B1. Response for Student’s Trial Application

You must check your email account (inbox, spam and junk folders) regularly once your EIGORU Profile is activated. You will be receiving the student's trial lesson application form any day and any time.
If you receive a student’s trial lesson application, then you must reply to it via student’s Email address WITHIN THE DAY with CC: "us" ("us" means eigoru.cc.noreply@gmail.com). You are responsible for informing the student promptly about your schedule so that you can make an appointment that agrees with both yours and the student's closest availability.
We recommend you to add the Japanese translation (applicable for Beginners) in your mail for the new trial students as some trial students are Beginners. You can use Google Translate for free. However, Google translation is not always accurate.
✱Compose a new mail, copy the given Mail SUBJECT then copy and paste the preset mails below but you must edit the parts that needed to be modified.

B1.1 If the Teacher hopes to Reschedule the Trial Lesson

Definitely, you can ask to reschedule the trial lesson if:1. The same schedule was booked by other student.2. Teacher has a sudden other errands.
You should politely ask if you can reschedule the trial lesson. But keep in mind that some trial students might accept it and others might decide to cancel it.
You can use the preset mail below.

B2. Getting to Know Each Other on the Trial Lesson

During the trial lesson, you and the student may get to know each other. However, there are times that some students preferred not to talk about themselves. By then, please, mail the student in advance (before the trial lesson) about what lesson does he/she want to study with you. Therefore, you will be prepared about his/her wished lesson for the trial class.
You must establish rapport with the student, so, you can understand the student's English needs and level. During the trial class, you can ask the student about his or her needs, hopes and goals (in relation to learning English), and the textbook that he/she wants to use.
It’s better to talk about the continued lesson through mail after the trial class. The 25-minute trial class does not leave enough time to discuss such matters.  So, it is more convenient and politer to discuss these issues after the trial lesson. 
Below is a list of things that must be observed for the sake of a smooth trial lesson.
Speak really slowly and clearly (especially when dealing with Beginners)
Be politeBe kindBe amiableBe strict with your punctualityNever push sales (A trial lesson is a time to assess how you can help and win a new potential student, not a time to apply pressure.)
NOTES: The tutor must send mails with CC: “us” for any kind of appointment. Our golden rule is that both the tutor, and the student must send all mails with CC: “us." EIGORU leaders will review your performance and attitude via mails with CC: “us."

B2.1 If the Student did not attend the Trial Lesson

If your new trial student did not attend your scheduled trial lesson, then please kindly send an email to remind him/her about it and you can ask if he/she wants to reschedule the trial lesson.

B3. After the Trial Lesson

After the trial lesson, you must ask the trial student if he/she would like to continue in your class. Then compose a new mail with subject of “Continue Lesson or Not” and copy and paste the preset mail below.

If you obtained a new student or he/she wishes to continue your lesson, then, you and your student must discuss your lesson schedule (how many days a week and how many minutes per lesson).Duration of a single contract is about four weeks (about one month).

B3.1 Ask the Student for the Regular Lesson Schedule

If you receive below student's answer, then you don't have to reply anymore.(2) I’m sorry, but I will not continue your lesson.
But if you receive a positive answer below, then please send another reply regarding the Regular Lesson Schedule.(1) I would like to continue studying English with you.

B4. The First Continued Lesson

The first continued lesson is still conducted via Skype.NOTE: You have the option of continuing the lesson from the trial class or starting a new one.

B5. Make a New Lesson Sheet (LS) after the First Continued Lesson

After the First Continued Lesson, you must make and send an initial Lesson Sheet (LS) to each of your new obtained student as his/her first contract term.NOTE: You must make a new Lesson Sheet every new monthly contract.

