Carin Gallie Award Winner- This year’s winner was Jackie Hellard for all the work she has done with junior development and UVIC golf team. Her dedication to the sport is exceptional.
Huntting Cup Report – Harris -Erickson vs Sweeny Cup. Results 112.5-103.5 victory for the Sweeny Cup over the Harris- Erickson players. It was a valiant attempt, and we will hopefully succeed next year when we meet again in Vancouver next year. Point Grey or Vancouver Golf Club are potential courses.

Agenda items:
1. Pay to play for 2025 - From the 2024 AGM minutes. As a league we will not entertain the pay to play model for the 2024 season. We believe that this may need to be revisited in 2025”. Adopt that we continue to not pay to play. Motion passed Denise 1st / Cathy 2nd.
2. Membership qualifications: Continue for a trial basis for 2025, a BC Golf Public Player’s Club member may be eligible to play in Harris -Erickson if they can attest to being on a waitlist at their chosen Zone 5 Club and maintain a current golf handicap through BC Golf Public Player’s Club. It is just like any other club except it not attached to a physical golf course members typically play golf at a public play facility. Move that we continue this: They must be on a waitlist of a BC Golf Club. Motion Cindy 1st; Katie 2nd all those in favor. Motion passed.
3. Gross Trophy Box- Krista Nabb’s Dad Wayne, donated a box he made for the low net trophy donated. This box protects this valuable trophy that has been around since 1952. A second box is required for the low gross trophy. Motion: on the table is, are we in agreement to pay S200.00 for the materials and S300.00 towards his time to build the boxes for the second trophy. This is 500.00 in total. Motion: Alison 1st/ Cindy 2nd Discussion Questions all in favor. Opposed none. Motion passed.
4. Carin Gallie Award discussion on longevity of award or retirement of the award. Given the lack of participation on voting for this award, the committee would like to retire the voting from the HE members and have say on who they would like to give it to. This may even be members outside of HE. Letter was written by Penny and given to the members of HE to read prior to this meeting for the members to read and understand what the desire of the award was for. They feel it has not met their expectations. Motion: I move that HE retire the trophy and return the trophy to those who organized committee, the award (Penny, Mary, Katie, Janine). Karen 1st/ Collen 2nd All in favor/ None opposed. Trophy returned to the committee.
5. Proposed wording change on website for clarity: If a member signs up on a Tuesday, and her index factor goes up to a 15.1 or more the following Monday, she may play that day, but to an index of 15.0 New wording proposed: If a members index increases over 15.0 after the signup sheet is closed the Tuesday before play ) they can play that event, but to an index of 15.0 Motion: change wording for clarification. Motion passed by Penny 1st, Rose 2nd. Motion passed.
6. Hole in one Fund: Motion to increase membership dues to 130.00 next year. Motion: Suggest that 10.00 from each membership be added to the hole in one fund for 2025. Dues would be 120.00 plus 10.00 from each player being put in hole in one fund this will help to replenish the fund total 130.00 Motion 1st Cathy/ Denise 2nd. Motion passed.
7. Island Cup Challenge players were subsidized this year $100 per player. Should the players be subsidized in upcoming years (every 2nd year) when the ICC is held up island? Motion to continue subsidizing players when ICC is held up island at the discretion of the chair? Karen 1st. / Rose 2nd. Motion passed.
8. Should we invite female pros at clubs to join us when at the clubs or UVIC players… mostly those who don’t get to play many tournaments (1 or 2 per event) It is for the pro’s who don’t get to play as much and can get to know the group. They would play within the tee times we have. This is an avenue to possibly get an extra tee time. Motion: should we invite pros to join our HE games when we set up games. Rose 1st/ Colleen 2nd Motion passed.
9. Should we invite UVIC players into the HE even thou they are not aligned with a club. However, they are members of a club. Motion: Should we put out a call to the UVIC team to join HE as members. Chair to send out an invite.
10. If a player cancels twice after the draw is made, should they be penalized and not allowed to play in the next round? Motion: if a member cancels twice in a row should they be penalized the next round? Or should it be communicated to the chair and a discussion occurs. Motion: leave it for communication first before penalty. Motion passed 1st Jackie /2nd Penny
11. Other business. If you DQ you should be out of the match, not eligible for KP etc. Motion: If you DQ you cannot have any other prizes. Motion approved 1st Cindy/ Collen 2nd Motion approved.
12. Suggestion that Denise help with wording related to membership qualification. Ex. Put in all scores when playing is a requirement for HE. This should be in the rules and regulations of the game when played and part of the membership requirements. Cathy to reach out to Denise for wording and Penny to help with the changes on the website.

