if they need anything.
Do final walkthrough:
Straighten the supply rooms
Wipe down the kitchen tables, break area counters, and conference rooms with lysol wipes if they’ve been used (wipes located in bottom drawer near microwaves)
Straighten the conference rooms that are not in use.
Be sure all mail is sorted and put in mailboxes before leaving.
Turn off reception area lights. The cleaners understand that whatever conference room lights and offices who’s lights are left on were used that day and need to get cleaned.