B6. Download the Lesson Sheet (LS) and Invoice Sheet (IS) sent via Email

After your profile activation, we will send your LS and IS via Email

B7. Important Parts of the Lesson Sheet (LS) 📌(updated May.12.2020) 

You must fill in the basic information below;Inside the LS, you must write your Tutor's Profile Number-Nickname (ex. 0002-Nancy) as your complete Profile Identity.The student needs this information for the NOTE2185: 今後のステップの概略(STEP3 NEW PROCEDURE OUTLINE) (in the student's manual)
NOTE: As for the update this 2020/05/10, kindly ignore the cells with YES/NO and OK/NO.
NOTES: 1. For the 1st Month Contract, STARTING DATE is NOT the trial lesson date BUT the First Continued Lesson Date.2. The Scheduled End Date of Contract is NOT the end date of the month BUT the last date of the lesson.Make sure that the contract has completed the 4-week lesson cycle.

B8. How to decide the Scheduled End Date of a contract? 📌(updated May.12.2020) 

SCHEDULED END DATE must be the last date of the 4-week lessons.
Let’s have two examples of different contracts. Set your mind that in every 7 days, there must be a number of scheduled lessons to be completed for the 4-week lesson cycle.
Contract sample 120121130(Fri) is the Starting Date of the contract. This contract is scheduled for one lesson a week.This contract has 4 lessons; Nov.30 (Fri)Dec.7 (Fri) Dec.14 (Fri) Dec.21 (Fri) this is the SCHEDULED END DATE of this contract.
Contract sample 220121122(Thu) is the Starting Date of the contract. It has 3 lessons per week, every Sunday, Tuesday and Thursday. This one-month contract is scheduled for 12 lessons.Nov.22 (Thu) Nov.25 (Sun), Nov.27 (Tue), Nov.29 (Thu)Dec.2   (Sun), Dec.4   (Tue), Dec.6   (Thu)Dec.9   (Sun), Dec.11 (Tue), Dec.13 (Thu)Dec.16 (Sun), Dec.18 (Tue)
The SCHEDULED END DATE of the contract is on Dec.18 (Tue).
NOTES/REMINDERS:You must send the Step3-Request Mail AFTER the 4-week contract or on the last date of the contract or it may depend also on your agreement with the student.Once you have received the paid LS from the Step3-form submitted data, then, you must make a new Lesson Sheet for the new contract (If the student wishes to continue of course).

Contract sample 320200203(Mon) is the Starting Date of the contract. It has 3 lessons per week, every Monday, Wednesday and Thursday. This one-month contract is scheduled for 12 lessons as shown on the calendar.
The SCHEDULED END DATE of the contract is on Feb.27 (Thu).
NOTES/REMINDERS:You must send the Step3-Request Mail AFTER the 4-week contract or on the last date of the contract or it may depend also on your agreement with the student.Once you have received the paid LS from the Step3-form submitted data, then, you must make a new Lesson Sheet for the new contract (If the student wishes to continue of course).

B9. Edit the Lesson Sheet FILE NAME

You (tutor) must edit the LS File Name properly, even if the student has made some changes on it.
CAUTION!(update 2017/11/27)You and students must NOT use any symbols or characters such as " & % / + # ^ @ ~ etc." in your Lesson Sheet FILE NAME.
Our Step3-Form provider (JotForm) do allow/upload excel file with symbols in the file name without errors when students attach LS.
But then, when teachers try to download it, JotForm says "file not found" or there'll be an error.
So please, kindly EDIT your the LS File name correctly before you send it to your students.
Also, please kindly remind your students NOT to edit the Lesson Sheet File Name to avoid corrupted file attached in the Step3-Form.

The LS Original File Name is shown below, YEN is the teacher's given Lesson Priceyyyymmdd.StudentNickname.0000-TutorNickname.T10.195YEN

NOTES: Do NOT write the names in all upper-case letters neither in all lower-case letters, please.

B10. Edit the Lesson Sheet Contents

The parts of the LS that must be edited are below.Lesson Information = can be copied from the submitted Student's Trial Lesson Order FormStudent's Information = can be copied from the submitted Student's Trial Lesson Order FormDates of Contract Violation & Penalty Minutes = teachers must fill this in especially if they've committed violations. Read more info inside the LSLesson Date (yyyymmdd) = an exact date of a lessonLesson Minutes = this part is very important because it will be value for calculating the lesson fee of the student as well as your salary so, DON’T forget to fill in the minutes.

