Organization and Development

Before the company startup, positions in organization chart, there are President/CEO, secretary, administration, marketing, and production staff. Five employees designed by two level structures are simple and effective for saving cost of human resource. CEO is in charge of decision and management on company affairs, and to build the management system of the company. With the registered of the company to government, the number of employee will increase to twelve persons, and the job will be divided more detail, at this time the aim is to develop a prototype of WDIRC product and to make a small-scale production. Once the product lists in the markets, it will enlarge the market share, and then the company will adjust its organization to be more functional and concise. As we think, it will hire about 28 people in organization at least. Finally a completed organization based on the revenue and demand is necessary to be developed, due to this is an international company, so the company hopes to scale up its department of finance, management system, human resource, technology, marketing strategy and information system.

1. Before the company startup

The plan of company organization depends on the development of business. Before we start, the organization is planned as Figure 1. There are positions as CEO, secretary, administration, marketing, and production department. For each job description is also listed below (see Table 1), and the general rules of employees we followed is named as “HIRP” which to be “Honest, Industry, Responsibility, Profession”

  • Board of advisers: To provides non-binding strategic advice to the management of the company. The advisory board gives greater flexibility in structure and management compared to the board of directors. However, the advisory board does not have authority to vote on corporate matters or bear legal fiduciary responsibilities and to benefit from the knowledge of others, without the expense or formality of the board of directors.

  • President: to represent the company’s direct of board for deciding the policy of the company development and high-level employees hiring.

  • CEO: to plan and execute the goal of company scheduled, and to lead all of the staffs for achieving their work aims. The job description includes setting strategy and direction; modeling and setting the company’s culture; building and leading the senior executive team; allocating capital to the company’s priorities.

  • Secretary: to perform routine clerical and administrative functions such as drafting correspondence, scheduling appointments, organizing and maintaining paper and electronic files, or providing information to callers. Moreover always to help the jobs from CEO ordering, and the works regarding

  • Administration: business administration tasks include coordinating and directing the services that help companies operation efficiently. These tasks might involve overseeing daily production or sales operations, managing staff and employees, chairing board meetings, administering policies and procedures, analyzing budgets, approving purchases and more.

  • Marketing: the jobs of marketing is to promote the sale of WDIRC products in markets, that include the advertisement of various sale platforms, the management of social medias such as YouTube, Facebook, Twitter, WeChat…, the set of distributors such as agents or retailers , the sale of E-commerce, the show of expos, and the building of sale channels. This is a key position in the company to upraise the revenues from markets. Especial in the beginning phase, the reputation and awareness of products don’t be known by consumers, so this is a crucial work for the company to get a good start. Under the limit of budget, the marketing of products needs to think how to use various social media for creating effective sales to consumers.

  • Production: Regarding the production, this work is to help the design and product of products in an ODM factory, how to create a prototype as soon as possible is the challenge, because the schedule of product lists, it doesn’t spend a lot of time on designing and producing, so the man charged in production needs to secure these works. After the beginning, the work will turn into the focus on how to mass production with time saving and cost down.

2. Initial stage (0 ~ 3 years)

Figure 2 shows the organization of the company during the startup stage (the first three years), and its job description for each position is described in Table 2. Moreover, the name list of advisor board and team member are listed in the proposal of Table 3A, it includes basic information, education degree, occupation, working experience, and expertise. In proposal in Table 3B shows the team member of thEating Inc., in the period of startup, the company for saving the cost of management doesn’t need to extend its employees, so there are three major departments to be leaded by our chief officers; it’s a tough team to guide this company stepping in the success.

  • Board of directors: the board of directors is appointed to act on behalf of the shareholders to run the day to day affairs of the business. Moreover the board is directly accountable to the shareholders and each year the company will hold an annual general meeting (AGM) at which the directors must provide a report to shareholders on the performance of the company, what its future plans and strategies are and also submit themselves for re-election to the board.