1. Welcome and opening remarks – Alison Sweeten
2023 had a full schedule with 15 competitive rounds plus our wrap-up tournament. Golf clubs who hosted us included 5 member-owned clubs (Cowichan, Gorge Vale, Royal Colwood, Uplands and Victoria) and 4 corporate clubs (Ardmore, Highland Pacific, Bear Mountain, and Duncan Meadows) This includes 4 clubs who didn’t host in 2022 - Bear Mountain, Duncan Meadows Highland Pacific, and Uplands. There are 28 registered members from 11 different clubs in Zone 5.

4. Huntting Cup
The merry band of golfers boarded the 7:00 am ferry bound for Point Grey Golf and Country Club, on September 12, 2023. Our captain and tour director Colleen Wheatley lead the team in our red HE shirts and black bottoms.
Rookies included Rose Fong, Catia Evans, Emma Lee, Pat Smith, Leslie Walden, Hillary Xu and Alison Sweeten, while the veterans included Colleen Wheatley, Penny Baziuk, Mary Braithwaite, Jackie Hellard and Marlies Russell.
After the last 4-some walked in, we came away with a very narrow victory over the Sweeny Cup team 108.5 to 107.5.
At the tournament, the state of the Cup was brought forward by Mike Riste of the BC Golf Museum. There is a need for funds to fix this silver cup. He volunteered to pay to fix it properly by a silversmith. HE will work with the Sweeney Cup group over the winter to put funds toward fixing the cup.

6. Island Challenge
Zone 6 was scheduled to host the Island Challenge in the Spring of 2023, but unfortunately, they were unable to secure a venue. We look forward to the renewal of this competition with our sister league (Dawn Coe-Jones League), north of Duncan.
7. Discussion Items
A. Pay to Play

Note: This went quite well getting some of the pay to play courses to entertain our league in 2023. We added Highland Pacific, Duncan Meadows, and Bear Mountain while Olympic View is entertaining the idea for 2024. Also, Arbutus Ridge will consider this if we get some of their members to join, HE.
B. Membership Qualifications

Note: There was concern last year about players being stuck on waitlists and being ineligible to play. I believe that this amendment helps those who are on waitlists without including members who do not belong to a Zone 5 club.
C. Eligibility for Huntting Cup
A person is eligible to be selected to play in the Huntting Cup if they play 20% of the schedule before the Huntting Cup selection date (one month prior to the Cup ).

D. Zone 5 – Amateur, Senior and Handicap Tournament
“You are encouraged to enter the Zone 5 Amateur/Senior, Provincial and National events when possible.” Moved Pat Smith, 2nd Catia Evans, Carried
Note: This change was brought forth by Zone 5 committee members who want all HE members to enter the Zone 5 Amateur and/or Senior tournament, but not the Handicap division. We receive endorsement from Zone 5, which is key to our existence. In 2023 we had about 7 of us in the Handicap division and as a competitive player we should play in the more difficult divisions.
E. Players drawn out of an event due to over-subscription
a. Current guidelines say “There are four tee times available for each round, if the draw is over-subscribed, the players with the lowest indexes will be given preference. The alternates will be added at the bottom of the draw, if a player must cancel, she must contact the first alternate on the list to fill the vacancy.”
b. Suggested Change: “There are four tee times available for each round, if the draw is oversubscribed the players with the lowest indexes will be given preference. The alternates will be added at the bottom of the draw, if a player must cancel, she must contact the first alternate on the list to fill the vacancy. If a player does not get to play an event, they automatically are included in the next event (up to a maximum of 2 players).”

8. Clarification of Current guidelines
F. Host Club representative at each event (1995 AGM)
a. In 1995 a motion was passed that reads “The Chairman is always included in the draw as well as at least one representative from the host club.”
Note: This was never meant to be removed from our guidelines.
G. Carin Pot (Deuce Pot) (2018 AGM)
a. If there is money left over at the end of the year, the money is to be split evenly and names drawn from the tee sheet for that day or days(s) from a hat at the 2018 AGM. Overtime you put money in the deuce pot and there is no winner that day your name goes into the hat. No double winners and you must be there to collect.
b. Suggested rewording: “If there are no Carin Pot winners for an event, the people who entered will be recorded and eligible for a random draw at the annual AGM. There will be no double winners and you must be at the AGM to collect. Moved by Mary Braithwaite, 2nd Penny Baziuk, Carried.
H. Prizes (2010 AGM)
a. Individual Medal Rounds: One ball is to be given to 1st, 2nd and 3rd Low Gross and 1st and 2nd Low Net
b. KP’s: One ball is to be given for each KP, one on the front nine and one on the back nine (motion passed Oct 2010)
c. All ties are honoured.
Note: This caused some confusion about how the prizes were allocated with ties. Here is new wording which follows the intent of the previous wording.