CAUTION: You must DELETE the Sample Minutes in the LS which are not taken for lessons.Comments/Remarks = you may put some comments/remarks for the student’s progress on the other worksheet, inside the LS

B11. Ask Student for a Mail Reply if "LS is OK or WRONG" 📌(updated May.31.2020) 

If you win a New Student, then send the Lesson Sheet AFTER the First Continued Lesson (not trial lesson).1. You must mail your student with the attached LS (with the correct/updated details) and kindly ask your student to reply your email after each lesson.The Mail SUBJECT must be "Please, email me if Lesson Sheet is OK or WRONG?(添付のレッスンシートを確認し、問題なければ、このメールに返信してください。その時、メールの題名もしくは本文に "LS is OK" を入れてください。レッスンシートを添付する必要はありません)"You and your student must not forget to email with CC: us always.2. Student will then reply with either of the Mail SUBJECT and/or BODY below:a.)  LS is OK  = if details are perfect...b.)  LS is WRONG  = if there is any mistake.If there's mistake, then student will inform the wrong details and tutor must correct it immediately and email again the corrected LS and wait for student's final reply about LS is OK.
NOTES:Trial Lesson is only 25 minutes and given to each new student.1. If you don't like to send the LS after each lesson, then, you must make an agreement with your student.2. One LS is good for 4-week contract or depends on your agreement with the student.3. EIGORU pays for each trial lesson 25-minute fee, if and only the tutor obtains or wins every new student.4. The tutor must DELETE the contents of the apple green cells (with the trial lesson 25 minutes) from the second contract to have with a certain student and onwards.

B12. At the End Date of the Lesson Contract 📌(updated May.10.2020) 

You must finish the contract with 4 weeks cycle of the lessons. However, there are times that your student will have a long vacation, and it may take more than 2 weeks or so. Therefore, you may end the contract without fulfilling the 4-week cycle. You may ask students if they want to cut the contract early and start a new contract after their vacation.
NOTE: Some students may decide to totally stop the contract with you. By then, you can simply re-open the schedule to other students.

B13. Persistent Asking of 'LS is OK' on the First Week of a New Contract 📌(updated June.4.2020) 

Basically, you must send the LS to your student every after each class. But from now on, “every after each class, within the first week of a new contract,” you must send the LS to ask for student's LS is OK or WRONG, before taking the next class. This is strongly done especially if the student has not yet sent the Step3-Form of the previous contract.
CAUTION! If the tutor couldn't get the LS is OK email every after each class, then the tutor must stop teaching this student and must wait for the student’s email-reply of "LS is OK".
Tutors must be very strict with these rules because of the valid reasons below:
Reason 1:Unfortunately, there are some students who are unreliable, so EIGORU School must eliminate this kind of students as early as we can. These students often don't send the Step3-form, and the worst is that they didn't pay for so many months even EIGORU office had already pressured them to pay. That’s why EIGORU School couldn't get any profit for a long time now, and EIGORU pays the salary of the tutors instead of their students, which is not the nature of this business. Consequently, only the tutor can find these unreliable students, and the tutor must report them to EIGORU office as soon as possible. So EIGORU really needs tutor's cooperation to get rid of these bad students.
Reason 2:This “first-week contract LS is OK email-reply” will be the evidence that the student agrees to have a new contract with the tutor and the student has paid or will pay the previous contract. If there is no evidence, then the tutor will definitely not have the payment for that certain student.
So, if the tutor could not get the student's email-reply of LS is OK after each lesson on the first week of a new contract, then EIGORU will not be capable to help and not able to follow-up tutor’s problem with their students not sending Step3-form to us.

B14. After the First Contract and a New LS for the Second Contract

Your student is satisfied or happy with your teaching if he continues your lesson for the 2nd contract and onwards. By then, you must make another/new/edit LS with updated information as for the second contract. You must edit the LS as usual. However, for having 2nd LS and so on, the Trial Lesson minutes’ box/cell must be deleted and leave it blank and update the rest of the cells.

