State Convention Steering Committee Composition: The State President/State Executive Board appoints the Convention Steering Committee. The Committee is composed of a Convention Chair, Convention Treasurer, Host District Vice President and District Host Chapter Presidents.
Meet with the State President to develop plans for the State Convention.
Meet with the Chairman of the previous State Convention to obtain Convention File (copies of contracts, billing, forms, materials, and information from previous State Conventions).
Meet with host Chapter Presidents and the District Vice President to develop plans for Convention, to include, but not limited to:
Delegating responsibilities.
Making assignments to chapters and members within the district/state for specific functions and duties.
Developing list of potential convention themes.
Deciding on a prospective convention Altruistic Project.
Preparing for the Executive Board meeting and facility tour in September of the year prior to convention.
Work with the convention facilities to plan meals and other convention functions in preparation for advising the Executive Board.
Prepare all breakout and meeting rooms insuring the are set up and ready for the various meetings/functions during the convention.
Report frequently to the State President (and when necessary Executive Board) on the progress of convention plans.
Attend and give reports at State Executive Board meetings upon request of the State President.
Distribute all information concerning the Convention, registration, and facility, including providing digital copies to the Technology Committee Chairman for inclusion on the TN website.
Assume responsibility for the preparation and printing of all convention materials (convention schedule, convention program, programs for meal functions, tickets, and ballots). Donations accepted for printing , and other items, such as door prizes, may be acknowledged in the publication, but advertising is not permitted.
Arrange for sightseeing tours, if necessary, and social affairs with approval of the State Executive Board.
Attend the State Executive Board meeting in September after the State Convention and present a final report.
Meet with next biennium's Convention Chairman/Chairmen.
Perform any duties assigned by the President and/or the State Executive Board.
Assume responsibility for collecting all monies for the State Convention.
Receive the registration for State Convention.
Work closely with the Convention Steering Committee, State President, State Executive Board and the State Treasurer.
Attend the State Executive Board meetings when invited.
Assume responsibility for making sure that all invoices for the State Convention are paid. Receipts from chapters must accompany requests for reimbursements.
The State President appoints the chairmen for the Convention Committee as follows: Registration, Credentials and Balloting. Additional committees may be appointed at the discretion of the State President and the State Executive Board.