One ball is to be given each person with the 2nd lowest score (and ties),
One ball is to be given each person with the 3rd lowest score (and ties),

I. HE Team shirts for 2024-25
a. Traditionally in the Huntting Cup matches the host team wears white bottoms and the away team wears black bottoms. After discussion the shirt colour will be purple for the 2024 and 2025 season. Moved Alison Sweeten, 2nd Colleen Wheatley. Carried
J. Posting Score with Golf Canada
A player should submit their score as soon as possible on the day of play, after completion of their round, and before midnight (local time). If a player does not submit their score on the day of play:
· Their Handicap Index will not be updated in time for the next day (see Rule 5.4 Frequency of Revision of a Handicap Index Update), and
· Their score will not be included in the daily playing conditions calculation (PCC) (see Rule 5.6 Playing Conditions Calculation).
When a score is posted to the player’s scoring record after the day of play and the PCC for the day the round was played has already been performed, the PCC adjustment should still be applied to the player’s Score Differential calculation even though the player's score was not included in the PCC.
If a score is submitted out of sequence:
· The score should be added to the player’s scoring record in the correct chronological order.
· The published PCC adjustment for the golf course played, on the day the round was played, should be applied to the Score Differential calculation.
· The player’s Handicap Index should be recalculated.
Note: The Handicap Committee should investigate any repeated occurrence of a player failing to submit a score in a timely manner (see Rule 7.1 Handicap Committee). If there is no evidence that the player has acted for the purpose of gaining an unfair advantage, all scores submitted in the intervening period should stand for handicap purposes.

b. Cathy Clackson will be our Vice Chair for 2024 and will assume the Chair in 2025.
c. Penny Baziuk will continue to manage the website in 2024.

c. Membership Qualifications
Discussion was brought forward about allowing BC Player Club Members who live in Zone 5 to play in Harris Erickson. This proposal was brought forward as there are wait-lists to join the Premium membership at some Zone 5 clubs. Current eligibility to be a Harris-Erickson member is defined as: A player must be an accredited RCGA member of a Golf Club located within Zone 5.
Connie Dykstra brought forward this proposal: The only conditions that a player must meet to be able to enter a Zone 5 event, BC golf event or Nationals is to have a valid handicap with Golf Canada. Given the current state of the golfing community in Zone 5, the average wait list to join a “private” club is 2 years. As stated, the purpose of Harris Erickson is “to promote women’s golf”
and therefore Harris Erikson could potentially be excluding players that would otherwise meet the eligibility for playing.
Players that belong to a “Players Club” either at Cordova Bay or Highland Pacific, should be allowed to participate in all Harris Erickson events.

8. Next Season Announcements
Alison Sweeten will be our 2023 Chair
Need to find a Vice Chair for 2023 who will assume the Chair in 2024.
To accommodate each club tee-sheet bookings, we may need to book later in the afternoons or on another day of the week to get complimentary rounds. This change to playing later in the day during the summer will accommodate increased numbers of working women and juniors. This will help to insure the longevity of the Harris-Erickson with younger members at school or work.

