(Manual Part 3/3)

EIGORU Teacher Manual has 3 Parts:A)  EIGORU Basic (Manual Part 1/3)B)  EIGORU Lesson Procedures (Manual Part 2/3)C)  EIGORU General Protocols (Manual Part 3/3)

C)  EIGORU General Protocols (Manual Part 3/3)*Click a topic below you want to read.

C1. Each 25-minute Successful Trial Lesson is Paid by EIGORU School

1. Trial lessons are always FREE for the NEW trial students. 2. The Trial Lesson is good for “25 minutes” only.3. A trial student can have a trial lesson up to 5 DIFFERENT trial tutors.4. A trial student cannot have more than one trial lesson with the same tutor. 5. The trial lesson minute fee is only good for the student’s first TRIAL lesson. 6. EIGORU School pays the tutors for the trial lesson fee if they obtain a contract from the new trial student (win the trial student).7. If the tutor and student finished the trial lesson but the student declines further lessons with the tutor, then the tutor will not earn the fee for a trial lesson.8. In the 2nd continued contract, you must delete the 25 minutes on the LS alongside the trial lesson date field.NOTE: The Trial Lesson cells are only for a successful trial student, NOT for a present student.

C2. Delete the Sample Lesson Minutes

1. You must NOT write the lesson minutes without having finished the lesson. Therefore, kindly delete all the sample minutes on your 1st LS.2. The cells of the lesson minutes are automatically calculated. 3. You must write only the finished lesson minutes.

C3. Family members in One Lesson Sheet

In most cases, one LS is used for one student. However, you can also use 1 LS with 2 or more students at a time. There are some circumstances that 1-3 family members (like mother and children, etc.) will take your lessons with different lesson schedules and might ask you to use 1 LS for the family. The parents can cover all of their lesson expenses with one payment this way.
How to edit the Family's Lesson Sheet?a. As for the Trial Lesson DATES, write each date on the correct cell as usual.✱And for the Trial Lesson MINUTES, then sum the total trial lesson minutes and write it on the correct cell as well.b. With regards to the Starting and Ending Date of the contract, just the write the first and the last date you took for the contract.

C4. If the Student Quits in the Middle of the Contract

Some students decide to stop the lesson for some reasons such as not contented with your lesson, will go on vacation for 2 weeks and more, and/or will rest for a while.
Thus, if your student decides to stop your lesson in the middle of the contract, then you must send the “Step3-Request Mail" with the current Lesson Sheet attachment. Once it is completed, the lesson sheet/contract is closed.

C4.1 If the Student Sent Payment before the End of the Contract

Some students are new and haven't done reading Student's Manual, therefore some of them might sent payment already before the lesson contract ends. By then, here's what to say to your student in a polite manner:
1. Inform students that it's fine if it's only their first time to experience EIGORU.2. Inform them that you will then make a new Lesson Sheet with a new starting and ending dates of contract.3. Inform them that they should NOT pay the lesson fee if:✱ it's NOT yet the end of the contract✱ you haven't sent the Step3-Request Mail4. Kindly remind them that they can pay the lesson fee once you send the Step3-Request Mail and that they must fill-up the Step3-Form.

C5. Regarding Incomplete or Cut Lessons

If you are unable to complete your lesson for whatever reason such as power failure and sudden cut of internet connection, then you must only fill in the consumed minutes on the LS (but not less than 15 minutes).NOTE: If lessons are to be extended/shortened there must be a shared agreement between you and your student.

C6. Corrupted Lesson Sheet attached in the Step3-Form

If you have received a broken lesson sheet attached in the Step3-Form, you must follow our good solutions written below:
First, you can ask your student to resend the Step3-Form with attaching the correct LS. But if you still received a broken/corrupted LS, then please follow the instructions below.
A. Go to Gmail and log in using the address and password we will send. We ONLY gave ONE Gmail ID and ONE Password for all the tutors, then please, NEVER change any of them.Compose a new message with the MAIL SUBJECT "Corrupted LS id and pw" and send to eigoru.office@gmail.com.
B. You can find the entry form mail you want to open by writing your "profile name" or your "student's email address" in the search engine box.
C. Opening and downloading the lesson sheet from the entry form mail:
1. Click the entry form mail, scroll down and you will see the attached lesson sheet file at the bottom of the mail. 2. Do NOT click the "Download" button, but you MUST CLICK the "Open as a Google spreadsheet". 3. Once you are able to see the lesson sheet via Google spreadsheet, please, click "File" on the menu tab.4. Then select "Download as Microsoft Excel (.xlsx)" and the lesson sheet file will automatically download in your PC and you are done!
Just download the Lesson Sheets you needed.
CAUTION!!!As much as possible, do NOT open the Step3-Forms of other tutors. If you open it mistakenly, please, click "More"(upper middle part of the page) and select "Mark as unread", to return the mail as unread mail.NEVER delete any Entry Form Mails in it.NEVER change any of the settings of EIGORU Gmail address, PLEASE.You MUST ONLY open the entry form mail, download and open the Lesson Sheet you needed for your invoice set.

