§1 Registration, registration confirmation

Registration for the conference must be  in text form (online registration form, conference@psychodrama-for-europe.eu). The information contained in the online registration form is required.

Registrations will be considered according to the date of receipt. A corresponding registration confirmation will be sent to you by e-mail (from the address: conference@psychodrama-for-europe.eu) within 14 days including the invoice and further information.

Participation can not be guaranteed until the full participation fee has been received on our account.

The registration ends on September 17th, 2023. If the maximum number of participants is reached before this date, the registration will be closed before the deadline.

The registration is binding.

The organizers reserve the right to replace the change in another conference hotel, to change announced speakers by others and to make other necessary changes to the program of events while preserving the overall character of the conference.

§2 Participation fee and invoice

The participation fee is per person. It includes conference documents (certificate of attendance, invoice), the welcome reception on September 22, 2023, the attendance of the offers in the context of the conference from 22.-24. September 2023, coffee breaks during the aforementioned conference and the dinner buffet on 23th September 2023 (the last if booked). 

The participation fee does not include the membership fee of the Psychodrama Association for Europe e.V. Questions on applications for membership and membership fees are to be directed to the treasurer of the association.

Arrivals and overnight stays are to be organized, booked and paid by yourself.

§3 Cancellation, No-Show, Refund of Participation fees, Substitution

A cancellation of participation in this conference can be done

• until 1st of August 2023, with reimbursement of the contribution already paid, less an administrative fee of EUR 20.

• before 11th of September 2023, reimbursement of 50% of the contribution already paid, less an administrative fee of EUR 20.

• from 11th of September 2023 without reimbursement of the contribution already made.

The cancellation must be in text form by e-mail to conference@psychodrama-for-europe.eu date of the e-mail protocol). In case of later cancellation or no-show, the full participation fee will be charged.

Refunds will be made within 60 days of receiving the cancellation. Further excluded from the refund are exchange losses and credit card fees.

A substitute participant can be named to conference@psychodrama-for-europe.eu up to 30 hours prior to the conference without further charge. The transfer of the participation fee already made must be made between those persons who exercise the right to a replacement.

Any substitute who has not been communicated to the organizer at the above-mentioned e-mail address can not be recognized and obliges the participant to pay the full participation fee according to the amount table.

A cancellation of the conference, such as lack of sufficient number of participants, is reserved to the organizers. Already paid participation fees will be refunded without deduction. Another claim for damages is excluded.

§4 Privacy Policy

With your binding conference registration you consent to the processing of your personal data for the purpose of conducting the conference.

We would like to inform you in accordance with Article 13 of the EU General Data Protection Regulation (EU-DSGVO) about the processing of your personal data (hereinafter referred to as "data"). The EU-DSGVO imposes some meaningful obligations on us to ensure the protection of your data during processing. In the following, we explain which data we process for you and for what purposes and which rights you have in this regard.

Purposes of processing

We process your data in accordance with Article 6 paragraph 1 lit. A) of the EU-DSGVO on the basis of your consent by the binding registration for the conference: compilation of the list of participants and name tags (name, first name, title), if applicable billing (name, first name, title, complete address), preparation of participation certificates (name, first name, title).

Duration of processing

We only process your data for as long as it is necessary for the planning and final execution of the conference or due to legal regulations such as the retention of accounting documents is required. If you wish the deletion of your data, we will delete your data immediately, as long as there are no legal storage requirements.

Your rights as a concerned person

Under the EU-DSGVO you can may make use of your following rights:

• Information about the processing of your data

• Correction or deletion of your data

• limitation of using your data

• opposition to the use of your data

• data portability

• Revocation of your given consent with effect for the future

This conference homepage should enable a fast electronic contact with us. If a person contacts us by e-mail or via the registration form, the personal data provided by the person concerned will be automatically stored. Such personal data transmitted by a data subject on a voluntary basis will be stored for the purposes of attending the conference and for contacting the data subject. There is no disclosure of this personal data to third parties.

By signing up, you agree that the given data (first, last name, title) will be published on the participant list of the conference. The list of participants will be available in print and in electronic form to other participants in the conference, as well as to the speakers and conference partners.

§5 Copyright

All conference materials of the conference are protected by copyright. Participants are granted only a simple, non-transferable right of use for personal use. In particular, the participant and third parties are not permitted to change the contents of the conference documents - also in extracts - or to use modified versions, to copy them for third parties, to make them publicly available or forwarded, to the Internet or to other networks for a fee or free of charge to copy, resell, or use for commercial purposes. Any copyright notices, marks or trademarks may not be removed.

All film and sound recordings intended for the conference must be obtained in advance from the organizer. Taking into account the rights of third parties, photographs are permitted to a reasonable extent for private purposes. The event organizer assumes no responsibility or liability for any incorrect content of the presentations and documentation.

§6 Photo and Film Recordings

The conference may produce photo, sound and motion pictures, which will be released in various online and offline media. These recordings are associated with the pictorial representation of persons present, with the selection of persons occurring randomly. A presentation of the images takes place on the homepage, print media and social media channels of the organizers. This also applies to conferences offered in cooperation with third parties.

By entering the function rooms, the participant agrees to the free publication in the above manner and dissemination and / or unlimited storage and accessibility of the recorded image, sound and film material in the context of the public relations of the organizers. The personality rights were preserved in every case.

If the participant in individual cases does not agree with the publication of his person, we ask for the immediate communication with the persons in charge of the conference.

§7 Cancellation Policy and Refunds

In the case that the meeting is cancelled by the Organizing Committee, or by any reason or any factor out of the control of the Organizing Committee, such as force majeure, natural disasters, weather conditions, acts of terrorism, or by any other cause beyond the control of the Organizing Committee, which results in the Conference 2023 cannot take place; the Organizing Committee will try to make all possible to reschedule the Event. In such cases, it is entirely the decision of the Organizing Committee to decide on the refunds of the Registration Fee. The liability of the Organizers shall be limited to the refund and they shall not be liable for any other loss, cost or expense, however caused, incurred or arising. In particular, the Organizing Committee shall not be liable to refund any travel or hotel costs incurred by delegates or their organizations. It follows that delegates and accompanying partners are advised to take out comprehensive insurance, including travel insurance.

Any collection costs incurred will be the responsibility of the debtor.

The Psychodrama Institute for Europe LV Deutschland e.V. and the Psychodrama Association for Europe e.V. and included Organizing Committee will not accept any liability for death, injury, any loss, cost or expense suffered by any person (including accompanying persons or partners or attendant caregivers). In particular, the Organizers will not accept any liability for losses arising from the provision or non-provision of services provided by hotel companies or transport operators. Nor can the Organizers accept liability for losses suffered by reason of war including threat of war, riots and civil strife, terrorist activity, natural disasters, weather, fire, flood, drought, technical, mechanical or electrical breakdown within any premises visited by delegates and/or partners in connection with the meeting, nor losses suffered by reason of industrial disputes, governmental action, registrations or technical problems which may affect the services provided in connection with the meeting.