* There is no language that defines a quorum for the Harris Erickson. Lenore Davis called de facto with current attendance so the meeting could commence.
2. Approval of 2020 AGM Minutes:
Alison Murdoch motioned to approve, Seconded by Lenore Davis. Motion passed unanimously.
3. Approval of Financials:
$1051.97 ($170 for Huntting Cup, $275.22 Hole in One Fund, $606.75 Operations. 2 expenses in 2021 of $41.98 for 2-year renewal of HE website domain, and $47 gift to Chair.
Marlies Russell made a motion to accept financials, Seconded by Hilary Jaeger. Motion passed unanimously.
4. Points of Discussion:
a) 2021/2022 Season (and COVID-19)
Sonja and Val presented an options paper in February 2021 to cancel or restart this year’s season. By way of email voting, the majority were in favour of cancelling the 2021 Harris Erickson Season due to the pandemic and the various challenges it presented.
The plan will be to contact golf courses in 2022 to restart HE.
Alison Murdoch made a motion for 2022 season to be restarted, seconded by Lenore Davis, motion passed unanimously.
Letters will be sent to Zone 5 golf courses in November. Lenore Davis will review and revise the language to reflect the current impacts of the pandemic and subsequently our two-year absence.
b) Define Quorum for Harris Erickson
No language was found that clearly defines a quorum for the Harris Erickson.
Lenore Davis made a motion that, In absence of information defining a quorum, henceforth, 10% of current paid membership of the current year, (or last year played), will constitute a quorum. Seconded by Alison Murdoch, motion passed unanimously.
c) Re-establishing Player Eligibility
Following the 2020 AGM, Penny and Sonja took lead on preparing an options paper which was discussed at a special meeting via zoom on Jan. 25th 2021. There were 7 members in attendance (members qualifying from 2019). Due to the low number in attendance, it was determined a quorum was not reached and therefore a vote could not be made. This matter went to vote by email. Out of 34 active members, 15 people voted. Again, it was determined that a quorum wasn't reached although later discovered there was no language defining a quorum for the Harris Erickson.
Brenda Warner made a motion to adopt Option 2, Lenore seconded, motion failed.
Alison Murdoch proposed amending Option 2 to read: A “member” is normally defined as a member at a private club, or in the case of membership at a public or semi-private course, it must be the premium membership option(s) available. The purpose of HE is to promote competitive women’s golf. All Harris Erickson Members are expected to play in at least one Zone 5, Provincial, or National sanctioned event.
Brenda Warner motioned to accept revised Option 2, Seconded by Alison Murdoch, Motion passed unanimously.
This is to be included in the Player’s Responsibility Sheet.
d) Funding of 100th Anniversary of the Huntting Cup in 2022
Val Fitzpatrick is the Captain for the Huntting Cup in 2022 at Host Club, Gorge Vale. As per 2019 AGM, part of the funding plan was to collect an additional $5 per HE member for seasons 2020-2022. A motion was carried to raise the HE Fees for 2021 by $10 per member ($80 for entry + $10 for HC) to make up for the missing 2020 season. We are now short two season’s worth of funds. Re-evaluate the amount of funds needed from 2022 season players.
Valerie spoke about the current funding needs for the Huntting Cup 2022. It is believed to be $1030 short of goal to host this commemorative event. It was determined that additional funding will be accessed by an increase to annual membership.
Lenore Davis made a motion to increase the Harris Erickson Membership annual due from $80 to $125. This does not include new player fee of $5 Hole in one insurance. Seconded by Krista Nabb, Motion passed unanimously.
e) Election Chair and Vice Chair 2022
Lenore Davis accepted Chair for 2022.

Adoption of Financials: Total expenses for the year were $60.99. Lenore motioned to accept the 2020 Financials, Allison seconded. Motion carried.
Points of Discussion for 2020:
Player Eligibility – a document was circulated in advance of the AGM regarding player eligibility for the Harris Erickson. After robust discussion, it was determined that a more detailed discussion and options paper should be prepared given the pros and cons and potential precedents. The options paper will be presented to the membership for voting. ACTION: Sonja & Val will prepare the discussion paper.
2021 Season (and COVID-19) – It is at this time of the year that the Chair is normally responsible for reaching out to Clubs to establish the upcoming season’s schedule. Val has reached out to Susan Dafoe (Chair, Zone 5 Women). Given the pandemic and the likelihood of COVID-19 being present for months to come, there was discussion on what HE should do for reaching out. The options discussed included assuming that 2021 season would proceed to cancelling the season in anticipation COVID-19 will impact golf for the coming months and/or that courses will generally be reluctant to provide complimentary tee privileges. As there are pros and cons with all the options discussed, it was determined to prepare a more detailed discussion and options paper. The options paper will be presented to the membership for input. ACTION: Sonja & Val will prepare the discussion paper. ACTION: Lenore offered to connect with the Chair of Zone 5 men to find out what they are doing for the upcoming season.
Funding of 100th Anniversary of the Huntting Cup in 2022 – Val Fitzpatrick is the Captain for the Huntting Cup in 2022 at Host Club, Gorge Vale. As per 2019 AGM, part of funding plan was to collect an additional $5 per HE member this year. We are now short the estimated funds since there were no monies collected this year. A motion was made to raise the HE Fees for 2021 by $10 per member ($80 for entry + $10 for HC). This does not include the one-time $5 Hole In One Insurance for new members. Penny made the motion and Lynn seconded, motion carried. Additionally, Lenore said she would endeavor to find a sponsor. If a sponsor is found then there will be a decision brought forward to the members on how to spend the extra $10 that is collected from each member.
ICC 2021 Updated Terms of Reference – An updated Terms of Reference was provided in advance of the AGM for review. Alison Murdoch spoke to the document. The name on the trophy needs to be precise. Would have to look at the trophy to find out. (Post Meeting Note: Sonja has seen the cup and it says Island Challenge Cup). That should be included somewhere in the TOR. Alison motioned to adopt the TOR, Lenore seconded. Motion carried.

