Quick-guide: How does it work for a poster presentation?
10-8 weeks in advance: Learn about Gather.town. How does it work. What can you do. Have look at this video for an overview.
8-6 weeks in advance: Make an account at https://gather.town with your VU e-mail address
8-6 weeks in advance: Send an e-mail to Onderwijswerkplaats@vu.nl about date and time of your poster presentation and your e-mail address. Also include the expected number of participants. We will get in touch with you to discuss further details. We will set-up a basic space for you and invite you to the space. You can then design your space as you like. You can invite others to build the space with/for you. You can also assign moderators. Watch this video to get an overview of building possibilities.
4-3 weeks in advance: Send out information to exhibitors or poster-presenters that you need their materials in the preferred format (or here)
2-1 weeks in advance: collect the posters and upload them in the system. Inform your users about the URL to the event and provide them with the basic information to be able to access the space, move around and interact.
5 days in advance: do a dry-run and (make your final reservation in the system - make the payment yourself and declare expenses)
1 day in advance: do the final checks

Instructions for Poster Formatting
Format Restrictions
Main document:
.png or .jpg format are the only file types that may be used.
Minimum width is 1000px (26.46cm).
Minimum height is 600px (15.88cm).
Maximum file size is 3MB.
No transparent background.
Preview “thumbnail” document:
.png or .jpg format
A copy of the main poster document that has been made smaller.
Recommended width is half of the main document.
Recommended height is half of the main document.
Resizing your poster to fit the dimension requirements
The most simple way to edit the dimensions of a poster is using a slideshow editor such as powerpoint or keynote. Here we’ll show you step by step details on how to change your dimensions.
Powerpoint instructions
Select the Design tab of the toolbar ribbon.
Select Slide Size icon near the far right end of the toolbar.
Select Custom Slide Size.
Change the Width and Height to be larger than the minimum size guidelines above (26.46cm and 15.88cm) and click okay.
Click Ensure Fit to make sure the resizing doesn’t stretch your poster in an undesirable way.
Repeat to create the preview poster with half of the width and height.
