We are glad that your child(ren) are planning on participating in the I-LYA Junior Championships. All registration begins at the club level, please work closely with your Race Team Liaison (TL). Even though this regatta is run by a large group of volunteers, your help is needed and appreciated. There is no way we can race, feed, house and entertain over 100 competitors without considerable parental involvement. Specifically, responsible adults, 25 years and over who are not the team coaches, are needed in sufficient numbers from each team to serve as Team Liaisons (TL), Parents of the Day (POD), and chaperones to cover the assigned Fire Watch at the Hotel.
The following “jobs” need to be filled by responsible adults on your team. Please see the Team Duties section for more detail and Links to SIGN UP!
The TL, 1) serves for the entire regatta as the liaison between the team and the regatta chairs, 2) needs to be physically present on the island of P-I-B for the entire event. TL is responsible for ensuring that their Club POD is available and how to access them. Should the POD be unavailable for any reason, the TL will either assume those duties or delegate them to another person. The Team Liaison is personally responsible for checking in the team at the hotel at 10:30 each night. The TL should talk, face-to-face, with each and every individual sailor when checking in the team. Each Race Team is required to assign a Team Liaison (TL) by 7/7.
The POD will be available from 7:00 am to 11:00 pm on their assigned day. POD must physically sign in by 7:30 am in the front room at PIBYC. The POD takes care of problems not related to racing (i.e. change of clothes, sickness, competitor coming off the water during racing, bad weather cancellations and on-shore activities.)
Firewatch shifts are scheduled daily from 3:30 pm to 11:00 pm each evening. Chaperones assigned to the 3:00 pm shift (Mon-Wed) should be prepared to start earlier or later based on when the sailors are dismissed to the hotel after racing. Each club should provide a minimum of two (2) to three (3) responsible adults per assigned Firewatch shift.
Actual parent signups will take place via Signup Genius, here.
Arrangements to stay overnight on the island should be made early. The Put-in-Bay Chamber of Commerce maintains a list of available accommodations and may be of assistance: (419) 285-2832 or online at www.visitputinbay.com. Parking at the hotel and at PIBYC is limited. Staying at a hotel or bed-and-breakfast within walking or biking distance of the downtown area should be considered. The Miller Ferry (www.millerferry.com) transports cars, trailers, and people to the island. The Jet Express (www.jet-express.com) offers passenger-only service.
Additional Events may be added as planning develops.
Two to three Race Teams are assigned to each evening's events. Parents will serve as chaperones, and are asked to involve their sailors in the design of the evening's events. Please have a "rain" hotel activity planned for your evening. See previous schedule of assignments here. 2025 coming soon.
SUNDAY: Regatta pictures will be taken at Perry's Monument at 6:00 pm. Following pictures, participants will proceed to the Ice Breaker dinner. Parents are welcome to attend the skits which will take place at about 8:00 pm.
MONDAY: At 6:30 pm, dinner takes place at PIBYC for sailors and coaches. Please have competitors stick around after dinner. A fun event is planned after dinner. At 7:00 pm, the I-LYA Commodore will host a reception for parents, chaperones, and committees at the Pavilion. All non-competitor adults are welcome.
TUESDAY: Tuesday night is Team Night Out. Dinner for the sailors will NOT be served at PIBYC. Some clubs plan elaborate picnics and potlucks. Some sailors simply go to a restaurant. Sailors are under the direct responsibility of their club until 9pm. If a sailor returns to the Hotel prior to 9pm then there must be someone from that sailor's club present at the hotel.
WEDNESDAY: 6:30 pm Awards Banquet for Competitors, Coaches and VIPs ONLY. Parents can come for the awards portion after 7:30 pm.
THURSDAY: All sailors and their belongings need to be out of the hotel rooms by 7:30 am. Rooms must be checked by a team parent/chaperone before 8:00 am. Final awards will be presented by 3:30 pm at Crew's Nest Pavilion. Note that you may continue de-rigging/packing after the awards. The PIBYC yard should be vacated by 1900 hours.