2019 Points of Discussion
Regarding the 100th anniversary of Huntting Cup in 2022: $170 raised in 2019. Discussion around a potential commemorative gift for the event. Ideas floated were, ball markers and commemorative gift donation to the host course. Val to get pricing and get back to the group, with the idea that the HE group members (not just the team) would all receive a gift. Anyone with ideas are to send an email to Val.
Much discussion regarding slow play and the penalty that was changed in 2018, which was: “if the group on the 18th tee is within 17 minutes behind the group holing out on the green, that no penalty should be incurred. Start and finish times shall be written on the scorecard and the time noted via a reliable source (mobile phone)”. Discussion ensued re: whether the penalty should be “self-assessed” ie: we know we were slow, but it was Susie or Jane, that were slow, not the entire group. As golf is a game of integrity, it was thought that each individual player is responsible to “woman” up and accept the responsibility, rather than penalize the entire group. No vote was taken on the idea of self assessing. Colleen W motioned and Cheryl M seconded a return to the 2018 slow play rule: “ if a group has yet to tee off the 18th hole by the time the group in front has holed out on the green and placed the flag in the hole, a penalty would be assessed to the entire group.” 7 for/8 against/ 3 abstained - motion defeated, the 2019 rule stands. In addition to the above slow play rule, there was discussion re: the first group maintaining the pace of the course being played. Course time par was thought not to be adequate, as there could potentially be holes open ahead of the first group even though they play in the course allotted time. Falling behind the group ahead makes the entire group look bad and has the potential to jeopardize access to tee times. Karen K motioned/amended and Sue O seconded “ the first group is expected to play each course in time par for the course and directly on the heels of the group ahead”. 12 for/ 6 opposed, motion carried.

6. 2018 Points of Discussion
a. Regarding the 100th anniversary of Huntting Cup in 2022 and how to get the money required to host the event. Marlies motioned to increase the annual fees by a minimum of $5, Penny seconded, motion carried. Although many seemed to support an even larger amount, it was determined that once the committee begins its organizing, they will have a better idea of how much money will be needed. The 100th anniversary committee will consist of Val as the Chair and Colleen as the Team Captain. Carin will be the “gopher girl.” Sarah will help out as needed.
b. Regarding slow play and the penalty that was instituted if a group has yet to tee off the 18th hole by the time the group in front has holed out on the green, the point of discussion was: Should a group be penalized if the above happens, even though the group plays within four hours and/or within the appropriate and expected pace of play time stated by the course? Val motioned that if the group on the 18th tee is within 17 minutes behind the group holing out on the green, that no penalty should be incurred. Start and finish times shall be written on the scorecard and the time noted via a reliable source (mobile phone). Marlies seconded and motion was carried.
c. Regarding the proposal to move the Island Challenge Cup (ICC) to a one day event from a two day event, due to the fact that both Zone 5 and 6 are having difficulties securing a full field of competitors for two days. Sarah moved that the organizing committee for Zone 5 this year discuss with Zone 6 the viability of change. Sue seconded, motion carried. Marlies volunteered to head the committee for the ICC and enter into discussions.
d. Regarding the new local rule effective January 2019 and the alternative to stroke and distance for balls lost our out of bounds. The local rule is not intended for professional or elite levels of play. Discussion around if H.E. players are considered “elite” and Alison moved that we should follow what the BCGA is doing at the Zone level. Sarah seconded and motion was carried.