B16. Step3 Procedures 📌(updated May.10.2020) 

1. STEP1-STEP2 procedures are conducted as usual.You must send an email with CC: us and attach the LS with correct/updated details after each lesson or depending on your agreement with the student on when and how often to send the LS.The student will check the LS’ lesson dates and minutes, then send it back to the tutor with CC: us.

2. Email your student with the mail SUBJECT of “新エイゴルご請求(Step3-Request) (お支払い後に、振込連絡フォーム(Step3-form)に必要事項をご記入ください)”. ***This is MANDATORY.Tutor must attach LS in this mail.This mail will request the student to double check all the lesson dates and minutes, as well as asking student to pay for the finished contract. 

3. The student will send LS to the tutor through this Step3-form.a. Student must send payment within 7 days from the date Step3-Request Mail received. b. Student checks/confirms all LS contents.c. Student fills-out the necessary information on the Step3- form (including the payment information).d. Student will attach the completed/paid LS on the Step3-form.
After student sent payment, then student must fill-out/submit the Step3-form and attach the paid LS on it to complete the process.e. The Step3-form with the attached LS is sent not only to the tutor but also to EIGORU office automatically.f. The Step3-form submitted data via email has the Mail SUBJECT “FW: FWFT:振込連絡フォーム(STEP3-form)”.*It is automatically sent by the mail form system after the student has finished completing it.★The video below is only for informing tutors How the Student Does the Step3 Procedures

4. You must download and check the paid LS attachment from the Step3-form and include it on your Invoice Set.
5. The money received will be checked by EIGORU within 14 days from when the student has finished the Step3-Form.

NOTE: Tutor doesn’t need to check or ask students if they are paid already or not. Tutor can only ask if the Step3-form is submitted already. It is EIGORU management’s responsibility to check if students are paid or not to our Japanese bank.If we find that the student has outstanding balance, we will inform it both to the student and the tutor.

B17. Step3 System Important Points for the Tutor and the Student 📌(updated May.10.2020)

A. Mandatory Procedures for the Tutors1. After the last lesson of the contract, the tutor must make a mail with the subject of “新エイゴルご請求(Step3-Request) (お支払い後に、振込連絡フォーム(Step3-form)に必要事項をご記入ください)”.a. The Step3-Request Mail must have the attachment of the corrected/updated LS.b. The LS must have the correct file name, correct dates, correct lesson minutes and so on; meaning, it must be a "Perfect Lesson Sheet.” It is MANDATORY.c. The LS must be perfectly edited by the tutor before sending it to the student.
2. The body message of Step3-Request Mail MUST be copied from "Step3-Request Mail Preset".Step3-Request Mail Preset has the Japanese message to ask the student’s payment and fill-out the Step3-form from the given URL.This Step3-form is filled-out by the student ONLY and NOT for the tutor.
3. The tutor will receive the Step3-form submitted data via email has the Mail SUBJECT “FW: FWFT:振込連絡フォーム(STEP3-form)” after the student has submitted it with the important information and attachment of the LS (must be received on/after 7 days from the date when the tutor sent the Step3-Request Mail).a. The tutor must NOT receive LS through typical email.b. FW: FWFT:振込連絡フォーム(STEP3-form) submitted data via email includes the request about lesson continuation.
4. After the tutor has received the FW: FWFT:振込連絡フォーム(STEP3-form) mail, then the tutor must then check the LS if it is the one you sent.✱If the LS is correct and in proper order, the tutor can include it in his/her Invoice Set.✱If the LS contains errors and/or is incomplete, the tutor must inform the student to resubmit the Step3-form until the tutor receives an error-free LS.
5. Tutors MUST NOT request payment from their students via email. ✱This is implemented for both Standard and Special Tutors.✱Tutor must use the Step3-Request Mail after completing the 4-week lesson contract.

