Please refer to the PAL Weekly Hr Breakdown for your weekly hours. Email Carla or Megan if you have questions.
Individual tutoring sessions/ DLA reviews are held in the Success Center Zoom Room. This time is limited, so please remind your students to attend early and make appointments.
Preparation and participation hours should be spent each week actively and visibly participating in class. (You do not need to be in the SC Zoom room during this time.) What does this look like? You can use this time to work on the following:
Checking in with your instructor.
Sending one weekly announcement.
Posting on discussion boards, checking in with students, and responding to student messages through Canvas
Reviewing material the instructor has posted
Or creating light session plans. For more ideas, review the "Class Participation" page of this handbook.
Unused prep/participation time should be converted to tutoring hours. Please notify Carla of these changes.
Group sessions are held in the Success Center Zoom Room.
Unused group time should be converted to tutoring hours. Please notify Carla of these changes.
At the end of each shift, you must submit the WTE for the hours you worked that day.
When you are in the Success Center Zoom Room, please change your name to "Name back @ __:__" (Example: Kim back @ 5:15) when you take a break. This will help Intake manage the flow of walk-ins.
Per California Labor Law, your work shifts should include the following rest breaks and/or unpaid meal periods.*
every 4 hours worked = 1 paid 15-min. rest break
over 5 but no more than 6 hours worked = 1 paid 15-min. rest break + unpaid 30-min. meal period. (When working no more than 6 hours, you may waive the unpaid meal period if you and your employer mutually agree to do so.)
7-8 hours worked = 2 paid 15- min. rest breaks + unpaid 30-min. meal period.
*Note: Breaks and meal periods should be scheduled in the middle of your shifts. You cannot use your rest breaks or meal periods to leave work early
Per Chaffey College's Classified Staff MOU, employees shall not be expected to monitor or staff a zoom room for longer than three (3) consecutive hours; therefore, your shifts in a Zoom room should include a break at or before the start of your third hour in Zoom.
To ensure that you are working the required number of support hours for each class, you may need to extend your shifts to include breaks. Use the Break Chart to help you calculate what time you may need to add.
Per the Chaffey College District & state mandates, Apprentices may work no more than 980 hours or 170 days per year (July-June).
For questions about your day/ hour cap, please review the Conditions of Employment page of this handbook or reach out to Megan.Robles@chaffey.edu or Carla.Castellaw@chaffey.edu
Because most classes are online and asynchronous during the semester, PALs are able to set their schedule based on (1) their availability (2) student need and (3)Success Center shift coverage. Please set your PAL session hours during the Success Center Hours & following the guidelines below.
If you are unsure about how/ when to set your PAL hours, please reach out to Carla.
Fall/Spring Hours
8am - 8pm Monday - Thursday
10am - 4pm Friday
10am - 3pm Saturday & Sunday
Tip: Afternoons and evenings tend to be the best hours for most students
Must be scheduled on the :45 between the time ranges above. (For example: 11:45 am or 3:45 pm)
Why? This will help limit the flow of traffic to the SC Zoom room, and help the front desk know what activity students are there for.
Please schedule yourself on at least 2 and no more than 3 days a week.
Why this limit? Apprentice positions have a cap on the number of days a year you can work. If you have questions about this, please reach out to Megan.Robles@chaffey.edu.
PALs are responsible for submitting each of the following to verify your time and effort. Failure to submit documentation may effect your eligibility for rehire.
For more on each of these, please review the Reporting Your Time and Effort page of the PAL Handbook.
Web Time Entry at the end of each shift you work.
Discussion Board Post (due by Sunday of each week):
Session Verification Survey at the end of each tutoring, DLA, or group session.
This report is sent to the student, Institutional Research, the Language Arts Dean, the Success Center, and to the PAL Coordinators.
If no one is signed up for your sessions, you should spend this time (1) tutoring "walk ins" to the Success Center Zoom room, or (2) spending additional time actively and visibly participating in class.
If your sessions regularly have low attendance, please reach out to PAL Coordinators. We want to work with you and help you adjust your schedule or brainstorm new approaches we can try to reach out to your students.
A friendly message goes a long way! If the student is in your English 1A section, consider sending them a friendly message to check in and invite them to reschedule with you.
Remember, our students are juggling a lot these days. Letting them know you missed them and you're available in the future if they need help is a great way to help them feel connected to their class and the college.
If you consistently fill your tutoring hours every week, encourage your students to make an appointment with another tutor, "walk in" to the Success Center, and to utilize Smart Thinking.
Exception: Smart Thinking will not do DLA review. In this case, encourage your students to sign-up for English Workshops which tend to be less impacted than DLAs.
WTE due the 30th of each month: WTE must be e-signed and submitted. For instructions, click here.
Payday is the 15th of each month: Please reach out to HR for instructions on signing up for direct deposit or changing your address for a mailed paycheck.
Please refer to the campus calendar for holidays and non instructional days (i.e. no classes). For campus calendar, click here.
PALs/ Apprentices shall not hold tutoring hours, group sessions, or prep hours on observed campus holidays or non-instructional days.
PAL "pre-semester training" will always take place the week before the "Instruction Begins" (aka. the first day of classes).
