Checking kids and youth into their programs via the Elvanto child Check in system is vitally important and non-negotiable.
Where kids/teens are part of the staff community and allowed freedom around our campuses, there must be a plan in place to ensure they check in to their program, the same as every other child.
Kids and Youth Pastors / Location Leaders who hold life groups before a Kids or Youth Program must ensure the kids/teens are completely monitored for that gap of time in between. ie the kids/teens should not be allowed to leave the premises or wander off just because their group has finished.
It's important that each Location clearly communicates our checkin time and that we cannot take responsibility for a kid/teen who has been dropped off earlier, except where you agree to looking after them.
Each child attending a Citipointe Kids Program must be checked into the service via the Elvanto Child Check in system.
Each child at a Citipointe Kids check-in Point is given a sticker with their name and a security number on it. Their parents will also receive a corresponding security sticker with a matching number.
Adults picking up their child must to show their security sticker that matches the child's sticker to ensure they are being collected by their parent/guardian. If the adult does not have a corresponding sticker, they may not enter nor collect a child.
The child’s sticker must be removed from their clothing upon collection and paired with the parent’s security sticker. Citipointe Kids retains both of these stickers until the last child has been collected. At that point all stickers are discarded.
In Kid's programs, a child is not allowed to check themselves in. There are some rare cases, subject to approval by the department head, to which this does not apply. The Head of Department (HOD) will be aware of which children are allowed to check themselves in and will monitor this.
Ensure parents are aware that they are responsible to check in their child to our programs and that we take responsibility for them from there. Parents are not permitted to take part in a program except by prior arrangement and must sign in and behave in a safe manner following the directions of the staff and volunteers at all times.

Always provide clear details of the physical locations for drop offs and pick ups to happen and the supervision arrangements in place. Be aware of the procedure that applies if a child remains uncollected, and of issues that may arise in relation to the collection of children, for example, person collecting them does not have their security sticker correlating to that child. (See the Lost, Uncollected or Missing Child section).
If there is an issue during collection eg an adult is intoxicated or violent, we will advise the parent that we cannot give the child into their care and involve the Head of Department or an Executive Pastor as soon as possible.
Each teenager attending a Citipointe Youth Program must be checked into the service via the Elvanto Child Check in system. Parents must be aware that we take responsibility for their Teen once they check in to our programs. Teens must not leave a program, after it has started, unless a parent has arrived to pick them up early. If a teen leaves a program of their own free will early, they should be checked out of the program and the parent advised.
Parents do not always walk their teen into the program. Therefore, communication by methods other than face to face is important. Eg Social media, emails, signage at check in areas. Direct parents to the "Parent Information" on our website.
Teens must supply a parent contact number in order to attend our programs.
Parents are not allowed to attend a Youth program except by prior arrangement and must sign in to the Parent/Visitor room on Elvanto and behave in a safe manner following the directions of the staff and volunteers at all times.

As part of our Child and Youth Risk Management Strategy, ALL adults, for whatever reason, MUST check into a Kids or Youth Program via the Elvanto Checkin system.
This includes:
Parents
Visitors (eg Guest Speakers)
Volunteers (eg photographer)
Team (eg Room Coordinator or Team Member)
Adults need to be assisted to sign into the correct room so they are not mistaken for being there as a leader when they are visitors.