B. Mandatory Procedures for the Students1. The student must receive the Step3-Request Mail from his tutor after the “last date” of the lesson contract.a. Step3-Request Mail from the tutor must contain the LS attachment.b. The LS must be edited perfectly by the tutor.c. Step3-Request Mail must have the updated/correct preset message with the STEP3-form information.
2. FW: FWFT:振込連絡フォーム(STEP3-form) must be read thoroughly and completed with the required information by the student.a. The student must pay within 7 days BEFORE sending the STEP3-FORM to his tutors.
b. The student must enter the necessary information such as the lesson continuation and the payment date (paid).c. This Step3-form cannot be sent without the LS attachment by the student. d. There is no limit for re-sending this form with the LS attachment and added information, which is to be corrected by the student.e. This Step3-form with attached LS is sent to the tutor and to EIGORU office automatically by the system.
3. The student must follow the procedures and send the STEP3-FORM within 7 days from the date received of the Step3-Request mail from his tutor.a. First and foremost, the student must fill-out and submit the FW: FWFT:振込連絡フォーム(STEP3-form) b. Student must complete the payment within the given 7 days.

B25. PENALTY for Each Lesson Sheet (LS) with NO Step3-Form but insisted to include on the Invoice

You must include the Lesson Sheet in your Invoice which is sent through the Step3-form ONLY. ✱You must never include LS which is sent via email only.✱We will NEVER tolerate LS with NO Step3-form.
We need the students' Step3-form as a PROOF of payment. We can check and match the BANK Names, Payment Amount and Payment Dates from their entry forms to our system. We don't have bank names in Kanji and Katakana by the way.
If your student forgot to send the LS through the Step3-form, then you must follow and do the Step3-REMINDER Mails.  Furthermore, if your student doesn't know how to use the Step3-form and/or you couldn't receive the entry form after sending the Step3-REMINDER Mails and waiting for over 8 days, then please, ask our help. We will then email the student immediately.
WARNING!If you disobey our rules and you have poor understanding with our procedures, then we will remove your profile in our site. Moreover, if we found out that you insisted to include the LS in your invoice with NO Step3-form from the student, then you will be penalized with BIG deductions on your invoice; Perhaps, we will not send your salary, you will be dismissed immediately and you will no longer teach EIGORU students. B27. Making a Perfect INVOICE SET 📌(updated May.10.2020)

INVOICE SET means a compilation of all paid LS and the invoice sheet.At first, put all the completed LS and the invoice sheet in one folder and rename the folder according to the present month, e.g. December Invoice Set. Then kindly follow the rest below.1. Open the blank invoice excel sheet and move it to the right part of your monitor, reduce the size in half.2. On the left part of your monitor, open the folder where all your completed LS is located.3. Click each LS file, right click on it, select Rename & Copy each with correct sequence and paste it to your Invoice Sheet.NOTES: This is the sample LS FILE NAME FORMAT.You must edit the date and nicknames correctly.yyyymmdd.StudentNickname.0000-TutorNickname.T10.295YENLS file name must be sequenced by dates.The quantity of the LS file names in your folder and in your Invoice Sheet must be the same.The purpose for this is to make the checking process smoother and faster, which will allow you to receive your salary the soonest possible.We do NOT accept invoice set with wrong sequence, so we will return it to you and you must correct it.4. After pasting all the LS file names, open each LS and find the BLUE cell which is the Total Lesson Minutes, memorize it and type it alongside the file name on your Invoice Sheet.5. And if you made it, you can then compose an email with the mail subject “INVOICE” and attach your INVOICE SET and send to eigoru.office@gmail.com.

