CORE ELMS

What is CORE ELMS?

    • CORE ELMS is a learning management software that supports clinical and experiential education departments in the management of student activities.

How the program uses CORE ELMS:

    • The Health Scholar Program uses this platform primarily for schedule management. All scheduling will be handled via CORE ELMS and through supervision from the leadership team.

    • We also use CORE ELMS to maintain required student documents such as certifications and vaccinations, which allows students to be able to keep up with their own records and renew documents when needed. This is to support the ongoing need for patient, student, and staff safety while in the hospital.

How you can use CORE ELMS:

    • Sign up for shifts on a monthly basis. Shifts are first come first serve!

    • Check your schedules to make sure you have your correct shifts.

    • Upload vaccination or certification documents

    • Fill out forms such as LOA, LOR, and PCR.

How to Navigate CORE ELMS:

  1. To sign up for a shift:

Scholars can sign up for shifts on CORE using the following steps:

Scheduling (on the left column) > Research Center > Choose the appropriate Rotation type, Rotation Dates, > Run Search


  1. To clock in and out:

ALWAYS allow location access. Once you've arrived on the floor for your shift and are logged into the app, press the mint green button that says "Clock In". Then press on the drop-down menu that reads "Preceptor/Site" and select the floor for which you're scheduled that day. A smaller "Clock In" button should appear under the Preceptor/Site selection. Press on it to begin your shift. The time will be recorded automatically. When it comes time for you to clock out, open up the app, log in again if necessary, and press the red button that reads "Clock Out". Record any comments you would like to include about what you did/what you learned during your shift, and then select the "Hours Type" depending on the type of shift you've just completed, and then press "Submit Hours".

Please refer to the CORE reminder below on how to clock in/ out properly. Scholars should only clock in and out at the locations approved by their DC. Note: If you work multiple shifts in one day, please clock in and out for each shift.


  1. To make changes to your schedule:

Scholars can view list of assigned shifts under Schedule and Calendar.

Under Schedule, Scholars have the option to drop their shift when needed. However, all changes made to the schedule must be approved by their DC.


  1. Submit an incident report: In case of an incident, please follow these required steps: (1) call the number (2) file an incident report on CORE (3) Email your DC

The incident form can be located on the main page of CORE on the left column: Incidents > Record New Incident.

  1. Submit all administrative requirements:

Once enrolled in the program, Scholar are still required to keep their vaccinations and requirements up to date to be compliant with the hospital's rule and maintain an active status within the program.

  1. Submit electronic forms:

During their time in the program, Scholar can utilize this tab to submit any electronic form necessary, including: Hours Audit Request, Leaders Application Form, Leave of Absence Request, Letter of Recommendation Request, Hours Verification Form, Program Completion Request, Site Transfer Request, Withdrawal Request.


  1. View Hours Tracking:

Under this tab, Scholars can view their submitted hours. Hours status is either pending or confirmed. Pending hours are not yet confirmed by the Leadership Team. Questions and concerns regarding hour submission can be elevated to the appropriate Leadership Team member.

For example, shifting hours are managed by your Department Coordinators and Assistant Director of Departments. Training hours are managed by the Training Team. Projects hours are managed by the Projects branch.