C7. The Lesson Sheet Must be saved as 2003 Excel Version

You must save the sheets, LS and IS, as 2003 (.xls) excel files and NOT as 2007 (.xlsx) files. Numerous Japanese students have the 2003 (.xls) version of Excel. The 2003 version cannot read files saved in the most recent formats featured in the 2007 version and above.

C8. The Lesson Sheet as a Proof of Billing

1. Without the LS, we cannot charge the student and pay your salary.✱ The Lesson Sheet is not just only a monitoring sheet but it is also a proof of billing for both of you and your student. 3. The LS automatically calculates and displays the total lesson fees.4. Do not forget to double check each consumed lesson minutes per lesson date.5. The LS always calculates the total lesson minutes and total student’s lesson fee correctly as long as there are no broken formulas in the cells.

C9. Payment for the Tutor’s Additional Tasks

When you are asked by your students to do extra tasks (e.g. making special materials for that student only, heavy translation work, etc.), you can ask them to accept additional lesson minutes for the additional work before you begin the task. On this case, you can add the title of "additional work minutes for xxxxx" in the lesson sheet. For example, YY/MM/DD: additional work minutes for making materials: 25 minutes

In any case, you and the student must agree on the following;
1. You must write the "additional work minutes for xxxxxx" on the lesson sheet2. Ask the student how many minutes you should write in the LS before starting the task. For example, Some students are preparing for exams (entrance exams, TOEFL, IELTS) and may need you to prepare special materials and or modify their existing materials with other explanations and/or rewording, etc. These are just some examples of situations where you can tell your student that preparing these materials requires payment for the extra time consumed.

C10. Informing EIGORU Staff about Updating the Tutor’s Profile

When you wish to change any information on your profile page (e.g. Profile video or written self-introduction, photo, etc.), then simply inform us via email. Compose a new email with the subject "Edit my profile" and send to eigoru.office@gmail.com. We will update your profile as soon as possible.

C11. Other Important Rules and Manners

Violating our policies/guidelines will result in salary deduction, removal of your profile from our site or your immediate dismissal.1. Notify your students about your absence 24 hours before the scheduled lesson. Most of our students return home just to take your lesson. Thus, you must inform your students about your planned absences or changes in schedule 1 DAY (24 hours) before the scheduled class.● Less than 24 hours notification has pertinent penalties.● The tutor’s maximum allowance for absences is only 3 days per month. (You MUST EMAIL your student about your planned absence at least 24 hours before the scheduled class.)● Absences beyond this limit will not be accepted.● We will not tolerate absence without notification.WARNING!If you failed to comply or we received complaints from your students, there will be salary deduction of 100 PHP each, removal of your profile, and you will never get new trial students but still, you must continue teaching your present students.)