B29. Payment Term, PayPal and GCash 📌(updated May.10.2020) 

Payment is due within 5 days after receipt of the INVOICE OK mail.We will process your earnings as soon as possible except for the PayPal bank holidays.
We send salary through PayPal only.We recommend having a GCash account from Globe and link it to your PayPal account.Please, search on YouTube and/or Google PayPal and GCash for more details.There's NO charge for withdrawing PayPal money to GCash and it's instant!
If you use BPI, BDO, and other bank accounts, most of them might charge 200php per PayPal withdrawal which is not practical.We do NOT send salary from bank to bank because it's very expensive. It costs around 1,500php to 2,500php per transaction using Japan bank.PayMaya and EON of UnionBank of the Philippines are also recommended to link to PayPal as they don't charge withdrawals.
If you don't have a PayPal account yet, you can ask your close friend to share his/her PayPal account with you.But we highly recommend having your own PayPal account for your good.The tutor must bear the PayPal Fee of 4.4% + 15 PHP.This PayPal Fee is charged whenever the sender transfers money to your PayPal.
For example, your salary is 6,500 PHP.Multiply your salary to 0.044 and add 15 and the result is the PayPal Fee.
   6,500x 0.044+      15=    301 PHP is the PayPal Fee
   6,500 salary-     301 PayPal Fee= 6,199 PHP is the money reflected to your PayPal.

B30. If the Student Hopes to Continue your Lesson  (updated 2020/05/10)

1. If a student hopes to continue your lessons with his preferred schedule, you must make a new LS then.2. You must delete all the trial lesson information including the 25 minutes trial lesson.3. You must edit the LS's File Name and Lesson Dates correctly.NOTES:If you want to reuse the old lesson sheets, you must read the quick instructions below.You can still use the 1st LS for the 2nd contract and so on. But you must know how to change and edit the used LS and make it like a new one.Do NOT forget to delete the used and paid lesson minutes when you are editing it. This is to avoid complaints or unnecessary emails from the students to the tutors and/or EIGORU staff.
First and foremost, always make a new folder for the “successful group” of LS per month.
This is to separate the old LS from the previous month and the new LS for the next month.
1. Make a folder for the previous month’s LS. Copy all the LS from this folder.2. Make another folder for the new month-contract and paste all the old LS here. Now the old LS can be edited and updated into new LS.

B31. The Latest Compact Lesson Sheet Version 20151031  📌(updated May.10.2020) 

Below is the snapshot of EIGORU's latest LS.NOTE: As for the update this 2020/05/10, just ignore the cells with YES/NO and OK/NO.
As you can see, there are 2 sheets on this LS.1. Lesson(レッスン記録) = a record of the student's information and lesson dates, minutes, violation and penalty.2. Comment(コメント) = a record of lesson comments and /or lesson chat or history via Skype or Line.
It will be much easier and more convenient for teachers and students to use this compact LS. The changes are very easy to notice such as the moving of lesson dates, minutes, violation and penalty columns into one place, deleting unnecessary information and separating comment column on another worksheet.
You, as a teacher, must edit the following:The Lesson Sheet File Name must be updated per contract.✱Please follow the latest FILE NAME FORMAT below.yyyymmdd.StudentNickname.0000-TutorNickname.V01.000YEN✱The LS File Name must be edited on the top of the excel file (by renaming a file) and on the cell A2.
NOTE: As for the update this 2020/05/10, just ignore the cells with YES/NO and OK/NO.

Student's Information = full name, email, Skype/LINE ID of the student must be copied from the "EIGORU Trial Lesson Order Form"3. Dates of Contract = Starting and Ending Dates of the Lesson contract (4-week cycle).4. Trial Lesson information = located on the APPLE GREEN CELLS. Trial lesson is done for once only before having the 1st contract per new student. There's only 25 minutes trial lesson given per student.These fields (apple green cells) must be deleted (clear contents) for the 2nd contracts onwards.5. B32. Tutor Makes a Photo of the Lesson Sheet (for Students who can't/don't use an excel file) 📌(updated May.10.2020) 

Making a photo of LS will help students who don’t know how to use or open an excel file in their PCs, tablets and smartphones as well as students who cannot attach the excel file on EIGORU Step3-Form. iOS can attach a photo file and most Japanese students are using iPhones by the way.

Teachers must make and provide this PHOTO LS to those students who requested for it. Teachers will be informed about what type of LS via "EIGORU Trial Lesson Order Form" and "Easy Mail Form'" or email sent by some students.
We know making a photo of LS will increase teacher’s tasks but so far, there are very few students who can't use excel and can't attach it on our forms.