• Cedar Hill White tees - need to look at slope/rating to decide what tees to play. It was decided to keep it the same as last year.
• Change wording re: yardage to be set at no less than 5400 yards to be "approx 5400".
-Intent is to play different tees with yardage to be approx 5400 yards, but to be determined by the course rep and HE Chair, based on course conditions, weather, course rating and slope. Motion by Brenda Warner. Seconded Sue Ovans. Motion carried
• Deuce Pot collections - It was decided that one person on each team is to collect the deuce pot money and hand in to Sue Ovans at the end of the round. If there is money left over at the end of the year, the money is to be split evenly and names drawn from the tee sheet for that day or days(s) from a hat at the 2018 AGM. Overtime you put money in the deuce pot and there is no winner that day your name goes into the hat. No double winners and you must be there to collect.
• Two week Draw will continue on the website with Penny to continue to maintain.
• Participation at North Island Courses.
We are not filling the draws for these courses. The lowest attendance was 8 at Duncan Meadows, 9 at Cowichan for the 2nd round, with 13 attending on the 1st round at Cowichan and 13 at Arbutus Ridge. We have space for 16 players and we must attempt to fill these draws before the clubs lose interest in helping us by letting us play at their clubs.
It was decided that it would be very clear that players had to play at least 1 or 2 rounds at the North Island Courses. It will be added to the "Players Responsibility" form and each player is to sign the agreement in the spring.
▪ Colleen Wheatley will track low participation for these particular courses. If a member is habitually avoiding certain courses, these players could be placed on a wait list for future courses.

Discussion: Local rules – According to Alison Murdoch. We cannot change the local rules because we do not set up the course; therefore, we must follow local rules as indicated on the score card.
Players need to read score card for local rules
The rule must be written in order to be applicable; however, as a tournament committee we can determine our own local rules.
Drop areas – if they are on the scorecard then we can use them.
Hoof prints? Rocks? Relief in bunkers?
Motion by Georgina Hermans: Harris Erickson Local Rule: Rocks may be removed from bunkers, as it is a safety concern. Approved by Carin Gallie seconded by Val Fitzpatrick.
Club Rep shall indicate any local rules to all players, even if not they are written on the scorecard
3 courses do not meet yardage criteria (Cedar Hill, Ardmore and Duncan Meadows – Green Tees): Green tees at DM are 5,356 yards; however, the rating and slope are 72.1/127 and proves to be a fair challenge for the majority of the HE members.
Cedar Hill and Ardmore: Tees do not vary; therefore cannot be adjusted
Duncan Meadows: Proposal of a combo tee between the Whites and Greens. Either Krista or Mary are to determine the appropriate combo and are to contact BC Golf/Golf Canada to determine a slope and rating for the new tees
Members playing in Zones, etc, get priority

Cherry Picking: Several courses have historically low participation rates, some due to individual schedule conflicts (ie working, out of town, etc), but for many instances, these courses (North of Victoria, OV, Duncan Meadows) are not be picked to play because of personal preference
We need to look at how to incentivize courses that people do not want to play. We need to fill those draws so we do not lose those courses
We will track low participation for particular courses. If a member is habitually avoiding certain courses, the Captain/Vice Captain will approach the member to discuss

o New Player Buddy System – it was proposed that new players would be assigned a ‘buddy’ and that buddy would play at least the first two rounds with the new player. The buddy can assist the new player with orientation around the clubhouse (if the player is new to town) and/or rules, how Harris Erickson works, and in general, helping the new player feel comfortable and at ease. No vote was taken but general consensus was positive about adopting this system.

It was unanimous that slow play is an issue…
Colleen suggested that it is necessary to send 2 players to the next tee when the group is getting behind.
It was suggested that someone should be assigned as a mediator if there is anyone in the slow group who feels they are being penalized unfairly.
Motion by Bree and seconded by Colleen that Carin Gallie be the mediator.

Raising the eligibility index from 13.0 to 15.0:
Margaret felt that, on the whole, raising the index would dilute the Harris Ericson group.
Most spoke in favour of raising the index.
Colleen suggested the club rep could ask a guest to play so they could get a feel for playing in the Harris Erickson competitions. It was felt that players were unsure of joining the group and this was a way to help them make a decision. It was agreed that it was up to the rep to determine who plays in the weekly game.
Motion by Penny and seconded by Colleen that the index be raised from 13.0 to 15.0 for the 2015 Harris Erickson.