2. Use EIGORU Emergency Board for an Unexpected Absence or Cut of a Lesson. In circumstances where you cannot access the Internet or couldn't send email, this SMS protocol is be applied. You must do their best to make sure that your students are informed about your unexpected situations on or before the scheduled lesson.NOTE: If you have a smart phone and have Sim DATA connection, then, please mail your students as soon as possible.
3.  Update your Student about your Restored Internet Connection.
If you are absent due to sudden power loss (blackout, disaster etc.), please update/mail your students as soon as the internet connection is restored (within an hour as much as possible).
4. Stop from Frequent Schedule Changes.
The lesson schedules you promised in the beginning are very important to your students, especially if they like/love your teaching style and enjoy your lessons so much.
5. Be online on Skype or Line, at least 15 minutes before your scheduled class.
● 10 seconds delay is not allowed in Japanese principles!● Your Skype account should be online at least 15 minutes before your scheduled class.● We cannot accept a latecomer tutor.WARNING! If you failed to comply or we received 3 complaints from your students, we will deactivate your profile and will be suspended for 3 months (you won’t receive new trial students). But still, you must teach your present students.
6. Reply to your Student's Email Promptly or Within 24 hours only with CC: us.
● You must reply to your student's Trial Application Mail and any other email promptly with CC: eigoru.cc.noreply@gmail.com.● You should open/check your e-mail account frequently, at least thrice a day.● We cannot accept tutors who do not mail their students promptly.WARNING!If you failed to comply or we received 3 complaints from your students, we will deactivate your profile and you will never receive new trial students again. But still, you must teach your present students.
7. Send Email with CC: us when Discussing Important Matters Beyond Lesson Time.
● You and your students must NOT use Skype/Line for messaging when discussing important matters beyond lesson time● A Skype/Line message is very different from an email, the Skype/Line chat box or message is available only between the sender and the receiver in online status mode. The receiver is not able to read/receives the message if the sender is in offline mode and vice versa. This is why you must NOT rely on Skype/Line for important messages.NOTE: If you could not reach your student on Skype/Line (offline mode), please mail your student the soonest.
8. Send the Lesson Sheet After Each Lesson.
● If you don't hope to send the lesson sheet after each lesson, you must make an agreement with your student.
9. All Emails between the Tutor and the Student must be sent with CC: eigoru.cc.noreply@gmail.com.
● Emails for the trial lesson appointments, mails with the attached LS, etc., must be sent with CC: eigoru.cc.noreply@gmail.com.● You must also remind your student to include CC: eigoru.cc.noreply@gmail.com on their emails to you.

As you have read above, there are many procedures and methods for dealing with emergencies and other situations that may cause absences etc. 90% of jobs where you have to be physically present do not tolerate absences without explanation or notification, teaching English online with EIGORU is no different. If we always get complaints, EIGORU might NOT get new students for all the teachers, as well as for you! Violating these rules will result in termination from EIGORU.
H. Japanese Bulletin Board System (BBS)Dissatisfied students will not only post their complaints to EIGORU School but they will use popular blog sites to post their complaints, bad reviews and worst case scenario.
WARNINGS!!! Japanese are well known for being very proactive with internet blogging and they have many resources to use including Japan’s very famous BBS sites. This is Japanese Online Communities' Bulletin Board System (BBS). All the students from different Japanese Online English Schools are reporting their complaints to BBS. Once the angry student posts a bad report in BBS, almost all the Japanese students can read and be updated to it. Therefore, those readers will get a bad idea or bad image about EIGORU School which will affect ALL of us in EIGORU!
If you are careless in regards to your students, it will affect EIGORU more than you might believe. You could defame EIGORU and YOURSELF (they might also post your photos as an example).
I. Precise answers for the old and same reasons which are NOT acceptable. Almost all students who file complaints about EIGORU tutors file them for the same basic reasons described above like tardiness, absence without notice, schedule abuse, etc. Below are precise answers for typical excuses. ✱These excuses are not accepted by EIGORU neither by students.
1. The Spam folder in your email account is not dangerous on its own. It is a folder not a FILE so, please do not try to tell us that you are afraid of opening your Spam folder. We know technology and this is not a valid excuse. So you MUST OPEN and CHECK IT AS ALWAYS like your Inbox folder.
2. A tutor was not in her workplace would never be a valid excuse. We are very aware that almost all Filipinos/Filipinas carry mobile phones with them at all times. Moreover, expenses for your mobile phone credit/load balance are much cheaper than in Japan. Definitely, you can TEXT Ms. Nancy wherever and whenever you are.
✱Awareness on EIGORU Manual and prevention for any violation are better than to get deduction!
✱We thank you for understanding and observing our rules and policies.

J. Teachers who are NOT attentive to the student during the class. There's a Penalty Deduction of 100 PHP for the 3rd-time report about not focusing during the class or doing other things on the computer.
✱The teacher must professionally teach students online, be attentive to the student and never do other stuff during the class.✱Other stuff such as social media sites and applications include Facebook, YouTube, Instagram, Twitter, blogs and other sites as well as other unnecessary activities which are irrelevant for the online class.
NOTE: If there are more than 3 reports regarding this matter, we will then stop all the teacher's classes, charge appropriate penalties (salary deduction from final invoice) and be dismissed from EIGORU.
