This page describes the information related to or obtained from the weekly status report from the trainees, which is typically shown in the respective preparation form responses gsheet (En | Ch | Kr).

If a Trainee has submitted a report

W? columns

The W1, W2, ... columns in the sheet by locality in the preparation form responses gsheet give a summary info. If it is

  • Empty: no meaningful entry from the trainee for any of the messages of the week.

  • 0: the training may have (partially) input some info but he/she did not indicate attending any of those messages of the week, which is possibly okay if he/she didn't commit to those messages.

  • Negative value, e.g. -40 : It means the trainee only input info for some but not all messages of the week and his/her current score is 40.

  • Postive value, e.g. 40: The trainee has input info for all messages of the week (he/she might not be fully done yet) and his/her current score is 40.

  • Note the score here may differ from the score given in the Google form because (1) we do not include the free points (3 per message); thus if you try to reward the best performers, add 12 per week to their scores. (2) Google form would give 2 points as soon as one checks the check box that he/she wrote down a prophecy; but here we count it only if the prophecy field is not empty; same with recording.

re columns

The re column after M? column, say M1, indicates if there is any meaningful input in the report for the respective message, say message 1. It is empty if this is not the case.

Typically a meaningful input is reflected with non-zero scores for any of att|st|te, but if a trainee missed a message, he/she may indicate so in the report while not scoring any point.

If a Trainee has attended a Message

att columns

The att column after M? column, say M1, indicates the trainee's score for attendance in the report for the respective message, say message 1. It should be greater than 0 if he/she attends the message and indicates so in his/her report.

M? columns

"Y" in the M? column, say M1, indicates the trainee committed to attend the message, say message 1, according to his/her response of the preparation form. (Note: there are some who did not fill the preparation form so we filled it on their behalf without the actual info, assuming they are attending all messages. )

If a Trainee has taken a Test

te columns

The te column after M? column, say M1, indicates the trainee's score for testing/sharing in the report for the respective message, say message 1. It should be greater than 0 if he/she fulfills the test and indicates so in his/her report.

T columns

The T column after M? column, say M1, indicates if the trainee is tested for the message.

You might want to follow up with the trainee if he/she is tested but the te column is 0. But note that in Week 1 we initiated the form manually so there is a possibility of errors on our side. If the trainee fulfilled testing/sharing for a different message of the week, I would check the specific report first to see if it indicates testing the same as the T column(s). Let me know if you need help with this.

How the Trainee Studied a Message

st columns

The st column after M? column, say M1, indicates the trainee's score for studying in the report for the respective message, say message 1. It should be greater than 0 if he/she studies at all for the message and indicates so in his/her report.

If a Trainee says He/She Already Filed the Report

but somehow it is shown otherwise.

For the time being, you can simply let James Shau know and he may help handle it.

There are a few possibilities:

  • Duplicate entries: Occasionally a trainee somehow fills the form as a new entry instead of the one we initiated for them. One entry may eclipse the other.

  • Missing #xxx in the name of the form entry ...

  • Ah, we accidentally deleted it .... as we tried to correct duplicate entries for another trainee ...

Given the last possibility, do not assume the apparent absence of a report suggest the trainee's unwilling/unable to fill the form.


Example of Email to Follow up with Missing Reports

Sis XXX,

Did you fill out the status report for messages 1-4? We don't see it, though. We need to know for the very least if you had attended the messages (it's really hard to track it in Zoom ..)

If you didn't see the e-mail containing the initial form, you might want to check your spam folder or social/promotions tabs. If you find it there, please mark it not a spam or moving it back to Primary. This way gmail won't (less likely) send a similar e-mail there. BTW, your week 2 e-mail might also be there, too .. Let us know if you cannot locate it.
