DUTIES OF CLUB COORDINATOR(S)

FOR

THE McLELLAN CUP

  • Become the means of communication between the McLellan Cup Trustee(s) and the curling club.
  • Be in receipt of the draft and final schedule of McLellan Cup matches at the beginning of the year.
  • Check with the club for any possible conflicts and assist in finding any necessary alternatives with either the club and/or Trustee(s) before the final schedule is published.
  • Post and promote the schedule and any documentation related to the McLellan Cup within the club.


IF YOU ARE TO BE THE HOST

  • Make the selection of club members who will take part in the competition.
  • Form the teams with positions that members will play in the competition.
  • Ensure the facility is booked for the day and time of the match.
  • Arrange for social obligations for the day: greeting the arrival of the Holder club, a 7th end break, ice re-pebbling (if necessary), a dinner meal for all competitors, activities during and after the meal, and (if possible) coverage by the local media.
  • Be in timely contact with the other club should there be a problem in holding the match at the arranged time. (Examples: Poor weather conditions, rink problem, etc.)
  • Work with the Holder Coordinator to find alternate arrangements (if necessary and possible) to hold the match. Inform the Trustees of the outcome for their approval.


IF YOU ARE THE HOST ON THE DAY OF THE MATCH

  • Record the names of the clubs, and team members on the match sheet in the BOOK OF RECORDS.
  • Collect from each participating curler the fee of $2 that will go toward a reserve for repairs to the Cup and record keeping.
  • Record at the end of the game the team scores, total score and announce who is now the Holder of the Cup.
  • Ensure that both Coordinators sign the completed match sheet and ensure the appropriate club indicates their intentions about any desired challenge for the next season. Clearly enter contact information.
  • Ensure social activities proceed as planned.


IF YOU ARE THE HOST AFTER THE COMPETITION DAY IS OVER

  • Email the Trustee(s) a copy of the match sheet or notify them of the results.
  • E-transfer the collected fees to the Trustee(s). Otherwise, mail a cheque.


IF YOU ARE NOW THE HOLDER OF THE CUP

  • Contact the next club on the schedule.
  • Ensure that the Cup and Records are kept safely until the next match.
  • Ensure that the Cup and Records are taken to the location of the next match. Should you forfeit that match, it remains your responsibility to get the Cup and Records to the location of that Challenger.