Carin raised the point that info about the new 15.0 index should be sent to the Lady Captains of the Clubs so they can bring it up at their board meeting.
Huntting Cup:
Bree said she thought the Huntting Cup location should be determined two years in advance. Most agreed that was a good idea.
Schedule:
Colleen suggested that the Harris Erickson should start earlier so the summer months aren’t so full…end of March or early April.
Island Challenge:
Carin brought up the inequality of the present setup for the Island Challenge competition and suggested that it be a one day stroke play event. She also said that the players would only be qualified to play if they were a member of the Harris Erickson or Dawn Coe group.
Motion by Carin and seconded by Colleen that the Island Challenge be a one day stroke play event and players must be a member of the Harris Erickson or Dawn Coe group.

Huntting Cup:
Carin suggested that the format for the Huntting Cup be on a point per hole basis. Most agreed. To be discussed with Sweeny Cup Team.
Golf balls:
It was brought up that $700 was spent on golf balls this year and that (as a result of many ties) too many balls were given out.
Rita suggested that we give points for winner and runner up and tally the results at the end of the year. (1, 2, 3 low gross 5/3/2 points and 1,2 net 3/2 points)
After much discussion, it was decided there would be no ties and to keep the KP’s.

Penny brought up the fact that some years the same person has won the Gross and the Net Annual award and discussion ensued. The following was motion was made by Penny Baziuk and seconded by Georgina Hermans.
The person with the lowest gross differential would be awarded the Gross Trophy then the person with the lowest net differential would be awarded the Net Trophy, this can not be the same person. The next prizes awarded would be second and third gross. And finally second low net. Also not the same persons. The prize money for each award would reflect this order.
The prize money for second net should be the same as for second gross.
Discussion for Chair to try to have Uplands, Bear Mountain or Olympic View host Huntting Cup 2014 in August.

Discussion: 2012 Hunting Cup Competition. Saturday would be a better day to hold the competition so as the traveling team doesn’t have to rush off after the game in preparation for work the next morning. The chances of getting a course to give Saturday tee times are slim. Tee times would have to be based on the ferry schedule. September was thought to be a better time to hold the event as the weather is usually better. Cowichan was suggested for 2012 Competition, with travel from Duke Point Ferry. Marianne Hunt will talk to Norm Jackson (Cowichan’s General Manager).

Harris-Erickson AGM 2009
Minutes of 2008 AGM approved.
Congratulations to the following winners for 2009:

The 2009 Huntting Cup was hosted at the Point Grey GC and the Sweeny Cup team from Vancouver won the competition. The 2010 Huntting Cup will be held on October 3 at Royal Colwood.
Hole in One fund: Starting in 2010 a fee of $5 will be collected from each member and all subsequent new members for a hole in one fund. These funds will be accounted for separately from the regular operating funds.
Arbutus Ridge will be approached to host an H-E event next year. Colleen Wheatley will assist with this event. Every attempt will be made to hold the event prior to the BC Amateur which normally takes place in late June.
Island Challenge: Thanks to the efforts of Lenore Davis and her zone 6 counterpart Dee Horrie the first Island Challenge held at Duncan Meadows was a major success. The 2010 Island Challenge will likely take place in early May at Morningstar but that is yet to be confirmed.
Match play within the H-E events: It was agreed that 3 match play events will be held next year in attempt to improve our performance at the Huntting Cup. The events will be held at courses where there are 2 events and later in the season, one will be at Royal Colwood since the Huntting Cup will be held there. The matches will be arranged to minimize the stroke differentials. Golf balls will not be awarded for these events nor will the score factor in the overall competition.
Pace of play: Each foursome is to record their start and finish time. Notes should be made if members of the course are holding us up. Records will be kept over the season for each member relative to the stated pace of play for the respective course. This information is for our use and no one else.
H-E participants behaviour: it was agreed that all participants will comply with the BCGA code of conduct (see attached).
Thanks to Janine Kosmenko for a job well done as the 2009 convenor.
Those wishing to play should send an email to the course rep by Tuesday of the week prior to the competition with Wednesday as the final decision point.