  • Finance: it should include, but not be limited to collecting, interpreting and reviewing financial information; predicting future financial trends; reporting to management and stakeholders, and providing advice how the company and future business decisions might be impacted; producing financial reports related to budgets, account payables, account receivables, expenses etc.; developing long-term business plans based on these reports; reviewing, monitoring and managing budgets; developing strategies that work to minimize financial risk; and analyzing market trends and competitors etc.

  • Accounting: first it includes to accomplish accounting human resource objectives by recruiting, selecting, orienting, training, assigning, scheduling, coaching, counseling, and disciplining employees; communicating job expectations; planning, monitoring, appraising, and reviewing job contributions; planning and reviewing compensation actions; enforcing policies and procedures. Second this job is to achieve accounting operational objectives by contributing accounting information and recommendations to strategic plans and reviews.

  • General affair: Responsible for the day to day organization of the site administrative and organizational tasks (which are often to be dealt with in a confidential way), secretarial functions, general affairs, assistance to the general manager and other managers; Handling secretarial duties, reception, telephone and mail and parcel traffic, office and general administration; Personal assistant to the site Manager; Taking minutes in dedicated meetings; Assistance to management in practical matters, general affairs and administration; Taking care of facility management and maintenance, office supplies, relation to service providers, business and personal contacts, potential vendors and relations, cleaning and housekeeping services etc.

  • Domestic sale: Responsible for the sale of domestic consumers, wholesales, agents, and distributors

  • International sale: In charge of the international sale on WDIRC series products and the service of IOT-Ecommerce services.

  • On-line sale: the duty of this job is to be in charge of the on-line sale for selling of the products of the company.

  • Product manufacture: Main job is to response for the request of ODM factory and to coordinate the producing progress of WDIRC’s products, even the design and redesign work for how to make a good product to customers.

  • Hardware and software: It’s working on the hardware and software design of WDIRC product, and to coordinate the production flow with hardware structure.

  • Product design: Responsibility for the WDIRC product design to meet the requirement of consumers.

3. Middle stage (3 ~ 5 years)

Figure 3 shows the organization of the company in the middle development stage (during the first three to five years), and its job description for each position is described in Table 3.

  • IP affair: To deal the affair of intelligent property of the company, especial in the protection of IP against the competitions.

  • Business affair: It focuses on the law affair of business management and operation.

  • Auditing: to ensure compliance with established internal control procedures by examining records, reports, operating practices, and documentation; to verify assets and liabilities by comparing items to documentation, and to complete audit work papers by documenting audit tests and findings.

  • Procurement: to purchase goods or services for their employer to use or sell, to ensure employer obtains quality products for competitive prices in a timely fashion, and to play an integral role in ensuring a company sticks to budgets and operates profitably.

  • IOT application: its works on the IOT application, especially in the smart house and kitchen, how to use the advantages of IT technology to benefit the living with comfortable.

  • Smart appliance: The job is to develop the smart appliances in house, and to think how to combine WDIRC in the system of smart appliances.

  • Living cloud development: to develop the service by living cloud services such as real time logistics system, online media service, and learning services.

What kind of advisers we need in adviser board? Diversity and multi-disciplinary are that we need to consider for business development, especial in the start. At the beginning, the company needs the consultant from investment, finance and law for helping to get a stable and reliable finance support from outside. Therefore, the company invites three experts who are professional on the investment estimation, finance and accounting, and law. As we think, after the startup (3 years later), the adviser can increase to five or seven person, meanwhile according to the development of the company, more expert related to the international business management can be involved. Usually, cross-border experts can give us different view-point and value, which can help us to provide customized service to local customers and advance the competitiveness, let the products have good experiences to users.

4. Long term stage (5 ~ 10 years)

Finally the company expects the organization development, which it likes the Figure 4 and this structure of human resource has the maximum number of employees designed for the business to extend and develop its services and works. The job title and its wage are shown in Table 4.