AGM Meeting held at Victoria Golf Club October 20, 2008 - approved Sept 28, 2009
1. Balls owing to players for games at Duncan Meadows, Cowichan and Bear
Mountain were handed out.
2. Prizes for the closing event fun golf were awarded.
3. Prizes for year-long H E competition were awarded: Gross: 1. Alison, 2. Penny.
Net: 1. Rita, 2. Margaret.
4. Financial report was presented showing income from 23 golfers, expenditures for
balls, prizes, Huntting Cup dinner, and engraving (estimate), with around
$111.29 (depending on engraving) to be handed over to 2009.
5. Sign up procedures were amended so that each player is responsible for
forwarding her name to the Club Rep for the host club. Deadline is wake-up time
Wednesday morning prior to the Monday of the event.
6. The time-of-day for HE games will be adjusted if possible to include some
morning games in addition to afternoon games. Clubs to requested if they would
be willing to host us in the morning were DM, GM, Cow, and BM.
7. Re the number of HE players, and based on concerns about diminishing numbers,
it was agreed to discontinue the points system as not needed at this time. All HE
players should contact eligible players at their clubs and encourage them to join
I-IE. There should be a letter to Zone 5 Women's Committee that could be
included with the Captain's package for the Spring meeting. The Chair should
attend the Spring meeting and speak.
8. The Vancouver Island Challenge Cup is on the way to becoming a reality. Lenore
Davis is working with Dee Horie from Zone 6 in planning a two day event for
early in May. Proposed is match playas follows: Saturday: 9 holes alternate shot,
9 holes better ball; Sunday: 18 holes singles. The group enthusiastically
encouraged Lenore to follow up and see if 12 person teams would be acceptable
to the Zone 6 crowd.
9. With respect to the timing of Huntting Cup the group had no objections to having
the event earlier in the year, keeping in mind that it is Vancouver's turn to host in
2009. We need to be informed as soon as possible so as many people as possible
can include it in their schedule.
10. Janine Kosmenko agreed to be HE Chair for 2009.

6. CONGRATULATIONS
Congratulations to:
a) Alison Murdoch for winning the Zone 5 championship and to Penny

the Senior Amateur Championship in Ottawa.

7. HUNTTING CUP
Harris Erickson hosted the Huntting Cup at Victoria Golf Club on
September 2, 2006. The weather was beautiful and Harris Erickson
won the Huntting Cup with a 20 to 16 point victory.
The format was still match play with handicaps but each match played for
3 points - "1 point for the front 9; 1 point for the back 9; and 1 point for
the 18". Feedback was positive but the format for 2007 will be determined
by the Sweeny Cup hosts who were reluctant not to play the format of
recent years (match play with handicaps but each match played for 18
points).
8. DISCUSSION
a) Sanction
Harris Erickson continues to work towards the re-establishment of a
stable and committed relationship with Zone 5 golf clubs.
In recent years, some clubs have taken issue regarding the request
to host Harris Erickson twice annually without payment of fees.
Harris Erickson has lobbied for the support of the Zone 5 Women's
Committee to continue the tradition of 54 years wherein Harris
Erickson has enjoyed playing privileges without fees. While there
has been some progress with that effort, there is still work to be
done to legitimize Harris Erickson to some of the golf courses
involved. The executive for 2007 will need to continue this
important dialogue. It is noted that the Sweeny Cup players do not
have similar problems from their golf clubs - in fact, they are invited
to play (for free) by too many clubs and have to choose which they
prefer to play.
b) Harris Erickson winners
Moved by Penny Baziuk and seconded by Georgina Hermans that
the annual winners of the Harris Erickson low gross and net prizes
be determined by the players 50% best results for each category.

c) Groupings
Margaret volunteered to manage the pairings for 2007 so that
players can play with everyone over the course of 2007 rather
than inadvertently being grouped with the same people. Moved by
Georgina Hermans and seconded by Colleen Wheatley that
Margaret act as general manager of the groupings for 2007.

Carin congratulated Alison Murdoch for winning the Zone 5, BC Senior Ladies, Canadian Senior Ladies, Irish Senior Ladies and PNGA Senior Ladies championships. In addition, Harris-Erickson members Penny Baziuk, Annie Dougherty, Alison Murdoch, Rita Siego, Margaret Foreman (senior division) and Cheryl Meadmore all won their respective club championships.

7. DISCUSSION
a) Promotion of Harris-Erickson
General discussion that we need to be pro-active in promoting the benefits of Harris-Erickson to club professionals, club captains and prospective new members. Club representatives and Chair to deal with issue directly.
Monique Coyle said she would ask her friend at the Times Colonist that she contact the Chair to discuss getting publicity regarding Zone, provincial and national competition and results.
b) Huntting Cup
Moved by Penny Baziuk and seconded by Lenore Davis that team selection for the Huntting Cup be the low 14 indexes (12 team plus 2 alternates) as of 4 weeks prior to the date of the Huntting Cup match. Carried unanimously.
c) Cell phones
Moved by Georgina Hermans and seconded by Colleen Wheatley that cell phones be banned
during Harris-Erickson matches. Carried with Maureen Hibberson and Claire Dionne voting against.
